Overview

iBabs Meet connects meeting preparation with the work that follows: teams can manage calendars, share documents, record minutes, vote, and track decisions and action items. Agenda templates and outcome reporting help organisations keep meetings consistent and make their results easier to follow. That focus is a better fit for formal board and committee work than for teams looking only for a lightweight place to take notes.

Documents can be stored in the iBabs app for offline access, a practical advantage for members who need meeting materials without a reliable connection. The optional Debrief assistant transcribes audio and helps with minute-taking, but it is disabled by default. Audio files are capped at 1 GB, and processing may take about 30 minutes during peak usage, so it is not a substitute for prompt, predictable turnaround.

Key features

Integrations with Microsoft 365, SharePoint, OneDrive, Outlook and Microsoft Purview Information Protection make iBabs a natural candidate for organisations already managing documents and communications in Microsoft tools. Single sign-on supports Microsoft Entra ID, Google, Okta and SURFconext, giving administrators several identity-provider options.

iBabs says data is encrypted in transit and at rest with AES-256, with a unique encryption key for each tenant. It also states that it holds ISO 9001:2015 and ISO/IEC 27001:2022 certifications. Hosting runs in Microsoft Azure West Europe in the Netherlands, with failover to North Europe in Ireland; organisations that require data stored onsite can ask about an on-premise version. These options make the product more suitable for organisations with defined security and hosting requirements than a service with only a standard cloud deployment.

Debrief’s opt-in design is useful for organisations that want AI-assisted transcription without making it part of every meeting. iBabs says customer data is not used to train AI models. The file-size cap and possible peak-time delay are worth weighing for teams with long recordings or tight minute-taking deadlines.

Pricing

iBabs Meet uses custom pricing configured by country and number of users. Sales offers volume discounts above 100 users, so larger organisations may have room to negotiate, but buyers should contact iBabs to establish their cost. A free trial is available; no published seat minimum, trial length or renewal terms are provided.

There is one named plan, iBabs Meet, with the meeting workflow, agenda templates, decision tracking and outcome reporting described above. Since there are no published tiers or prices, smaller organisations cannot compare a lower-cost feature-reduced plan against the full product before speaking with sales.

Platforms

iBabs supports Android, iOS, web and Windows, as well as a self-hosted option. That mix suits organisations whose board members use different devices and those that need an onsite deployment. Onboarding can enable deployment in less than a week, and a technical support ticket route is available.

Who it's for

iBabs names businesses, schools, city governments, healthcare organisations, councils, housing associations and voluntary organisations among its audiences. It is most compelling where formal meetings need shared documents, clear decision records and accountable follow-up. Groups seeking a simple note-taking tool, or buyers who need transparent prices to shortlist vendors, should look elsewhere.

Pros and cons

Pro: Agenda, minutes, voting, decisions and action tracking cover the meeting cycle, reducing the need to split board work across separate tools.
Pro: Offline document access, broad Microsoft integrations and multiple single sign-on providers support varied member access and established organisational systems.
Pro: Cloud hosting in the Netherlands, failover in Ireland and an on-premise option give organisations deployment choices aligned with their data requirements.
Con: Custom pricing requires contacting sales, making direct budget comparisons difficult before a conversation.
Con: Debrief’s 1 GB audio-file cap and possible 30-minute peak processing time may not suit large recordings or urgent minutes.

Alternatives

BoardiGO is worth considering for smaller groups that want a free starting point: its free plan covers one organisation, up to 10 users and 2 GB of storage, while Pro costs 55.00 EUR per month billed yearly. Choose Convene if its Lite plan’s meetings module, secure cloud hosting and permission-based access match your needs; its pricing is also custom. Board Director offers custom pricing based on seats, business phase and organisational complexity, making it another option for buyers who want a tailored plan.

Boardable may suit buyers who prefer a published entry price: Essentials is shown at 20.99 USD per year, billed annually, with a starting rate of $20.99 per user per month and stated file, guest, group and survey limits. BoardPro is an alternative with a published Essentials price of 165.00 USD per month per board, unlimited users and document storage; subcommittees cost extra. OnBoard is another paid board-management option. Sherpany offers Executive for 20 or more users and up to five rooms, while its Board plan serves up to 20 users. BoardPAC may suit organisations considering self-hosting; its subscription pricing is based on annual periods and end-user count.

Verdict

Choose iBabs Meet if your organisation runs formal board or committee meetings and needs agenda preparation, documentation and accountable follow-up in one workflow, with offline access and flexible hosting choices. Its Microsoft integrations and security provisions strengthen the case for established organisations with specific administrative needs. Look elsewhere if you need transparent pricing before engaging sales or require faster, less constrained AI transcription.
