Overview

AfterSchool HQ is a youth program management platform for schools, activity providers, and youth programs. It is best suited to organizations that want to manage online enrollment alongside day-to-day program administration.

Its appeal is the breadth of the workflow, from registration through attendance and family communication. Providers should weigh that convenience against fees on processed activities.

Key features

Organizations can publish programs online so parents can register and pay by credit card or ACH. Subscriptions and payment plans give providers ways to collect fees over time, but coupons can be applied to registration fees only—not payment plans. Activities processed through AfterSchool HQ incur an after-school program support fee, and credit card payments also incur a transaction fee. Those charges make it important to account for payment costs when choosing how to handle enrollment.

Enrollment forms, rosters, and attendance tracking support the operational side of programs. Check-in and check-out help verify student drop-off and pickup, while email and text messaging give staff ways to reach parents. Impact reporting extends the product beyond routine administration to program outcomes.

A Zapier integration can trigger actions when a registration is submitted, which may help organizations connect enrollment to other workflows. It requires an organization API key. Connected apps may include the AHQ Hub App, AHQ Import App, AI Reporting Assistant, and Grafana, depending on organization permissions and enabled features.

The terms state that retained data is encrypted at rest, access is restricted to authorized personnel, and activity is logged and monitored. They also state that OpenAI does not train its models on business data processed through the Assistants API, and that account assistants and chat threads are isolated.

Pricing

AfterSchool HQ uses a freemium model and offers a free trial. Its Free plan is free, with transaction fees applying to activities processed through the platform. That makes it a no-subscription-cost starting point, but not a fee-free way to process activities.

Lite, Pro, and Enterprise have custom pricing. Transaction fees apply to activities processed through each plan. Without published prices, organizations should compare a quote with their expected activity volume and payment mix before choosing a tier.

Platforms

AfterSchool HQ is available on web, Android, and iOS. The parent app is web-based, so families can use the online registration and payment flow through a browser.

Who it's for

Schools, activity providers, and youth programs that need online registration, payments, attendance, and parent messaging in one platform are the clearest fit. Organizations that primarily need a low-cost option without processing fees should look elsewhere, since even the free plan carries fees on processed activities.

Pros and cons

Pros: Online registration, payment collection, rosters, attendance, and family messaging cover a connected program workflow.
Pros: ACH, credit card, subscriptions, and payment plans give providers several ways to collect fees.
Pros: Check-in and check-out support pickup and drop-off verification, while impact reporting covers program outcomes.
Cons: Processed activities incur a support fee, and credit card payments add a transaction fee.
Cons: Coupons cannot be used on payment plans, limiting flexibility for providers that discount installment arrangements.
Cons: Lite, Pro, and Enterprise have custom pricing, making costs harder to compare without a quote.

Alternatives

Childcare Management Software is a useful place to compare more options in the category.

Choose Cheqdin if its free Rise plan's cap of five students and email-only support fit a small program, or if you want its Starter plan at 68.00 USD per month. OWNA may suit teams prioritizing curriculum planning, attendance, a parent app, and compliance on its free plan; its Premium plan is billed from $39/mth.

6crickets is worth considering when a marketplace listing is the main need: its free listing allows any number of seats, with commission on marketplace registrations and a referral fee on provider-site registrations. Kangarootime may fit a small operation that can work within one program, one school, and five staff on its free plan.

Neztio offers a free Starter plan for up to 15 children, while its Standard plan is 79.00 USD per month for unlimited children. QikKids is another option to compare for programs organized by place-count tiers.

Sandbox Software may be a better match for a small provider seeking a fixed monthly price: its 0–24 Children — Monthly plan is 47.00 USD per month, with unlimited users and devices, no contract, and cancellation at any time. EZChildTrack is an alternative for programs willing to request a quote for a paid monthly subscription based on program size.

Verdict

AfterSchool HQ is a strong fit for schools and youth program providers that want one system for enrollment, payments, attendance, and parent communication. Its breadth is the main reason to choose it; activity support fees, added credit card fees, and the coupon restriction on payment plans are reasons to compare alternatives before committing.
