Overview

CubbyTrack covers much of a center’s operating routine: tracking attendance, managing enrollment, handling billing, organizing staff records and sharing updates with families. Linking these jobs can help centers keep day-to-day administration and parent communication in a common system. Leaders can also switch among multiple locations while keeping center access and operations tied to each site.

The responsive web app works in modern browsers on phones, tablets and computers, so staff do not need a native mobile app for normal workflows. That suits teams using a mix of devices, though providers that require an app-store iPhone or Android app should look elsewhere.

Key features

Attendance, billing and staffing

Classroom headcounts, check-in and check-out history, authorized-pickup workflows and ratio awareness support daily classroom oversight. Billing brings tuition, invoices, online payments, autopay, subsidy tracking, balances and collections into the same system. Online tuition payments run through the center’s Square merchant account, which handles the transactions; that is a practical fit for centers already using Square, but makes Square central to the payment workflow.

Staff records include schedules, time-clock activity, breaks, regular and overtime hours, training and compliance records, reminders, and payroll-preparation reports. These tools can organize time and prepare figures for payroll, but CubbyTrack does not process payroll or file payroll taxes. Centers will still need a separate way to handle those responsibilities.

Family communication and learning

The family portal connects communication with care information, forms, billing, enrollment details, calendar items, learning updates and document requests. Learning workflows include observations, assessment evidence and family acknowledgments. Keeping these exchanges alongside operational records may suit centers that want families to access more than messages alone.

Enrollment and center oversight

Inquiry and lead tracking, tours, applications, classroom capacity and waitlist activity give centers tools to manage prospective enrollments as well as current records. Role-based accounts, center boundaries and database row-level security provide access controls. CubbyTrack does not claim HIPAA, SOC 2, PCI or other certification, so organizations with a specific certification requirement should confirm that the product meets their needs before adopting it.

Pricing

CubbyTrack has a free Home Provider plan and paid center plans priced by active-child capacity. The free option is tightly sized for a home provider; centers with more children or staff need a paid plan.

Plan	Price and terms	Capacity and accounts
Home Provider	Free	1–4 active children, 1 center staff account, 1 physical location
Starter	$39.00 USD per month; eligible first center can start with 30 days free	5–12 active children, up to 5 staff accounts, 1 physical center
Growing Center	$79.00 USD per month; eligible first center can start with 30 days free	13–30 active children, up to 20 staff accounts, 1 physical center
Established Center	$119.00 USD per month; eligible first center can start with 30 days free	31–60 active children, unlimited staff accounts, 1 physical center
CubbyTrack Fall Special	$39.95 USD per month for 12 monthly payments, then $59.95 USD per month	Every feature, unlimited staff accounts, one physical center per subscription

Home Provider is the fit for a provider with no more than four active children and one staff account. Starter raises the ceiling to 12 children and five staff accounts; Growing Center expands that to 30 and 20, while Established Center accommodates up to 60 children with unlimited staff accounts. Each standard center plan covers one physical center, so multi-location organizations should account for that limit. The Fall Special includes every feature and unlimited staff, but its price rises after 12 monthly payments; its one-center-per-subscription term remains important for operators with multiple sites.

Platforms

CubbyTrack is a web application rather than a native mobile app. Its browser-based design supports phone and tablet use without a separate iOS or Android app, but does not provide an app-store installation option.

Who it's for

CubbyTrack is aimed at home providers and childcare centers that want enrollment, classroom attendance, staff administration, billing and family communication connected. Its capacity-based plans make the fit clearest for a single physical location with up to 60 active children on the standard tiers. Providers needing payroll execution, tax filing, or a native mobile app should plan for other tools or consider another platform.

Pros and cons

Pros

Broad center coverage: attendance, enrollment, billing, staff records and family workflows sit in one system, reducing the need to split these tasks among separate tools.
Useful family portal: families can access billing and enrollment details as well as communication, care information, forms and learning updates.
Browser access across devices: staff can use phones, tablets or computers without requiring a native app.

Cons

No payroll processing or tax filing: timecards and payroll-preparation reports help organize inputs but leave payroll execution to another service.
Square-dependent tuition workflow: online payments connect to the center’s Square merchant account, which is a constraint for centers seeking a different payment path.
One physical center on the listed plans: each plan’s center limit matters to operators managing multiple sites, even though leaders can switch among locations.
No native iOS or Android app: responsive browser access covers mobile workflows, but not teams that require an installed app.

Alternatives

For a smaller provider prioritizing a free plan or a native mobile app, MyKidReports offers a free tier for up to five children, one staff account and one room, with iOS and Android apps. BloomKidz is another option for a nursery with 1–50 registered children: its listed monthly plans are £24.99 for 1–30 children and £34.99 for 31–50, and it has Android and iOS apps.

Providers seeking a free web option with room for more children may consider ParentLink, whose free plan supports up to 15 children, five staff users and three rooms. Lillio may suit centers comparing a platform offered on Android, iOS and web with custom pricing based on center needs and size. Parent is a paid, cross-platform alternative with messaging, media sharing, newsfeed, scheduling and attendance features.

Kangarootime has a free plan for one program, one school and five staff members, which may appeal to operators assessing a free multi-platform option. Yenlio offers a free starter plan for up to three children and one staff account, plus Android, iOS and web access. Gertrude is another free option, with availability across Android, Linux, macOS, web and Windows.

Verdict

CubbyTrack is a strong fit for a small childcare center that wants one browser-based system for attendance, enrollment, billing, staff administration and family communication. Its breadth and family portal are the main reasons to choose it; its Square-based payment workflow and lack of payroll processing and tax filing are the main reasons to look elsewhere. Choose it when those boundaries suit your operation and a single-center plan covers your needs.
