Overview

HOA Messenger brings resident communications and everyday association administration into one service, aimed at U.S.-based HOA managers and administrators. It is a broad starting point for associations that want a lasting free tier, but the 90-day visibility cap makes that tier a poor home for records that need a longer history.

Managers can message residents, coordinate maintenance, collect dues and track violations; paid plans add more substantial accounting and administrative tools. The range is useful for teams consolidating routine tasks, though associations tied to established property-management or accounting systems may find the lack of direct integrations a deciding drawback.

Key features

Resident communication and records

Managers can send individual or broadcast messages by push notification, SMS or email. HOA documents can be stored for private resident access, while mobile access includes a private portal and an app for violation tracking. These cover common resident-facing tasks without making the service solely a communications tool.

Managers can issue vendor work orders and receive automated updates when jobs are accepted, scheduled and completed. The Mail feature lets an HOA upload a PDF for USPS printing and mailing, then monitor the request. That gives associations a way to handle postal notices alongside digital communication.

Payments and accounting

Residents can pay dues by credit card or ACH bank transfer. Premium adds double-entry accounting, budgeting, financial reports, chart customization, resident invoicing and assessment tracking. Vendor bill pay supports electronic payments and paper checks, with approval workflows. These features make the paid tiers more relevant to associations seeking to manage financial processes in the same system than to teams that only need resident communication.

HOA Messenger says it does not sell personal information and uses reasonable safeguards, while acknowledging it cannot guarantee absolute security for internet transmissions. Its privacy policy names Twilio, Plaid and Stripe as third-party API services used for certain features. Associations should weigh those terms as part of their own privacy and vendor review.

Pricing

The Free plan costs $0 per month, lasts as long as users want and requires no credit card. It includes unlimited HOAs, unlimited residents and co-manager access, but visibility is limited to 90 days. That is a useful way to start or handle lightweight administration; it is a significant constraint for associations that need older records readily visible.

Premium is $25.00 USD per month, billed monthly. It includes everything in Free plus double-entry accounting, vendor bill pay, budgeting, resident invoicing, assessment tracking, financial reports, document folders, a web resident portal and intelligent auto response. A 30-day Premium trial requires a credit card, which is not charged until the trial ends. Premium is the clearest fit for associations that need financial tools and a web portal; the free tier gives up these capabilities.

Admin is $399.00 USD per month, billed monthly. It adds receivables and payables administration, a public-facing HOA landing page, monthly bank reconciliation and AR/AP administrative support via chat to Premium's features. Admin Plan is $319.00 USD per year, billed yearly, and includes the same stated set of features. That sharp difference in billing terms makes it important to compare the annual option against the monthly commitment before choosing; both tiers target associations seeking administrative support beyond software features alone.

Platforms

HOA Messenger is available on Android, iOS and the web. Its combination of web and mobile access suits managers and residents who need to reach association tasks from different devices.

Who it's for

HOA Messenger is best suited to U.S.-based homeowners associations or similar organizations whose users work in an administrative or management role. It is a practical candidate for teams seeking one service for resident messaging, documents, maintenance and payments, with paid accounting options when their needs grow. It is less suitable for associations that require visibility beyond 90 days on the free plan or direct links to Entrata, Yardi, AppFolio or QuickBooks.

Pros and cons

Pros: The free plan has no time limit, allows unlimited HOAs and residents, and includes co-manager access, giving small teams room to start without a subscription.
Pros: Three communication channels, dues collection by card or ACH, maintenance updates and USPS mail handling span a useful range of resident and administrative workflows.
Pros: Premium includes double-entry accounting and budgeting, while Admin adds bank reconciliation and AR/AP support for teams needing more financial administration.
Cons: Free-plan visibility stops at 90 days, limiting its usefulness for associations that need a longer visible record history.
Cons: There are no direct integrations with Entrata, Yardi, AppFolio or QuickBooks, which may complicate adoption for associations already organized around those platforms.
Cons: The 30-day Premium trial requires a credit card, even though the card is not charged until the trial ends.

Alternatives

For other options, compare HOA Management Software, HOA Accounting Software and HOA Violation Management Software to focus your search on the category that matters most.

KindHOA is another freemium option with a permanent free plan; consider it if its free-tier limits of 5 GB storage and 10 active violations fit your needs.
ApnaComplex has a free plan covering society data management, community collaboration, help desk, apartment security, facility management and accounting, making it worth considering for those priorities.
TownSq is a paid alternative with a 30-day trial and a Pro plan for up to 300 units in one community; choose it if that plan's scope fits your association.
Nestingbird offers a free plan for self-managed HOAs with unlimited units and residents, a possible fit for communities seeking that specific setup.
SMPLR HOA is a paid option with a Community plan priced at $25.00 USD per month when billed annually, subject to a 25-home minimum; consider it if that pricing structure suits your community.
Condo Ally offers a free plan with association website and management features, a straightforward alternative to compare for those needs.
CINC is a paid, web-based alternative.
Vantaca is a paid alternative available on web, iOS and Android.

Verdict

Choose HOA Messenger if your association wants resident communications, maintenance coordination and payments in one place, with an indefinite free tier and a path to accounting features. Look elsewhere if 90-day visibility is too short or direct integration with Entrata, Yardi, AppFolio or QuickBooks is essential; those limits affect the long-term fit more than the breadth of features can offset.
