Overview

The suite brings together funding search, federal proposal submission, award tracking, effort reporting, agreement workflows, and analytics. That range can help institutions keep related work in one administrative environment rather than managing each stage in isolation. It is a stronger fit for organizations with multiple research-administration needs than for teams looking only for a standalone grants or reporting tool.

Cayuse serves research organizations in higher education, healthcare, life sciences, nonprofits, government, and international institutions. Its cloud platform provides single sign-on across Cayuse applications, centralized task tracking, shared user data, and APIs for reporting. Cayuse guarantees 99.9% uptime, with nightly database and file-attachment backups and database snapshots every 30 minutes.

Key features

Funding discovery and proposal submission

Fund Finder searches funding opportunities, recommends grants, and sends alerts about new and active opportunities. This puts prospecting alongside the later stages of administration, which may suit teams seeking a connected workflow. Cayuse Proposals (S2S) supports federal forms with autofill and more than 1,500 smart validations; its single submission portal covers more than 30 agencies. Those checks and centralized submissions can help teams manage complex applications, especially when federal proposals are a regular part of their workload.

Award finance and effort reporting

Fund Manager gives teams portfolio views, spend tracking, configurable reports, and what-if forecasts for multi-year projects. It can connect to an institution’s ERP, general ledger, payroll, and eRA systems, addressing duplicate data entry across administrative systems. Cayuse Project Effort uses imported payroll and other relevant data to automate effort monitoring and certification. These functions are most useful where award oversight and effort compliance need to draw on institutional financial data.

Agreements, analytics, and integrations

Cayuse Agreements centralizes agreement information and uses automated notifications to support reviews. Award Management Insights consolidates award data, trends, and role-based dashboards, giving different users a way to examine research performance. The Report Connector can transfer platform data to external systems and business-intelligence tools such as Microsoft Power BI and SQL Server Reporting Services. The combination is useful for institutions that need both operational workflows and reporting paths beyond Cayuse.

Cayuse says its security program is audited and certified to SOC 2 Type 2, ISO 27001, and HITRUST i1 standards. Technical support is available weekdays from 6 a.m. to 5 p.m. Pacific Time through its support site, email, or phone, so teams needing help outside those hours should account for that schedule.

Pricing

Cayuse Award Management is paid software with custom pricing; the company invites prospective customers to request information. No self-service price is provided, so buyers should confirm the cost and scope against the workflows and integrations they actually need.

The Cayuse Award Management plan covers grant lifecycle, proposal management, award management, compliance workflows, agreement management, budget tracking, and API access. Those capabilities make it a broad option for institutions seeking multiple administrative functions together, but there is no published lower-cost tier or free plan to compare. The available plan information gives no seat or usage caps, trial length, or renewal terms, so those terms should be settled during a buying discussion.

Platforms

Cayuse is cloud-based and supports web and API access. That suits institutions that want browser-based workflows and programmatic connections, rather than a self-hosted deployment. The API and Report Connector also give administrators paths to move platform data into external reporting environments.

Who it's for

The suite is aimed at research organizations across higher education, healthcare, life sciences, nonprofits, government, and international institutions. It is a strong candidate for research offices coordinating proposals, awards, agreements, financial oversight, and compliance across teams. Organizations that need only one of those functions, or prefer a clearly priced subscription before contacting a vendor, have reason to look elsewhere.
