Overview

Upload a PDF or Word template and student records from Excel, CSV, or Google Sheets to create an individual PDF for each recipient. MailMergic is built for bulk workflows, with the education service designed to handle thousands of rows in a run. That makes it a stronger fit for recurring certificate, transcript, and diploma production than for occasional design work.

Before generating documents, its AI scans merge data for missing values, formatting problems, and mismatches. This can help teams catch common data issues before they reach students, although it cannot replace reliable source records. Student information systems that export CSV or Excel can feed the workflow without an API integration.

Key features

Bulk creation and email delivery

MailMergic creates personalized documents for download or sends them to recipients using spreadsheet data. A dashboard tracks delivery, opens, and bounces, giving administrators a practical way to monitor distribution rather than stopping at file creation. The stated recipient limit is 1,000, so teams sending to larger audiences should check whether that cap suits their workflow.

Integrations and privacy

Pro and Enterprise include Zapier and a public REST API; CSV and Excel exports offer a simpler route for schools that do not need a direct connection. For its online service, MailMergic says it encrypts data in transit and at rest, hosts it in the EU, and uses access controls. It also says customer data is not used for advertising or AI training. The education workflow is described as GDPR- and CCPA-compliant and FERPA-compatible, with a FERPA addendum available to U.S. institutions.

The Offline App processes documents on the user's device, with document content not sent to MailMergic or third parties during local processing. It is limited to one computer per license, runs on macOS and Windows, and excludes cloud AI features. That is a meaningful privacy choice, but it gives up the online AI checks and is not a multi-computer team license.

Pricing

MailMergic is freemium, with a free plan and paid plans billed annually. The published plan prices are:

Plan	Price	What it includes	Best fit
Always-Free	0.00 USD per free	25 documents per month, 1 user, watermarks	Testing a small workflow or producing low-volume documents where watermarks are acceptable.
Pro	39.00 USD per year	1,000 documents per month, 1 user, no watermarks, email sending, dedicated account manager, Zapier, public API	A solo administrator with regular monthly output and a need for integrations or tracked delivery.
Enterprise	66.00 USD per year	10,000 documents per month, 5 users, no watermarks, email sending, dedicated account manager, Zapier, public API, custom SMTP server	A small team that needs shared access, higher document volume, or its own SMTP server.
Offline App	107.00 USD per year	Unlimited documents, 1 computer per license, macOS and Windows, offline processing, all online features except cloud AI	A single-computer user who prioritizes local document processing over cloud AI.

The Always-Free plan's 25-document monthly cap and watermark make it a limited ongoing option, not a clean route for polished bulk distribution. Pro removes the watermark and raises the quota, but is still one user and 1,000 documents per month; Enterprise is the step up for five users and 10,000 documents. The Offline App avoids a document quota but binds each license to one computer and omits cloud AI. A free trial is offered. MailMergic's pricing note describes paid access as starting at $39/mo (annual), while the plan price shown for Pro is 39.00 USD per year; confirm the billing amount and term before purchase.

Platforms

MailMergic lists API, macOS, web, and Windows platforms. The Offline App is specifically offered for macOS and Windows; the online service provides the cloud workflow. Support is by email, with contact hours Monday through Sunday, 8am to 9pm UTC.

Who it's for

MailMergic is aimed at registrars and administrative offices, online course providers, training and professional development teams, K-12 schools, and language institutes. It is most compelling for teams that repeatedly merge student data into individualized documents and want to manage sending as part of the same workflow. Users who need extensive collaboration should account for the one-user Pro limit, while those who need local processing should weigh the single-computer license against the loss of cloud AI.

Pros and cons

Pros: Generates separate PDFs in bulk from familiar spreadsheet formats, including CSV exports from systems without API access.
Pros: Pre-generation checks for missing values, formatting problems, and mismatches can flag data issues before documents are produced.
Pros: Email delivery tracking includes opens and bounces, not just whether a document was sent.
Pros: Online and offline processing options address different privacy needs, with local processing keeping document content on the user's device.
Cons: The free plan is capped at 25 documents monthly and adds watermarks, limiting its use for professional distribution.
Cons: Pro is limited to one user and 1,000 documents a month; Enterprise raises those limits but still covers only five users.
Cons: Offline processing is tied to one computer per license and excludes cloud AI features.
Cons: The stated 1,000-recipient limit may be a constraint for large distributions even where document quotas are higher.

CertificatesMaker is a free web option with no stated limitations; consider it if you want a free certificate-making service.
Certifier has a free Starter plan capped at 250 credentials a year, one user, five templates, and three forms; consider it if that annual credential allowance is sufficient.
CertifyLink offers a free plan capped at four certificates and two events, with QR verification and bulk generation; consider it if that smaller event-oriented allowance fits.

Verdict

MailMergic is a good choice for education administrators who regularly produce individualized documents from spreadsheets and want checks, email sending, and delivery tracking in one workflow. Its strongest reasons to choose it are the education-focused bulk process and choice of online or local processing. Look elsewhere if you need more than five team seats, a larger recipient ceiling, or an offline license that works across multiple computers.
