Overview

desk.ly brings desk reservations together with workplace occupancy analysis, giving hybrid offices a way to coordinate bookings and examine how space is used. It is a strong fit for organizations that want those functions in one platform, but mobile booking and broader workplace reservations depend on the plan.

Browser access needs an internet connection; no special software, hardware, or servers are required. The native Android and iOS apps support booking desks, meeting rooms, and parking, though the app is included only with Enterprise and Enterprise Plus.

Key features

Reservations and visitor arrangements

Desk.ly handles desks, meeting rooms, and parking in one workplace system, with floor-plan views and booking check-in. Visitors can have a workstation, meeting room, or parking space booked for their visit. The breadth is useful for offices coordinating employee and guest needs, but it is tiered: Corporate focuses on desk booking, while meeting rooms, parking, and guest booking arrive with Enterprise.

Occupancy and usage

Analytics turn booking data into occupancy and utilisation views that can help administrators identify opportunities to optimise office space. desk.ly Connect adds tracking of actual workplace usage, automated check-in, and utilisation insights without costly hardware investments. That distinction matters: booking records can show what people reserve, while Connect is aimed at organizations that also want actual-use information.

Integrations and access

The platform advertises more than 250 integrations, including Microsoft Teams, Outlook, and Google Calendar. Enterprise Plus adds HRIS connections such as Workday, Personio, and SAP SuccessFactors, calendar synchronisation with Google and Outlook, and a RESTful API. Those higher-tier options suit organizations connecting workplace bookings to HR and calendar systems; they are not part of the basic Corporate offer.

Every plan is marked GDPR compliant and ISO/IEC 27001 certified. desk.ly is provided by desk.ly GmbH, based in Osnabrück, Germany.

Pricing

desk.ly uses a freemium model, with paid plans from €1.65/user/mo. The free tier is unusually accessible for small teams, while the paid tiers divide desk booking from fuller office coordination.

Free: 0.00 EUR per free, for up to 15 users and for as long as you like. It includes Enterprise features, making it a practical starting point for a small group; the 15-user ceiling limits its usefulness as an organization grows.
Corporate: 165.00 EUR per month, billed per user and month. It includes desk booking, analytics, Microsoft/Google SSO, and the Microsoft Teams app. This is the focused option for teams that chiefly need desk reservations and reporting, but it excludes meeting rooms, parking, guest booking, and the mobile app.
Enterprise: 275.00 EUR per month, billed per user and month. It adds meeting rooms and catering, parking, guest booking, the mobile app, and personalised customer support to Corporate features. This is the better fit for offices coordinating more than desks or needing phone-based booking, at a higher per-user cost.
Enterprise Plus: custom pricing. It includes Enterprise features, 300+ licenses, an API, HRIS integrations, calendar synchronisation, and heatmap analytics. It is intended for larger deployments that need those connections and analytics; the 300+ license threshold makes it unsuitable for a small team.

A free trial is available. The free plan has no stated end date, but it is capped at 15 users. Corporate and Enterprise prices are billed per user and month, so the total depends on team size.

Platforms

desk.ly supports web, Android, iOS, and an API. The browser option requires internet access. The native mobile apps support bookings from a phone, but only Enterprise and Enterprise Plus include them; Corporate users should not choose it expecting mobile-app access.

Who it's for

desk.ly makes most sense for hybrid offices that need desk booking plus utilisation reporting, and especially for organizations that also coordinate rooms, parking, or guest visits. Small teams can start on the 15-user free plan. Larger workplaces may value Enterprise Plus when they need HRIS or calendar connections and heatmap analytics. It is a weaker fit for teams that require mobile booking on a lower tier or want a narrow desk-booking tool without the broader plan structure.

Pros and cons

Pro: Desk, room, parking, and guest arrangements can be managed in one platform, reducing the need to separate those booking workflows.
Pro: Booking analytics and the Connect add-on address both reserved-space reporting and actual-use tracking.
Pro: The free plan lasts as long as needed for up to 15 users, giving small teams a no-cost way to begin.
Con: The mobile app is restricted to Enterprise and Enterprise Plus, so Corporate users lose native phone booking.
Con: Meeting rooms, parking, and guest booking are Enterprise features, leaving Corporate centered on desks.
Con: Enterprise Plus requires 300+ licenses and custom pricing, putting its advanced integrations and heatmap analytics beyond smaller deployments.

Alternatives

Officely is worth considering for a smaller free start: its free plan covers up to five users, while its Basic tier offers simple desk booking for unlimited users at 2.50 USD per month per user.

Roomzilla may suit teams organizing bookings by resources: its free plan covers up to three resources, and its Standard yearly plan offers unlimited resources at 10.00 USD per year, billed monthly rate paid yearly per resource.

Skedda is an option for organizations willing to pay for a broader platform: its Starter plan for EMEA and APAC costs 99.00 USD per month, billed annually, and includes 15 spaces with unlimited users and bookings.

Trezod is another paid alternative, with annual billing in NGN and pricing shown in its in-product calculator.

DeskGrid is a free, open-source, self-hosted alternative under the MIT License, for teams that prefer to host the software themselves.

WorkInSync is a paid option for larger deployments: its Standard annual plan has a 250+ employee minimum and includes desk and meeting-room booking with interactive floor plans.

deskbird may appeal to teams seeking desk, room, and parking booking with native mobile apps, check-ins, auto releases, smart recommendations, and Microsoft Teams integration; its Business plan is 4.75 USD per month per active user.

DeskFlex is a paid alternative with a Growth plan at 50.00 USD per month on an annual subscription, covering up to 25 spaces, one floor plan, desk and room booking, visitor management, and workplace analytics.

Verdict

Choose desk.ly if your hybrid office needs desk reservations alongside occupancy reporting, with room, parking, and visitor workflows available as you move up to Enterprise. Its lasting free tier is a useful entry point for teams of up to 15, but plan carefully: the mobile app and broader booking features are gated, and Enterprise Plus is built for deployments of at least 300 licenses. If phone-based booking is essential on a lower tier or your needs are limited to desks, another option may be a better fit.
