Overview

The desktop app works alongside Zoom, Microsoft Teams and Google Meet, and can also be used for in-person conversations. It captures microphone and meeting audio as separate streams, then places coaching in an always-on-top overlay hidden from screen sharing. That setup keeps prompts in view for the user without exposing them through a shared screen.

ConversationPilot follows conversations with reports, notes prepared for CRM use, scorecards and follow-up email drafts. Its support for SPIN, MEDDIC, BANT and Challenger gives prompts a defined sales-methodology context. But the product does not synchronize with a CRM, so teams must account for whatever steps are needed to move prepared notes into their systems.

Key features

Live sales and recruitment coaching

Sales guidance covers next-best questions, objection handling, buying signals and qualification. Recruitment mode instead tracks salary, notice period, motivation, eligibility, availability and culture-fit indicators. This split makes the product more relevant to sales and recruiting conversations than to teams seeking a general-purpose interview assistant.

Post-call materials and integrations

Call transcription, objection detection, coaching scorecards and next-step extraction support a useful cycle from conversation to follow-up. CRM-ready notes are supported for HubSpot, Salesforce and Pipedrive; recruitment notes are supported for Bullhorn, Vincere, JobAdder, Greenhouse and Ashby. These are prepared notes, not CRM synchronization, so they do not remove the need to handle CRM updates separately.

Audio handling and security

ConversationPilot says it does not store audio: it transcribes short clips and discards them. It also says neither it nor its OpenAI and Anthropic providers use conversations to train models. Traffic uses TLS 1.2 or later and hosting providers encrypt data at rest, but the company does not yet hold a SOC 2 report. Organizations with that certification as a procurement requirement will need to look elsewhere or wait.

Pricing

The free plan costs 0.00 USD per free and allows 3 calls/month, but has no live coach. It is useful for limited post-call use, not for evaluating the core real-time coaching experience. A 7-day trial gives prospective buyers a short window to assess paid coaching.

Solo costs 39.00 USD per month, billed monthly, for full live coaching and individual use. It is the straightforward fit for one user who wants prompts without team management features. Team costs 59.00 USD per month, billed monthly per seat, and adds unlimited coached calls, a manager dashboard and leaderboards. That suits teams that need shared visibility, though per-seat billing makes headcount a direct cost consideration.

Manager costs 89.00 USD per month, billed monthly per seat, and adds advanced coaching analytics, org-wide benchmarks and custom scorecards. It is aimed at organizations that need more than the Team plan's dashboard and leaderboards. Across paid plans, CRM synchronization is not included, so buyers should not treat CRM-ready outputs as an automated workflow.

Platforms

ConversationPilot is available on macOS, Windows and the web. Its desktop app supports Zoom, Microsoft Teams and Google Meet as well as in-person conversations.

Who it's for

Salespeople who want live cues grounded in SPIN, MEDDIC, BANT or Challenger, and recruiters who need structured prompts around candidate criteria, are the clearest audience. Solo is the relevant paid plan for individual use; Team and Manager add progressively broader team oversight and analytics. It is a weaker fit for buyers who require direct CRM synchronization, a SOC 2 report or a free plan with live coaching.

Pros and cons

Pros: Live prompts address questions, objections, buying signals and qualification, giving users support during the conversation rather than only a transcript afterward.
Pros: Recruitment mode tracks specific candidate factors, while CRM-ready notes cover named sales and recruitment systems.
Pros: Short-clip transcription and audio disposal, together with the stated no-training policy, may matter to teams evaluating conversation data handling.
Cons: The free plan has no live coaching, so it does not demonstrate the product's defining paid capability.
Cons: CRM-ready notes do not sync, leaving teams to manage CRM updates outside the product.
Cons: Per-seat Team and Manager pricing scales with users, and the company does not yet hold a SOC 2 report.

Alternatives

TalkPilot is worth comparing for buyers who want a free tier with 5 conversations per month, each up to 30 minutes, plus 5 practice runs and 3 scenarios; it also supports Android and iOS. Colibri.ai may suit teams prioritizing transcription, with a free plan for one user, 5 hours monthly and a 40-minute recording limit, plus Linux support. Jiminny is an option for organizations willing to consider an Insights Seat at 42.00 USD per month under a minimum 12-month contract, billed monthly or annually at a discounted rate.

Avoma offers a Startup plan at 19.00 USD per month billed annually, with up to 25 paid seats and unlimited free view-only seats, making it a plan to compare when viewer access matters. Amotions AI has a free Basic plan with limited usage that includes live coaching, roleplay, scorecards and transcripts, and supports two playbook documents or links. Rafiki AI is a paid alternative with a Starter plan at 19.00 USD per month billed annually for up to three users, with stated audio and transcription allowances.

Piper AI is another paid alternative with custom pricing. WorkChi is a paid web and API alternative with a Starter plan at 49.00 EUR per month, including three AI agents and unlimited team members. For a broader shortlist, see AI Sales Call Analysis Software.

Verdict

ConversationPilot is a strong candidate for sales and recruitment users who want in-call guidance paired with structured follow-up, especially when its framework prompts or recruitment criteria match their workflow. Choose a paid plan if live coaching is the point; look elsewhere if CRM synchronization or a SOC 2 report is essential, or if a free plan must include coaching.
