Overview

Microsoft Teams brings workplace chat, meetings, calls and collaboration together across desktop, mobile and web. It is a strong fit for organizations that want conversations alongside Microsoft 365 services, and its free tier also covers basic team communication. Its breadth is useful, but the free plan’s group-meeting cap and the need to choose among several business and phone plans make it less straightforward for teams seeking only occasional calls.

Key features

Channels, guest access and unlimited message history give teams a persistent place to organize conversations. People can join meetings as guests without a Teams account, and free users can sign up with an email address or phone number without a subscription. That makes it workable for mixed groups and occasional use; free group meetings and calls are limited to 60 minutes, though one-to-one calls have no time limit. Screen sharing is supported on free and business plans.

Business plans raise meeting capacity to 300 participants and allow meetings of up to 30 hours, a substantial upgrade for larger or longer sessions. They can include recordings and transcripts, data encryption for meetings, chats, calls and files, and anytime phone and web support. Business plans include 1 TB of cloud storage per user; Teams Essentials has 10 GB per user, so storage needs are an important reason to step up.

Teams connects with Microsoft 365, SharePoint, OneDrive, Outlook, Exchange, Planner, Forms, Power BI, OneNote, Power Apps, Power Automate and LinkedIn, and supports more than 250 integrated business apps. That range makes it particularly useful when work already runs through Microsoft services. Real-time meeting translation and interpretation add support for multilingual meetings. Microsoft says it was named a Gartner UCaaS Leader for the eighth consecutive year in 2026.

Pricing

The free plan costs 0.00 USD per free, requires no subscription and supports 100 participants, group meetings up to 60 minutes and 5 GB of cloud storage. It is a sensible starting point for smaller groups or occasional use, but the meeting cap and storage allowance can become restrictive.

Microsoft Teams Essentials costs 4.00 USD per year, billed $4.00 user/month and paid yearly. Its annual subscription auto-renews. It supports 1–300 employees, 300 meeting participants and meetings up to 30 hours, with 10 GB of cloud storage per user. It suits small businesses that need longer meetings and higher attendance but can work within the smaller storage allowance.

Microsoft 365 Business Basic costs 7.00 USD per year, billed $7.00 user/month and paid yearly; the annual subscription auto-renews. It has the same 1–300 employee range, 300-participant meetings and 30-hour duration, but raises storage to 1 TB per user. This is the clearer fit for businesses with substantial file needs.

Microsoft 365 Business Standard with Copilot costs 23.50 USD per year, billed $23.50 user/month and paid yearly, with annual auto-renewal. It supports 1–300 employees, 300 meeting participants, 30-hour meetings and 1 TB per user. The plan’s name identifies Copilot, but no further Copilot inclusions are stated here; buyers should weigh its higher price against their need for this plan.

Teams Phone Standard, Teams Phone with pay-as-you-go calling and Teams Phone with Calling Plan use custom pricing. Phone Standard provides a cloud phone system, voice and video calls, PSTN connectivity options, call transfers across devices and a 99.999% uptime SLA. The pay-as-you-go option includes Phone Standard, a Microsoft phone number and metered outbound minutes. The Calling Plan option includes 3,000 domestic minutes in the US, UK and Canada, or 1,200 in other listed regions. These are options for organizations needing business telephony rather than only meetings and chat.

Business plans offer a free trial option with trial terms. Small-business plans support up to 300 users or people; Enterprise Teams is presented for organizations with more than 300 people. The listed paid business plans include meeting capacities up to 300, and free meetings cap at 100 participants. A separate plan summary gives a 30-minute meeting limit, which conflicts with the plan-specific 30-hour limits above; confirm the applicable limit before choosing a subscription.

Platforms

Teams supports web, Windows, macOS, Linux, iOS and Android, with desktop and mobile apps. This broad coverage helps organizations accommodate different devices without making platform choice the deciding factor.

Who it's for

Teams is best suited to small businesses and larger organizations that need chat, guest participation and meetings tied into Microsoft services. It is also a practical free option for groups comfortable with 60-minute group sessions. Those who need longer meetings, greater storage, recordings or business support have a clear reason to consider a paid plan; organizations with more than 300 people should look at Enterprise Teams.

Pros and cons

Pro: Microsoft service integrations and more than 250 business apps give Microsoft-centered workplaces a broad connected toolset.
Pro: Guests can join meetings without accounts, while channels and unlimited message history support ongoing team discussions.
Pro: Paid business plans extend meetings to 30 hours and 300 participants, with up to 1 TB storage per user on Business Basic and Business Standard with Copilot.
Con: Free group meetings and calls stop at 60 minutes, and free storage is 5 GB, limiting heavier use.
Con: Teams Essentials offers only 10 GB per user, far less than the 1 TB included with the two higher-priced business plans.
Con: Annual auto-renewal applies to the paid plans with stated prices, and several phone options require custom pricing, so cost comparison takes more care.

Alternatives

For a dedicated business phone system, compare Business Phone Systems; for messaging-led choices, see Team chat apps. Organizations evaluating broader voice, video and messaging suites can browse Unified Communications Software, while meeting-focused buyers can compare Video Conferencing Software or Secure Video Conferencing Software. For wider work-management needs, consult Team Collaboration Software.

3CX is another freemium option with a free plan, broad platform support and a free tier capped at 10 users and four simultaneous calls; it may suit a small group prioritizing that call setup. Freshcaller has a free plan with unlimited agents, billed at $0/agent/month plus pay-per-minute charges annually, making it worth considering when an agent-based calling model fits better. CallHippo offers a free Basic plan for the first six months after signup, so it may suit a short-term trial of a phone service.

OnSIP has a free plan for up to 100 users and unlimited extensions, but phone-number dialing is unavailable on that tier. Zadarma offers a free Standard plan for five users, four voice menus and 200 MB of storage, a different option for teams with modest listed needs. VitalPBX has a free Community plan with 12 extensions, two VitXi WebRTC clients and 20 devices. PBXware is another paid option for buyers considering an enterprise PBX with UC apps, meetings, chat and business SMS. PortSIP PBX has a free edition limited to three extensions and two simultaneous calls, which may suit a small deployment.

Verdict

Choose Microsoft Teams if your organization wants communication tools connected to Microsoft services, guest access and room to scale from free meetings to business plans with longer sessions and substantial storage. Look elsewhere if your needs are narrowly focused on phone service or if the free group-meeting limit is too restrictive; Teams’ plan range and annual renewals also warrant a careful fit check before committing.
