Overview

Atlas CMMS is maintenance software for teams managing equipment, service requests, and recurring upkeep. It best suits organizations that want broad asset tracking and a choice of cloud, self-hosted, or hybrid deployment. Its free tier covers core work orders and asset management; inventory and more advanced controls require paid seats.

Key features

Work orders and preventive maintenance

Teams can create, assign, prioritize, and track work orders, preventive maintenance, and service requests. Schedules can recur daily, weekly, monthly, or yearly, or run in response to events or meter readings. That flexibility suits teams balancing calendar-based servicing with equipment-triggered work. Technician time and manpower tracking start with Starter, so organizations that need labor records should account for the per-user charge.

Assets and parts inventory

Asset records support 10 to 1,000,000 assets, with custom fields, parent-to-child hierarchies, QR codes, maintenance logs, and sensor connectivity. This gives teams room to represent complex equipment relationships as well as individual assets. Inventory adds low-stock notifications, automatic usage tracking, barcode lookup, cost reporting, and usage forecasting, but is a paid feature beginning with Starter.

Mobile, deployment, and integrations

The iOS and Android apps let technicians review assigned work, start work orders, receive notifications, and look up asset information. Professional adds offline mobile mode, a meaningful upgrade for teams that need to keep working without a connection. Atlas can be used in the cloud, self-hosted, or in a hybrid deployment. Its repository lists Google Maps integration and configuration options for Google Maps, Google Cloud Storage, SMTP, SendGrid, and Google or Microsoft OAuth2.

Licensing, security, and support

Atlas is described as open source, with the project repository identifying AGPLv3 licensing alongside a commercial license for white labeling, custom branding, and advanced features. Organizations considering modifications or branded deployments should weigh those licensing paths. The privacy policy says data at rest is encrypted with AES-256 and data in transit with TLS 1.3, and describes documented incident response procedures with a 72-hour notification timeline. It also says Atlas does not sell personal information and names Cloudflare, Netlify, and Google as service providers. Standard support is by email during business hours with a 24-hour response time; cloud deployments carry a 99.9% monthly uptime commitment.

Pricing

Atlas uses a freemium model, with a free Basic plan and paid plans billed per user. The 15-day trial is for internal evaluation only; the terms prohibit using it for production or commercial purposes.

Basic — 0.00 USD per free: Unlimited work orders, custom tasks, unlimited Request User Licenses, and asset management. It is a useful starting point for teams that need to coordinate work and maintain asset records, but it does not include inventory management, time and manpower tracking, or the higher-tier tools.
Starter — 10.00 USD per month: Billed $10 /month per user. Adds custom checklists, inventory management and costing, time and manpower tracking, and 30 day analytics and reporting. It fits teams ready to manage parts and labor alongside work orders, though reporting is limited to 30 days.
Professional — 15.00 USD per month: Billed $15 /month per user. Adds multiple inventory lines, signatures, a customizable request portal, and mobile offline mode. Choose it when those workflows or offline technician access justify the higher seat cost.
Business — 40.00 USD per month: Billed $40 /month per user. Adds workflow automation, purchase order management, multi-site module support, and API access. It is the tier for organizations needing purchasing and multi-site operations, but the per-user price makes it a substantial step up from Starter.

For small teams with straightforward needs, Basic avoids seat charges while preserving unlimited work orders. Once inventory or labor tracking is essential, the relevant minimum is Starter at $10 per user per month; the trial does not provide a way to run production workloads before committing.

Platforms

Atlas supports Android, iOS, web, API, and self-hosted deployments. The combination of native mobile apps and self-hosting gives organizations options for technician access and deployment, while API access is included in Business.

Who it's for

Atlas is a strong fit for maintenance teams that need recurring or meter-triggered work, detailed asset records, and parts tracking in one system. Its deployment flexibility and asset range also suit organizations planning for varied infrastructure or larger equipment estates. It is less suited to teams that need production use during evaluation, or that require inventory, labor tracking, offline mobile work, or API access without moving into paid tiers.

Pros and cons

Pros: The free tier includes unlimited work orders and asset management, making it practical for basic maintenance coordination without a per-user fee.
Pros: Preventive schedules can follow calendars, events, or meter readings, supporting more than one maintenance cadence.
Pros: Asset records combine hierarchies, QR codes, logs, custom fields, and sensor connectivity, while deployment can be cloud, self-hosted, or hybrid.
Cons: Inventory and time tracking require at least Starter, so the free plan does not cover the full parts-and-labor workflow.
Cons: Paid plans are charged per user, and the jump to Business is considerable for teams that need its automation, purchasing, multi-site support, or API access.
Cons: The 15-day trial cannot be used for production or commercial operations, limiting its value as a live pilot.

Alternatives

MaintainX is another freemium option with Android, iOS, web, and API support; its free plan includes unlimited work orders, procedures, and requester users, with a limit of two work orders with attached procedures. It may suit teams whose priority is free procedure access, while Atlas offers self-hosted deployment and asset records with sensor connectivity.

Fiix has a free plan for limited users with 25 active preventive maintenance tasks, unlimited service requests, work orders, downtime tracking, asset management, and mobile support. It is worth considering for a team that can operate within that PM cap; Atlas Basic instead emphasizes unlimited work orders and custom tasks.

TheFaithApp is an alternative for readers looking for a faith-focused platform.

usBIM.platform offers a free basic configuration with 10 GB of cloud storage and free online applications, making it a different option for readers seeking those capabilities.

Infodeck starts its Lite plan at 20.00 USD per month, billed $20 USD/user/mo, with one site, 100 physical assets, 200 monthly visitor check-ins, five IoT devices, and five tracked workforce. It is a better fit when visitor management and a defined IoT and workforce allowance are central; Atlas is more directly focused on maintenance workflows and offers a free tier.

MAPCON is a paid alternative with a MAPCON Lite cloud plan at 35.00 USD per month for one concurrent user and 100 assets. Consider it if that one-user, capped-asset arrangement suits your needs; Atlas offers free work-order and asset management and self-hosting.

VenueArc is a freemium option centered on facility booking and event scheduling.

Vivantio is a paid ITSM alternative with API, web, and self-hosted platforms and published pricing from $49–$99 per agent per month, billed annually, with end users free. It is more relevant to teams choosing IT service management than maintenance operations.

Verdict

Atlas CMMS is a compelling choice for maintenance teams that want a free starting point, flexible preventive schedules, substantial asset-record capacity, and deployment choice. Its strongest case is the breadth of maintenance capability across cloud, self-hosted, and hybrid setups. Look elsewhere if you need a production-ready trial or want inventory, offline mobile work, or API access without paying per user.
