Overview

Gmail is Google’s email service for personal and business communication, available on the web and mobile. It suits people who already use Google services and want email connected to them; the trade-off is shared storage and a Google Account requirement.

Gmail’s strength is the combination of writing help, inbox tools, and access to Google services from one place. It is a practical fit for personal email and for organizations that want custom-domain addresses, but readers seeking a standalone mailbox allowance or custom domains on a personal plan should look elsewhere.

Key features

Writing and finding information

Gemini in Gmail can help draft or reply to messages, find information in Gmail or Google Drive, and summarize long threads. Smart Reply and Smart Compose offer response and writing suggestions, while Nudges remind users to respond or follow up. These tools can reduce routine email work, though Gemini’s availability depends on the plan.

Google services and business email

Gmail connects with Meet, Calendar, Tasks, and Chat, letting users start meetings, find meeting times, add to-dos, and chat without leaving the inbox. For businesses, custom-domain addresses make Gmail suitable for a professional identity; Workspace users can have up to 30 aliases each. Mail merge supports Google Contacts or a linked spreadsheet, with up to 1,500 recipients from a spreadsheet.

Security and account access

Gmail automatically blocks 99.9% of spam, phishing attempts, and malware. Messages use TLS, and content is encrypted in transit and at rest; client-side encryption is available for eligible Workspace editions. A Google Account is required, and a browser sign-in may make that account available to other Google apps. Guest mode offers a private sign-in option on someone else’s computer.

Pricing

Personal Gmail is free, with up to 15 GB shared across Gmail, Drive, and Photos. That pooled limit is the main constraint: email competes with files and photos for the same space. Google One adds capacity for people who need more room:

Google One Basic: 1.99 USD per month for 100 GB total storage across Photos, Drive, and Gmail; storage can be shared with up to five others.
Google One Lite: ₹59/mo for 30 GB total storage.
Google One Basic: ₹130/mo for 100 GB storage, shareable with up to five others.
Google AI Pro: ₹1,950/mo for 5 TB storage, sharing with up to five others, and AI features including Gemini app access, Deep Research, and Google Flow. It includes Gemini in Gmail, Docs, Vids, and more.

Google One subscriptions can be canceled at any time, and the Google One app manages plans, storage, features, and member benefits. Age limits of 18 or older may apply to plans and features.

For organizations, Workspace plans are billed per user each month and cap at 300 users except Enterprise:

No cost: Free, with 15 GB pooled storage per user and default security encryption. This is the basic option, not a custom-domain business plan.
Business Starter: 7.00 USD per user/month, with 30 GB pooled storage per user, custom business email, and Gemini in Gmail. It fits smaller teams that need branded email without the larger storage and collaboration set of higher tiers.
Business Standard: 14.00 USD per user/month, with 2 TB pooled storage per user, custom layouts, mail merge, and Gemini in Gmail, Docs, Meet, and more. It suits teams needing those additional capabilities and more storage.
Business Plus: 22.00 USD per user/month, with 5 TB pooled storage per user, eDiscovery, and meetings for up to 500 participants. It is better suited to organizations needing those higher-capacity and administrative features.
Enterprise: custom pricing, with 5 TB pooled storage per user or an upgrade for more, no minimum or maximum user limit, S/MIME encryption, and DLP. It is the option for organizations needing those controls or flexible seat counts.

Platforms

Gmail is available on Android, iPhone, iPad, and supported web browsers, with access across computers, phones, watches, and tablets. Its broad device reach makes it workable across personal and business routines, though a Google Account remains necessary.

Who it's for

Gmail is a strong choice for individuals already using Google Photos, Drive, Calendar, or Meet, and for teams that want custom-domain email integrated with Google Workspace. It is less suitable for people who want an email account independent of Google services, or who need a custom domain without a business plan.

Pros and cons

Pro: Gemini, Smart Reply, Smart Compose, and Nudges support drafting, finding information, and follow-up, reducing routine inbox work.
Pro: Connections to Meet, Calendar, Tasks, and Chat keep common coordination tasks close to email.
Pro: Workspace offers custom-domain email, aliases, mail merge, and higher-tier security and administration features for organizations.
Con: The free 15 GB is shared among Gmail, Drive, and Photos, so non-email use can reduce room for messages.
Con: A Google Account is required, and browser sign-in can extend account availability to other Google apps.
Con: Personal Gmail does not provide custom-domain email, so businesses need a Workspace plan.

Alternatives

For a broader comparison, browse Personal Email Services. Consider Zoho Mail if you need a free plan with a custom domain: its free tier supports five users, one domain, and 5 GB per user. Outlook.com is another free option, with 15 GB of mailbox storage and web, desktop, and mobile access.

Yahoo Mail offers a free plan with 20 GB of mailbox storage and inbox organization tools. Inbox.lv is a free alternative with 20 GB of mail storage, a daily sending limit of 300 emails, and one alias. Choose Proton Mail if its free plan’s 1 GB storage and one email address fit your needs.

eclipso Mail Europe offers a free plan with 4 GB of storage and one email address. Fastmail Masked Email is a paid alternative with 5 GB of mail storage, 1 GB of file storage, and 600 aliases plus 15 per user. Thelemail is another alternative.

Verdict

Choose Gmail if you want a capable inbox closely connected to Google services, or need Google Workspace’s custom-domain email and team plans. Its strongest reason to look elsewhere is the shared personal storage limit; readers who want a custom domain also need a paid business plan rather than personal Gmail.
