Overview

BenchApp is a sports team management platform for coaches, captains, commissioners, parents, and players. It suits teams and leagues that want scheduling, attendance, communication, and fee tracking in one place, particularly when some players prefer to RSVP by text rather than install an app.

Its free plan covers core team administration, while text-based tools and deeper finance features are paid. That makes it a practical starting point for volunteer-run teams, but leagues should compare the per-team PRO route with league subscriptions.

Key features

Schedules, rosters, attendance tracking, and automatic reminders address the recurring work of organizing a team. Email and text RSVPs give teams more ways to collect responses; text replies do not require an app or account, which lowers the barrier for players who are less comfortable with another service.

Team, group, and private messaging are joined by line-ups, photos, GIF sharing, polls, and bulletins. This gives routine coordination and team updates a shared home. However, polls and bulletins are PRO features, so the free plan does not include the full communications toolkit.

Teams can track fees and expenses, accept online credit-card payments, and send automatic overdue reminders. These tools are useful when a team needs more than a calendar and chat, though advanced finance and expense tracking require PRO. Stripe processes payments and subscriptions; BenchApp says it does not have access to card details.

Automatic schedule sync can add a league schedule and notify users when it changes. That is especially relevant to leagues managing schedules across teams. The company says it supports hockey, soccer, baseball, basketball, football, volleyball, lacrosse, pickleball, golf, and other sports.

BenchApp says it uses SSL encryption, secured infrastructure, and restricted access to protect personal information. Its privacy policy says it does not share personal information without express permission, except with service providers needed to deliver the service.

Pricing

BenchApp uses a freemium model, with paid plans starting at $9.00 USD per month. Players can join, RSVP, and message for free on every plan, but teams choosing a paid tier should weigh the added tools against their actual needs.

Plan	Price and terms	What it includes
Free	Free; no cost	Unlimited roster, scheduling, RSVP tracking, team messaging, player stats, and payment tracking.
PRO	9.00 USD per month; billed monthly through Stripe. Annual billing is also offered, but its price is not shown on this page.	Text message RSVPs, text broadcasts, bulletins and polls, advanced finance tracking, expense tracking, and priority team tools.
League Monthly	10.00 USD per month; billed monthly to the league, with a 30-day free trial.	PRO for every team, league-wide tools, no setup fee, and cancellation anytime.
League Yearly	100.00 USD per year; one annual league invoice.	PRO for every team and league tools, with 2 months free.

The free plan has no stated roster cap and includes the central tasks of scheduling, RSVPs, messaging, stats, and payment tracking. It gives up PRO tools such as text broadcasts, polls, bulletins, and advanced finance features. PRO is the straightforward choice for an individual team needing those upgrades; leagues can instead pay monthly or annually for PRO across every team. The monthly league plan includes a 30-day trial and can be cancelled anytime, while the yearly plan trades a single annual invoice for 2 months free.

Platforms

BenchApp is available on Android, iOS, and the web. Players can also reply to text RSVP requests without an app or account, which is useful when not everyone wants to use a mobile app.

Who it's for

BenchApp is best suited to organized sports teams that need one place for schedules, attendance, messaging, and team finances, and to leagues that want PRO access for every team. Its free core is a good fit for teams with straightforward administrative needs. Teams that require text broadcasts or more involved expense tracking should budget for PRO, while a league should consider whether the league plans better suit its broader setup.

Pros and cons

Pros: The free plan includes unlimited roster, scheduling, RSVP tracking, messaging, player stats, and payment tracking, making it useful for core team administration without a paid subscription.
Pros: Text RSVP replies need no app or account, giving teams a way to collect responses from players who do not want to install or register for another service.
Pros: League subscriptions include PRO for every team and league-wide tools, rather than requiring separate team plans.
Cons: Text broadcasts, polls, bulletins, and advanced finance tools are PRO features, so teams needing the broader set must pay beyond the free plan.
Cons: The annual PRO price is not shown on this page, making it harder for an individual team to compare annual and monthly billing.

Alternatives

Compare sports team management software if you want to consider a wider range of options.

Chalk is worth considering if you want a free plan with team chat, RSVP, unlimited players, scheduling, dues and registrations, and digital waivers.

The Dugout is another freemium option for Android, iOS, and web.

SportEasy may suit smaller teams looking for a free plan capped at 30 registered members, or teams comparing its Basic and Premium options priced in euros.

Sportlyzer is an alternative for clubs considering a free plan alongside a Full package whose price depends on club size.

TeamStats may be a fit for teams prioritizing a free core plan, provided they can do without availability tracking and online payments and accept ads.

Teamy is another freemium option, with a Basic plan capped at three teams and 25 team members.

Upplii may appeal to teams seeking a plan with no monthly platform fee, up to three teams, and payments and scheduling.

Pitchero offers a free plan for one team, but that plan does not include payment processing and includes third-party advertising.

Verdict

Choose BenchApp if your team wants core scheduling, attendance, messaging, stats, and payment tracking without a subscription, or if your league wants PRO tools for every team under one plan. Its strongest case is the combination of broad free team tools and account-free text RSVPs. Look elsewhere if you need PRO communications or deeper finance features but cannot justify the additional subscription.
