Overview

Zoho Mail is hosted business email for organisations using a custom domain. It is best suited to teams that want administrative controls and room to grow across mailbox and Workplace plans. The free tier can suit a small team, but its missing sync protocols and the annual billing requirement on paid plans deserve close attention.

Key features

Mail, migration and AI

A free migration tool moves email, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers, which can reduce the work of switching services. Zia can draft replies and summarize long threads, and Zoho Mail MCP connects the service to AI apps. These are useful additions, though the core case remains domain-based business email. CRM integrations include Zoho CRM, HubSpot, Pipedrive and Insightly CRM.

The mobile app combines email, calendar, contacts and files. Desktop Mail Lite apps support Windows 10 or later, macOS 12 or later, and specified 64-bit Linux distributions. This gives users several ways to access the service, though the free plan's protocol restrictions may affect teams relying on third-party clients.

Security and administration

Zoho Mail lists TLS, S/MIME and AES-256 encryption at rest, alongside spam and phishing blockers aimed at socially engineered attacks. Administrators can apply role-based access and custom security policies, review audit logs, and use eDiscovery. Zoho states that the service is GDPR compliant and holds ISO/IEC 27001 and SOC 2 Type II certifications. Paid plans include 24×7 email, phone and live-chat support, and the pricing comparison gives plans a 99.9% uptime guarantee.

Pricing

The freemium range starts with Mail Free: forever free, with no credit card required, up to five users on one domain and 5 GB of mail storage per user. That is a credible starting point for a small team, but IMAP, POP and Active Sync are excluded. The free plan therefore may not fit organisations that depend on those protocols.

Mail Lite 5 GB costs 1.00 USD per month, billed annually, with no monthly plan; it includes 5 GB per user and a 250 MB huge-attachment limit. Mail Lite 10 GB costs 1.25 USD per month on the same annual-only terms, doubling mailbox storage to 10 GB while retaining the 250 MB limit. The Mail Lite listing also gives a 30 MB attachment limit, so check which Mail Lite option and attachment allowance applies before choosing.

Mail Premium is 4.00 USD per month, billed annually, with no monthly plan. It adds 50 GB mail storage and 50 GB retention storage per user, plus a 1 GB huge-attachment limit. It is the more suitable mail-only tier for teams needing larger mailboxes, retention space or larger attachments.

Workplace Standard costs 3.00 USD per year, billed annually, or US$4 per user/month billed monthly. It includes Mail and other Workplace apps, 30 GB mail storage per user and 100 GB team file storage for 3–10 users. Workplace Professional costs 6.00 USD per year, billed annually, or US$7 per user/month billed monthly; it raises mail and retention storage to 100 GB per user and team file storage to 1 TB for 3–10 users. These bundles make more sense when a team wants the other Workplace apps and shared file storage as well as email.

Workplace Enterprise has custom pricing and custom limits. Virtual private cloud is available only for subscriptions above 100,000 users, and pooled Mail storage only above 1,000 users, placing those options firmly at very large scale. A 15-day trial is available. The pricing note says paid plans start at $1/user/mo (annual), but there is no monthly billing option for the Mail Lite plans.

Platforms

Zoho Mail supports Android, iOS, Linux, macOS, the web and Windows. Native mobile apps are available for Android and iOS, and desktop access is offered through Mail Desktop Lite for supported Windows, macOS and Linux systems.

Who it's for

Choose Zoho Mail if your organisation needs custom-domain email with admin controls, migration support and a path from a small free deployment to paid mail or Workplace plans. It is a weaker fit if your team needs IMAP, POP or Active Sync while staying on the free plan, or if you require month-to-month billing for Mail Lite.

Pros and cons

Pros: The free plan covers up to five users and one domain, with 5 GB per user, making it a usable small-team starting point.
Pros: Migration can bring email, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers without a paid plan.
Pros: Role-based access, custom security policies, audit logs and eDiscovery give administrators meaningful controls.
Cons: Free accounts exclude IMAP, POP and Active Sync, a material limitation for protocol-dependent workflows.
Cons: Mail Lite is billed annually with no monthly option, so its low monthly-equivalent prices still require an annual commitment.
Cons: The Mail Lite descriptions give both a 250 MB huge-attachment limit and a 30 MB attachment limit, so buyers should verify the relevant allowance.

Alternatives

For an email client rather than custom-domain hosting, Spark Mail offers a free plan with unlimited email accounts, Smart Inbox, notifications and calendar across Android, iOS, macOS and Windows. Mailspring is worth considering if open-source desktop software matters: its maker says the full codebase is MIT-licensed, and it supports Linux, macOS and Windows.

Mozilla Thunderbird is another free, open-source choice, with email, calendar, contacts and multiple-account support on Android, Linux, macOS and Windows. If you are choosing among hosted mail services, browse email clients, email migration software or personal email services according to the problem you need to solve.

Verdict

Zoho Mail is a strong fit for organisations that want custom-domain email, administrator controls and migration tools, with paid tiers that extend into retention storage and Workplace apps. The main reasons to look elsewhere are the free tier's protocol exclusions and the annual-only billing on Mail Lite; teams that can accept those limits get a practical range from a small free setup to custom-priced enterprise plans.
