Overview

Founded in 2012 and based in Gaylord, Michigan, BiddingOwl covers event setup and administration as well as bidding. Organizers can preview items, sell tickets, accept donations, and manage checkout. This broad scope can keep event work in one system, but the cost model makes the format of each auction an important budgeting decision.

Key features

BiddingOwl supports online, mobile, silent, live, and offline auctions. That range suits organizations that shift formats between events; groups focused only on a simple online auction may not need such breadth. Donations, admission and raffle tickets, Fund-a-Need, and paddle raises are standard features, so organizations can use these fundraising activities without buying separate add-ons.

Bidders can watch items and set a maximum proxy bid, allowing automated bidding up to their chosen limit. SMS and email alerts cover outbids, wins, and event updates, which can keep remote participants informed. Those conveniences come with a meaningful cost for digital auctions: the platform charges a percentage when an online or mobile bid wins.

Stripe and PayPal are supported, while cash and check payments can be recorded by manually marking invoices paid. The manual step is useful for events that accept offline payments, though it leaves organizers responsible for updating those records. The payment integrations page says Stripe and PayPal use SSL encryption and are PCI compliant.

Organizers can import auction items from CSV, export item data, manage and duplicate events, and retain their data. One login can manage multiple organizations and work on different auctions simultaneously, a practical advantage for people overseeing several groups or events. BiddingOwl says its platform runs on AWS and is built to handle high volumes of bidding activity.

Phone and email support is available during weekday office hours, with 24/7 critical emergency phone support. Personal training sessions can be scheduled by phone or email. The emergency line provides a useful fallback for urgent issues, but routine assistance remains tied to weekday hours.

Pricing

BiddingOwl uses a freemium model with two distinct charges. The traditional silent/live auction and related services plan is free. It covers event setup, item previews, printed bid sheets, ticket sales, donations, and checkout; payment processor fees may apply. This is the strongest fit for organizations that can run their events through traditional silent or live formats and want to avoid a platform charge.

The online/mobile auction plan costs 5.00 USD per once, billed as a 5% performance fee on winning online/mobile bids. Pre-bid fees are based on the pre-bid amount, and a charge applies only when an item receives a winning online/mobile bid. That contingent fee avoids a charge on unsold items, but organizations with substantial digital bidding should account for the percentage on successful bids as well as processor fees. The pricing is not a flat subscription, so the total depends on auction results.

Platforms

BiddingOwl supports Android, iOS, and web. Its mobile support aligns with the mobile bidding option, while web access gives organizers and participants another way to use the platform.

Who it's for

BiddingOwl is a strong match for nonprofits, schools, charities, and other organizations that need more than one auction format, or that want fundraising activities and event administration in the same platform. Multiple-organization management also suits people coordinating auctions for several groups. It is less compelling for organizations that depend heavily on online or mobile bidding and need to minimize percentage-based fees, or for teams that require routine support outside weekday office hours.

Pros and cons

Pros: Traditional silent/live services are free, with event setup, ticket sales, donations, and checkout included; this gives organizations a way to run traditional auctions without a platform charge.
Pros: Support for five auction formats and standard fundraising tools covers varied event needs without separate paid add-ons for those activities.
Pros: CSV item handling, event duplication, retained data, and multiple-organization access help organizers manage repeat events and more than one group.
Cons: Winning online/mobile bids carry a 5% performance fee, with pre-bid fees based on the pre-bid amount; processor fees may add to the cost.
Cons: Cash and check transactions require organizers to mark invoices paid manually, adding an administrative step.
Cons: Regular phone and email support is limited to weekday office hours; only critical emergency phone support is available 24/7.

Verdict

Choose BiddingOwl if your organization needs several auction formats, standard fundraising activities, and tools for managing recurring events or multiple organizations. Its free traditional silent/live service is the clearest reason to choose it. Look elsewhere if online and mobile bidding will dominate your fundraising and a 5% fee on winning bids is hard to justify, or if routine support outside weekday hours is essential.
