Overview

Fess combines crawling, indexing, administration and a search interface in a server built on OpenSearch. It can run wherever Java or Docker is available, giving teams control over deployment while leaving them responsible for operating that environment.

The Apache-licensed software is free for personal and commercial use. Permission synchronization and administrative controls support use in managed environments, while the availability of paid professional support gives organizations a route to email assistance when community support is not enough.

Key features

Broad crawling and document support

The crawler covers web pages, file systems, Windows shared folders and databases. It can index Microsoft Office documents and PDFs, and external text extraction such as OCR can help include content that is not directly searchable as text. This breadth suits organizations with mixed repositories; it does not remove the work of configuring and maintaining the self-hosted service.

Search and access controls

Facets and drill-down help users narrow results, while autocomplete, suggestions, cached results and thumbnails support discovery and review. Authentication options include BASIC, DIGEST, NTLM and FORM, with single sign-on through Active Directory, SAML and other methods. Permission synchronization is supported, which matters when users must see results in line with their source-system access.

Integration and administration

Fess can return results as JSON, integrate with websites through JavaScript and be extended with plugins. Its documentation covers an API, and external integrations can use access tokens. These options make it more adaptable than a search interface intended only for standalone use, though teams should expect to handle deployment and integration themselves.

Pricing

Fess Open Source

Free. The Apache-licensed edition is free for personal and commercial use and community-supported, with no guaranteed support. It is the natural fit for teams able to operate the software and accept community-level support; there is no license charge, but no assured response when issues arise.

Professional Support

Custom pricing. Silver includes 5 incidents/3 months and a first-response target of three business days; Gold includes 10 incidents/3 months with a two-business-day target; Platinum includes unlimited incidents with a one-business-day target. All tiers provide email support per site. These plans suit organizations that need a defined support route, with the incident allowance and response target determining which tier fits.

Platforms

Fess is self-hosted and runs on operating systems with a Java or Docker runtime environment. It is listed for API, Linux, macOS, web and Windows platforms. The latest stable release is Fess 15.8.0, with Java 21 and OpenSearch 3.8.0.

Who it's for

Fess is a strong fit for organizations that want one search system across varied repositories, need permission-aware access, and have the capacity to manage a Java- or Docker-based deployment. It is less suitable for teams that require guaranteed support but do not want to buy a professional support plan, or that do not want responsibility for self-hosting.

Pros and cons

Pros

No license fees: The Apache-licensed software is free for personal and commercial use.
Mixed-source coverage: Crawling websites, file systems, Windows shared folders and databases can bring varied content into one search system.
Access-aware options: Multiple authentication methods, single sign-on and permission synchronization support controlled search.
Integration choices: JSON results, JavaScript integration, plugins and access tokens offer several ways to connect Fess to other systems.

Cons

Self-hosted responsibility: Teams must provide a Java or Docker runtime and operate the server.
No guaranteed open-source support: Community support may not meet organizations that need a defined response commitment.
Paid support is per site: Organizations choosing professional email support must select an incident allowance and response target for each site.

Alternatives

AI Enterprise Search Software is a broader category to explore when comparing enterprise search options.

SWIRL AI Search is worth considering if a freemium product with a free trial and a paid evaluation pilot better suits your evaluation process.
Dropbox Dash may fit teams looking for a paid product with a free trial and plans organized around team size.
OpenSearch is a free, Apache 2.0 open-source option if you want the search engine Fess is built on rather than Fess's integrated crawler, administration and search system.
PipesHub is a free, self-hosted open-source alternative with Docker deployment and community-edition search features.
Amazon Kendra is a paid alternative with a free trial if you prefer a product offered through paid plans rather than a free open-source server.
SearchBlox SearchAI is a paid, self-hosted search option with a published annual plan that specifies document and search allowances.
InSearch may suit teams seeking paid web search plans that include cited answers and permission-aware access.
Onyx is a freemium alternative for readers considering a product with a free plan and paid business and enterprise tiers.

Verdict

Choose Fess if your organization needs configurable search across websites, files and databases, values permission-aware access, and can manage a self-hosted server. Its combination of broad crawling and zero license fees is the main reason to choose it. Look elsewhere if you need guaranteed support without a paid per-site plan or want to avoid operating the search infrastructure.
