Overview

Microsoft Power BI is a business intelligence platform for exploring data and turning it into reports and dashboards. It is strongest for people and organizations that want analytics tied into Microsoft’s software ecosystem. Free personal report creation is a useful starting point, but sharing is where team use moves into paid plans.

Key features

Power BI combines report authoring with distribution: insights can be shared through Microsoft Teams, PowerPoint, SharePoint, and other apps. Its integrations with Microsoft 365, Azure, Purview, Dynamics 365, and Power Platform make it a natural fit for organizations already working in those environments; teams outside that ecosystem may find less to gain from those connections.

Natural-language questions and report descriptions can prompt Copilot to generate visuals and reports, giving users another route from a question to an analysis. Scheduled reporting and hourly refresh frequency support recurring reporting needs, while row-level security lets access be controlled at the data level. Power BI also offers built-in security and works with security and governance solutions. OneLake provides a centralized data foundation using open formats and consistent governance.

Developers can use Power BI Embedded to put interactive reports into their own applications. That is a distinct option from sharing reports internally, but it comes with variable pricing rather than a published per-user rate. A unified capacity model is intended to help scale access, simplify administration, and optimize costs as usage grows.

Pricing

The Free account is free and requires no credit card. It supports personal report and dashboard creation, and Power BI Desktop is available as a free download for data exploration and report authoring. The key restriction is sharing: reports cannot be shared without upgrading to Pro or Premium, so free is best for individual use rather than team distribution.

Power BI Pro costs 14.00 USD per month (billed paid yearly), or $14 per user each month when paid yearly. It adds report sharing and includes 8 scheduled refreshes per day and 10 GB per license. That makes it the practical step up for teams that need to collaborate, though the per-user annual commitment and refresh allowance matter when estimating rollout costs or supporting frequently updated reports.

Power BI Premium Per User costs 24.00 USD per month (billed paid yearly). Its allowance rises to 48 scheduled refreshes per day and 100 TB native storage, making it the more suitable per-user option for heavier refresh and storage needs. It is a substantial increase over Pro, so users who do not need those larger limits may be better served by the lower tier.

Power BI Embedded uses variable pricing, with analytics starting at $1 per hour; customer-facing reports, dashboards, and analytics in applications are its stated use. Fabric Capacity Reservation and Fabric Capacity Pay-As-You-Go both have custom pricing. The reservation is an annual purchase and saves 40.5% over pay-as-you-go prices; the pay-as-you-go model can scale capacity up or down and pause it. Actual prices can vary by currency, country, and regional factors.

Platforms

Native mobile apps are available for Windows, iOS, and Android, and Power BI Desktop is a free download for Windows. Hybrid deployment gives organizations a deployment option beyond a purely cloud-based model. Support includes service status, technical support, documentation, training, and community help.

Who it's for

Power BI is a good fit for individual analysts who want free report authoring, Microsoft-centered teams that need governed sharing, and developers embedding interactive analytics in their applications. It is less compelling for a group that only needs free shared reporting, since the free account is limited to personal use, or for buyers who need predictable embedded pricing per user.

Pros and cons

Pro: Free personal report creation and a free Desktop authoring app make it possible to build reports without an upfront purchase.
Pro: Microsoft integrations and sharing across Teams, PowerPoint, and SharePoint suit organizations already using those tools.
Pro: Row-level security, governance compatibility, and higher refresh and storage allowances on Premium Per User support more managed, intensive use.
Con: Free reports cannot be shared, so collaboration requires a paid upgrade.
Con: Pro and Premium Per User prices require annual payment, and both are charged per user.
Con: Embedded and Fabric capacity pricing is variable or custom, making costs harder to compare from a simple per-seat price.

Alternatives

Business Intelligence Tools is a useful starting point for comparing software across the category.

Zoho Analytics suits readers seeking another freemium option; its free plan supports 2 users, 10,000 rows, and 5 workspaces, with a Basic plan at 24.00 USD per month billed annually.
Apache Superset is worth considering for users who want a free, open-source data exploration and visualization platform and are prepared to manage its installation.
Preset offers a free forever Starter plan for up to 5 users and 1 workspace, making it an option for a small web-based team.
Databox may suit a user who wants a free plan limited to 1 user, 3 data sources, and 50 AI credits per month.
KNIME Analytics Platform is an alternative for readers who want a free, open-source analytics platform across Linux, macOS, and Windows.
Looker is an alternative for buyers considering a paid platform with a free trial and a Standard plan that includes 1 production instance, 10 Standard Users, and 2 Developer Users.
Cluvio offers a free plan with 3 dashboards, 1 datasource, and 1,000 query executions per month for readers whose requirements fit those limits.
Tableau is another freemium option; its Creator plan costs 75.00 USD per month billed annually and requires a Creator license for each new deployment.

Verdict

Choose Power BI if you want free personal report creation with a clear path to Microsoft-connected sharing, governance, and embedded analytics. Its strongest case is the combination of authoring, Microsoft integrations, and escalating capacity options. Look elsewhere if your priority is sharing reports without per-user annual fees or if you need an easily predictable price for embedded analytics.
