Overview

Chefy is a web-based hospitality costing platform for kitchens, bars and groups managing several venues. It suits operators who need supplier prices, recipes and menu margins to stay connected, especially if they use Square for point-of-sale. Its free Core plan lowers the barrier to starting, while add-on charges and the absence of formal security certifications are important considerations as a business grows.

Key features

Recipe costs that follow price changes

Chefy Core supports standard products, nested recipes, wastage recording and approval workflows. When a product price changes, the new cost flows through associated recipes and menu items. That reduces the need to update each dish separately and gives operators a more current view of menu profitability. Yield and portion scaling, inventory tracking and ingredient price updates support the same costing work.

AI invoice processing extracts supplier prices automatically, which can reduce manual entry when invoices are a regular source of product updates. The practical benefit is less compelling for venues whose supplier pricing rarely changes or whose invoices do not fit their workflow.

Sales, reporting and floor operations

Chefy syncs Square sales and menu items, then matches sales to costed recipes. This connects actual sales activity to costing, but the POS link is Square-specific; venues using another POS should not assume the same integration.

Chefy Admin provides performance analytics, contribution margin, approvals and audit logs across venues. Threshold alerts flag margins that breach targets, while automated daily reports surface insights and trends. Chefy Go adds mobile-first tools for prep, wastage recording and stock counting on the floor, making the product relevant beyond office-based recipe management.

Controls and security

Chefy says it uses HTTPS/TLS for traffic, encrypts stored data, hosts data in Australia and backs it up automatically. It also offers per-user permissions and an audit log of changes. Square and Stripe handle card payments, and Chefy says it does not store card numbers. However, Chefy does not yet hold formal certifications such as SOC 2 or ISO 27001. Organizations that require those certifications should weigh that gap before adoption.

Pricing

Chefy uses a free Core plan with paid options charged by user, module, admin or venue. The free plan is billed forever at no cost and includes one core venue, costing and recipes, bulk product import, wastage recording, real-time costing updates and a team. Three team members are included per venue; each additional user costs 4.00 USD per month, billed per user / month.

Modules start at 12.00 USD per month, billed per module / month, for Sales, Stocktake, Procurement or Chefy Go. This is the stated starting paid price and lets a venue add capabilities selectively, but multiple modules can increase the recurring bill. Organization Admin costs 15.00 USD per month, billed per admin / month, for organization-wide oversight across venues. Each additional venue costs 65.00 USD per month, billed per venue / month, and includes full Core.

Core is a sensible entry point for a single venue that needs basic costing without a subscription charge. The extra-user and module fees matter for teams that need broader access or operations tools; the per-venue and admin charges make total cost a more significant consideration for groups. Chefy describes its support as local and invites prospective users to book a demo using their menu and numbers.

Platforms

Chefy is available on the web. Chefy Go provides mobile-first floor tools, but the listed platform availability is web, so teams should confirm that this fits their devices and working setup.

Who it's for

Chefy is a strong fit for hospitality operators who want recipe costing linked to changing supplier prices, and for multi-venue groups that need shared analytics and oversight. Square users get the clearest sales-matching case. It is less suitable for venues that require a different POS integration or formal SOC 2 or ISO 27001 certification.

Pros and cons

Pros

Costs update through recipes and menu items. Supplier price changes flow through connected records, helping keep menu margins current.
A free starting plan. Core includes one venue, recipes, costing and three team members, so a small operation can begin without a recurring platform fee.
Tools span office and floor work. Admin analytics and Chefy Go's prep, wastage and stock-counting tools cover different operational needs.
Multi-venue oversight. Admin analytics, approvals and audit logs support groups managing activity across venues.

Cons

Square-specific POS connection. Sales matching is tied to Square, limiting the stated integration fit for other POS users.
Costs can accumulate. Additional users, modules, admins and venues have separate charges, so larger deployments need to account for several billing dimensions.
No formal security certification yet. The stated lack of SOC 2 or ISO 27001 may rule it out for organizations with certification requirements.

Verdict

Choose Chefy if your hospitality business needs supplier costs to flow through recipes and menus, and you want reporting that can scale from one venue to a group. Its permanent free Core plan makes it approachable for a single venue, while Square matching and operational add-ons strengthen the case for Square-based teams. Look elsewhere if your POS is not Square, your organization requires formal security certification, or you need to avoid a pricing structure that adds charges as users, modules and venues expand.
