Overview

Fleet Service 365 is fleet management software for operators who need maintenance scheduling, inspections, and vehicle records in the same system. It is a strong fit for teams that want mobile defect reporting and telematics connections, but per-asset annual billing and a tightly capped free tier deserve a close look before committing.

Key features

Maintenance and inspections

Preventive maintenance can be triggered by odometer, engine hours, or calendar schedules, then turned into work orders with technician notifications. That suits fleets with several service intervals to coordinate; the value depends on having a process for acting on the work orders the system creates.

The iOS and Android app supports DVIRs with photos, signatures, GPS, timestamps, and offline completion. Defects can create work orders automatically, helping teams move from inspection findings to follow-up without relying on a separate manual handoff. Custom inspections are also supported.

Fleet records and integrations

Asset tracking, fuel and meter tracking, parts inventory, and reporting bring core fleet records together. Named telematics integrations include ATTI, Geotab, Samsara, Motive, and Verizon Connect. A separate FS365 product connects fleet operations with Microsoft Dynamics 365 Sales, Customer Service, and Field Service; that is relevant to organizations already working in Dynamics, but it is not the same as a standard fleet-system feature.

Security provisions include TLS 1.2+ encryption in transit, AES-256 encryption at rest, and database row-level tenant isolation. The privacy policy says the company does not sell personal information or train cross-customer models on customer telematics data without written authorization. For organizations that require control of deployment, self-hosting is available in a customer VPC or on-premises Kubernetes, with BYO KMS, SSO, and SIEM.

Pricing

Fleet Service 365 has a free tier and a 14-day free trial that requires no credit card. Paid plans are billed annually per asset, so the per-asset rate—not just the headline monthly figure—determines the cost as a fleet grows.

Plan	Price and terms	What it includes
Starter	Free	Up to 3 assets, 1 user, up to 25 customers, vendors, and contacts, and 1 GB storage. A practical starting point for a very small operation, but the three-asset and single-user caps quickly rule it out for larger teams.
Standard	$6.00 per month; billed $72 per asset annually	Unlimited assets and users, parts and inventory management, tire management, custom roles and permissions, priority chat support, and 50 GB storage. It is the more suitable paid tier for teams that need shared access and inventory workflows, though per-asset charges can add up across a large fleet.
Pro	$8.00 per month; billed $96 per asset annually	Standard's unlimited assets and users, plus real-time GPS tracking, speed reports, advanced routing, a sandbox environment, a named support contact, a 99.9% SLA, and 250 GB storage. The premium is most defensible for fleets that need live tracking, routing, or the stronger support commitment.

Starter includes email support; Standard adds priority chat, while Pro includes priority support with a named contact and a 99.9% SLA. The main trade-off in the lower tiers is not simply fewer extras: Starter is constrained by seats and assets, while Standard lacks Pro's live GPS and routing capabilities.

Platforms

The platform supports web, iOS, Android, API access, and self-hosted deployment. The mobile app is useful for field inspections, while the API and self-hosting options offer more flexibility for organizations integrating fleet data or managing their own environment.

Who it's for

Fleet Service 365 is aimed at fleet operators across trucking, construction, field service, manufacturing, and government. It is especially suitable for teams that want preventive maintenance and mobile inspections tied to work orders, or that use one of the named telematics providers. A fleet with more than three assets or multiple users will need a paid plan; buyers should also weigh annual per-asset billing against their fleet size.

Pros and cons

Pros: Maintenance schedules can use odometer, engine hours, or calendar triggers and generate technician work orders, giving teams more than a basic reminder system.
Pros: Offline DVIRs with photos and signatures can automatically start defect follow-up through work orders.
Pros: The free tier and no-card 14-day trial offer a low-commitment way to evaluate the workflow, and self-hosting suits organizations that need deployment control.
Cons: Starter is limited to 3 assets and 1 user, making it a narrow fit beyond a small operation.
Cons: Standard and Pro are billed annually per asset, so larger fleets face a rising total even though the plans advertise unlimited assets.
Cons: Real-time GPS tracking and advanced routing require Pro, leaving Standard without those higher-tier capabilities.

Alternatives

For a broader shortlist, see Fleet Maintenance Software. Choose VAPTA instead if its £5-per-vehicle monthly Fleet + Workshop plan and workshop, procurement, and custom inspection-sheet workflows better match your needs. Trimble Viewpoint Vista is another option if you want cloud-hosted or on-premises deployments with pricing handled through sales.

AUTOsist may suit buyers comparing a per-vehicle annual plan with a five-vehicle minimum and volume discounts over 100 vehicles. Consider Fleetio if its Essential plan's $4.00 per vehicle per month annual rate—or $5 billed monthly—and stated five-asset pricing basis fits your fleet. EKOS Fleet is a web-based option with a $3-per-vehicle monthly Core plan for fleets of 5–50 vehicles.

PTC FMS offers per-vehicle, per-module monthly pricing without setup fees or long contracts. AMCS Fleet Maintenance uses pricing tailored to organizational requirements. EMDECS is another fleet-maintenance alternative.

Verdict

Fleet Service 365 is a sensible choice for operators who want scheduled maintenance, mobile inspections, and defect work orders connected in one fleet system, particularly when its telematics integrations or self-hosted deployment matter. Its free tier is useful for a very small fleet, but the three-asset, one-user ceiling is strict; larger buyers should compare the annual per-asset cost and decide whether Pro's GPS, routing, and support commitments justify the step up.
