Overview

CafeTran brings document translation, translation memory, and glossary tools together in a translator-focused application. The maker positions it for freelancers but says it can handle large translation memories and complex formats, so it can suit work that outgrows a basic solo setup. Its standard version can also act as a translation-memory server for team collaboration, extending its use beyond individual projects.

Key features

Support for office and publishing files plus bilingual formats including XLIFF, SDLXLIFF, SDLPPX, MQXLIFF, and TXML makes CafeTran relevant when clients deliver work from different systems. The maker says translators can take jobs created with SDL Trados, MemoQ, Wordfast, and other major CAT tools. That breadth can reduce friction at handoff, although it does not remove the need to work within a client's chosen format.

AI and machine-translation integration, smart autocompletion, and one-click placement of suggested text aim to speed repetitive work. A customizable interface gives translators control over their workspace. For PDFs and other difficult formats, a system-clipboard workflow offers another route to translate content that may not fit a standard file handoff.

The free edition runs indefinitely, but the combined limits of 1,000 translation units across translation memories and 500 glossary terms can become restrictive as a translator's reusable resources grow. Paid licensing removes that ceiling only under the annual subscription, and only for its subscription year.

Pricing

Plan	Price	What it includes	Best fit
Free	Free	1,000 translation units across translation memories and 500 glossary terms in total.	Translators with small resource libraries who want an ongoing free option.
Annual Subscription	80.00 EUR per year	No translation-memory or glossary size limits during the subscription year, latest-version updates, and full support while payments remain current. Payment is processed automatically, and annual license files are provided.	Working translators who need larger resources and want current updates and support.
One-time Purchase	200.00 EUR per month	Four years of upgrades and support.	Buyers who prefer a one-time purchase, though the stated price is monthly.

The annual plan's automatic payment and continuing-payment condition matter: its expanded resource limits, updates, and support apply while the subscription is current. License files are generated for a specific computer, though buyers may request one for a second computer. All sales are final because issued license files cannot be invalidated, so buyers have no refund option if the license does not suit their needs. The maker offers a knowledge base, forum, and support tickets, with support often handled personally by developer Igor Kmitowski.

Platforms

CafeTran runs on Linux, macOS, and Windows. That makes it a plausible fit for translators who need to work across these desktop operating systems, rather than a browser-only workflow.

Who it's for

Freelancers handling varied client formats are the clearest audience, particularly those who value translation memories, glossary tools, and compatibility with established CAT-tool workflows. Teams can make use of the standard version's translation-memory server role. The capped free edition can suit limited workloads; translators building substantial resource libraries will need the paid subscription to remove those caps. Readers who require license security assurances should weigh the agreement's terms: the maker disclaims warranties that the software will be secure, error-free, or uninterrupted and assigns users responsibility for assessing security requirements.

Pros and cons

Pros: Support for three desktop platforms and a wide range of office, publishing, and bilingual formats makes it adaptable to varied translation work.
Pros: The standard version's translation-memory server role can support team collaboration, while AI and machine-translation integration and text-placement tools target repetitive work.
Cons: The free edition's 1,000-unit and 500-term ceilings limit how far a translator can build reusable resources without paying.
Cons: Computer-specific license files, final sales, and the security disclaimers put more purchase and risk assessment on the buyer.
Cons: The one-time purchase is priced at 200.00 EUR per month despite its name, which makes its cost basis less straightforward than the annual subscription.

Alternatives

For a free CAT tool across Linux, macOS, and Windows, BasicCAT is a straightforward alternative. Translators who want an open-source Windows translation-memory tool can consider OpenTM2.

Déjà Vu X3 offers a free edition for standalone and satellite projects prepared with its Workgroup product, making it relevant when that project workflow is the priority. TextUnited has a web and API-based free tier with 15,000 words per month, 15 PDF pages per month, and one user, for those whose work fits those quotas and a web-based setup. Verto provides a web free plan with five active projects, one user, 10,000 TM segments, 500 term-base entries, and 25,000 processed words per month.

ApSIC Xbench is another option for Windows users: its free Xbench 2.9 is non-Unicode freeware with development frozen. locAGI offers a free platform across API, Linux, macOS, and web, with unlimited seats and AI billed separately. For buyers considering a paid platform with broad operating-system coverage, XTM Cloud has a Team plan priced at 16500.00 USD per year.

Verdict

CafeTran Espresso is a strong fit for freelancers who need desktop translation tools that can handle varied client formats and grow beyond small resource libraries. Its cross-tool support, broad format coverage, and three operating-system options make a clear case for translators with demanding workflows. Choose another tool if you need uncapped resources for free, flexible license transfers, or a refund option; CafeTran's caps, computer-specific licensing, and final-sale terms are material trade-offs.
