Overview

ActivTrak is workforce analytics software for organizations that want to understand digital work activity across office and remote teams. It is best suited to managers and IT teams that need productivity, schedule, and AI-use insights without relying on screenshots by default. Its real-time visibility and custom dashboards make it a broad option, though the free plan is limited to three people and 30 days of data.

Founded in 2009, ActivTrak organizes its offering around workforce management, productivity optimization, and AI insights. That breadth is useful for teams looking to connect work patterns with operational decisions, but buyers should match the plan’s history and schedule limits to their reporting needs. For a broader category comparison, see Workforce Analytics Software.

Key features

Workforce visibility and productivity analysis

Workforce Management combines real-time workforce visibility with productivity trends and schedule and location adherence. Productivity Optimization classifies time as productive, unproductive, or offline to help teams identify potential improvements. This makes ActivTrak more relevant to organizations managing work patterns and schedules than to those seeking only a simple activity log.

AI insights

AI Insights covers usage measurement, compliance, adoption maturity, and benchmarking, as well as productivity-impact measurement and opportunities to optimize AI use. Teams trying to assess how AI is being adopted can use these capabilities alongside broader workforce analysis; organizations that do not need AI-related measures may find this breadth less central to their choice.

Privacy, security, and integrations

ActivTrak says it does not use keystroke logging, email monitoring, camera access, personal-device monitoring, or video recording. Screenshots are not taken or retained by default and require the optional Screen Details add-on. That default may suit organizations wary of intrusive monitoring, though teams that need screenshot-based review must account for the add-on.

ActivTrak states that it holds SOC 2 Type 1 and Type 2 certifications and encrypts customer data in transit and at rest. Native integrations bring Microsoft Outlook and Google Calendar data for calendars and PTO, while Microsoft Entra ID and SCIM support user management. The ActivConnect add-on provides API or SQL access to live and historical data, with pre-built templates for Power BI, Looker Studio, and Tableau.

Agents and support

Windows, macOS, and ChromeOS agents are available; the ChromeOS agent can also run in Chrome on Linux systems without a native agent. The Assist Browser Extension works alongside the desktop agent on Windows and Mac to capture more detailed URL data. ActivTrak offers Digital, Premier, and Signature US-based support tiers, and purchases involving more than 50 licenses require a paid support plan.

Pricing

ActivTrak uses a freemium model, with a free plan and a 14-day trial. Its free tier costs 0.00 USD per free and includes 30 days of data history and basic activity visibility for up to three people. Data refreshes in real time, but the three-employee cap makes this a small-team introduction rather than a practical option for larger workforces. A Free account with no login for 30 days is marked inactive and receives an email about pending deletion.

The paid plans have custom pricing:

Work Activity Tracking: six months of data history and 20 configurable work schedules. It suits teams prioritizing activity visibility with a smaller schedule configuration allowance.
Workforce Management: six months of history and 50 configurable work schedules. The increased schedule allowance is relevant to organizations coordinating more work patterns.
Productivity Optimization: one year of history and 50 configurable work schedules. Its longer retention window is the clearest fit for teams that need to compare trends over time.

The paid tiers differ in data history and schedule quotas, so buyers should weigh those limits against their reporting horizon and workforce structure. Custom dashboards are available. No paid plan price is stated, so organizations will need custom pricing rather than a published rate for budgeting.

Platforms

ActivTrak supports API, browser extension, Linux, macOS, web, and Windows. Its agent lineup covers Windows, macOS, and ChromeOS; Linux users can run the ChromeOS agent in Chrome without a native agent. The Assist extension adds more detailed URL capture when paired with the Windows or Mac desktop agent.

Who it's for

ActivTrak is a strong fit for organizations that want real-time workforce visibility, productivity categorization, schedule adherence, and AI adoption insight in one system. Its stated privacy boundaries may also appeal to teams that want workforce analysis without keystroke, email, camera, personal-device, or video monitoring. Very small teams can start on the free plan, but its three-person cap and 30-day history sharply constrain its use beyond evaluation. Larger buyers should account for the paid-support requirement above 50 licenses and the custom pricing of paid plans.

Pros and cons

Broad operational coverage: workforce management, productivity optimization, and AI insights address distinct management questions within one platform.
Clear monitoring limits: screenshots are off by default, and ActivTrak says it avoids several more intrusive forms of monitoring.
Useful data connections: calendar, PTO, identity-management, and optional analytics access support different operational workflows.
Restrictive free tier: visibility is limited to three people and 30 days of history, so it is not a free option for a full workforce.
Paid-plan trade-offs need budgeting: plan prices are custom, and history and schedule quotas vary by tier.
Screenshot review costs extra: organizations that require screenshots need the optional Screen Details add-on.

Alternatives

Insightful is the more direct alternative for buyers seeking a paid workforce analytics plan with a stated price: its Workforce Analytics plan is 8.00 USD per month, billed annually, and includes real-time overview, capacity analysis, app and website usage, and screenshots. It has no free plan, though a free trial is offered; its platforms include self-hosted deployment.

Qualtrics is a better comparison for individuals who need free survey tooling rather than workforce activity analytics: its free plan allows one user, three active surveys, and 500 total responses.

Worklytics is worth considering when calendar-based meeting insights are the priority: its free tier covers up to 100 users, calendar data only, 30 days of history, dashboard access, and basic meeting insights. Its Business plan is 2500.00 USD per month.

CurrentWare Data Loss Prevention is a paid alternative with a free trial for organizations focused on device control and data loss prevention; its standalone AccessPatrol plan is 12.00 USD per month, billed annual, and on-prem pricing requires contacting Sales.

Oracle Fusion HCM Analytics is an option for buyers evaluating hosted employee analytics in an HCM context; its listed hosted-employee plan is 5.00 USD per month with a minimum of 1,000 hosted employees and a standard three-year subscription term.

Visier People is another paid people analytics alternative with a free trial.

Perceptyx is a paid alternative with custom enterprise pricing and mobile, API, and web platforms.

Gallup Access is a paid alternative with mobile and web platforms; its Workplace subscription options are provided through its Business Development team.

Verdict

Choose ActivTrak if your organization needs real-time workforce visibility, productivity trends, schedule adherence, and AI-use measures while keeping screenshots optional. Its strongest case is the breadth of management insight paired with explicit limits on intrusive monitoring. Look elsewhere if a three-person free tier is too small, if screenshot review must be built in by default, or if you need a published paid-plan price before engaging with a vendor.
