Overview

Rubric brings club administration, events, memberships, student services, campus programs, and student engagement tracking into a configurable system. The maker says institutions can select from 28 plug-and-play modules, so organizations can shape the platform around their campus needs rather than adopting every function at once. The Student CRM & Engagement Tracker connects events, clubs, and trainings to student profiles and engagement scoring, giving administrators a view of participation across activities.

Founded in 2017, Rubric is operated by MySmock Pty Ltd trading as Rubric and is based in Burwood, New South Wales, Australia.

Key features

Club administration and forms

The Club Management dashboard brings together members, hosted events, activity levels, forms, attendance rates, and member types. That combination is useful for teams overseeing several clubs, because operational details and participation indicators sit together. Smart Digital Forms add drag-and-drop fields, live data from club profiles, and approval flows, making them a better fit for recurring administrative processes than isolated data collection.

Events, communications, and engagement

Event & Ticketing supports membership validation, recurring events, tabling, collaborative event management, a marketplace, and ticket scanning. These tools cover several stages of campus event administration, while SMS blasts and templated email campaigns with real-time recipient lists address outreach. The engagement tracker adds profile management and scoring across touchpoints; analytics, SMS outreach, risk alerts, and LMS integration are also part of the offering.

Integrations, security, and operations

Rubric says it connects with student information systems, learning management systems, single sign-on, and experience management systems. Its admin portal lists integrations including Xero, QuickBooks, Microsoft Dynamics 365 Business Central, Stripe, Wallester, Weel, SAML 2.0, AAF OIDC, Google OAuth/OIDC, Microsoft Azure AD/Graph, and StudId. That range may help institutions fit Rubric into existing systems, but teams should discuss their specific integration requirements before committing.

The maker says Rubric uses SSL encryption, quality-assurance procedures, and industry-standard encryption and key-management practices. It states that the service is GDPR compliant and PCI-DSS 3.2.1 Level 1 compliant as both merchant and service provider. Production systems and backups run on Amazon EC2, with data residency options in Canada, the USA, Australia, and New Zealand. Rubric reports average uptime of 99.5%; support is offered through an in-app chatbot and email, with responses typically within 24 business hours. Most users are up and running within 30–60 days, depending on package, integrations, and customization needs.

Pricing

Rubric is freemium, and the US clubs pricing page shows free monthly subscriptions across its three transaction-volume tiers. Fees apply to paid memberships, tickets, and merchandise above the relevant thresholds:

Plan	12-month transaction volume	Monthly subscription	Paid sales fee
Free	Below $200	Free	Free
Standard	$200–20,000	Free	4% + 70¢
Champion	Above $20,000	Free	3% + 50¢

The Free tier suits clubs with less than $200 in 12-month transaction volume and no paid-sales fees. Standard and Champion retain free subscriptions but charge per paid sale, with Champion's lower rate applying above $20,000 in volume. Purchases may also carry service fees that vary by payment method, basket size, and card issuer, so clubs should account for both the sales fee and payment-related charges. Institutions seeking the broader platform are invited to book a demo or contact Rubric; its institutional pricing is custom pricing.

Platforms

Rubric supports Android, iOS, and web. Its campus engagement app gives students access to events and activities, and its App Store listing identifies iPhone availability.

Who it's for

Rubric is a strong fit for universities, student unions, associations, and guilds that coordinate clubs and events while also tracking student participation across programs. Its modular approach and integrations suit organizations seeking to connect several campus workflows. A small group that only needs basic event sign-ups, or a team unable to accommodate a multiweek onboarding process, may be better served by a narrower tool.

Pros and cons

Pros: Modular coverage spans club operations, events, outreach, and engagement tracking, which can reduce fragmentation across campus activities.
Pros: The engagement tracker links events, clubs, and trainings with profiles and scoring, giving administrators a cross-activity view.
Pros: Free club subscriptions and paid-sales fee tiers make the subscription cost clear for clubs, with no sales fee on the lowest-volume tier.
Cons: Paid sales incur percentage-plus-fixed fees, and additional service fees may apply, which can affect the economics of ticketing or merchandise.
Cons: Onboarding commonly takes 30–60 days, making Rubric less suitable when a campus needs a rapid rollout.
Cons: Institutions need to confirm integrations and package requirements with the team, and the broader platform uses custom pricing.

Alternatives

Choose GivePulse if a freemium option with a free plan is preferable and its stated Basic Free limits—one admin, no subgroups, and five custom fields—fit the organization; its Give Joy plan is 20.00 USD per month when billed annually, with a 20% discount from the monthly price, two admins, and one subgroup.

Modern Campus CMS is a paid alternative with Android, iOS, API, web, and self-hosted platform availability. InScribe is another paid option, with institutional pricing handled by its team. Consider Pathify if its Engagement Hub is a closer fit; pricing depends on enrollment and optional add-ons. Suitable is a paid alternative for readers comparing campus platforms. ConexED Retain and Early Alert are paid, web-based alternatives. CampusESP bases annual fees on undergraduate FTE and deployed features, so it is worth comparing when those factors suit the institution's evaluation.

Verdict

Rubric is worth considering for campus organizations that need a configurable home for clubs, events, communications, and engagement tracking. The breadth of modules and student-level activity view are its clearest reasons to choose it; transaction charges on paid sales and the time needed for onboarding are the main reasons to look elsewhere.
