Overview

The product connects board administration with resident-facing services: residents can handle dues, documents, maintenance requests, votes and amenity bookings, while boards and managers get accounting and governance tools. Portfolio features make it more relevant to professional managers than a simple payment portal. Associations should compare the unit allowance and payment costs against their needs before settling on a tier.

Key features

Accounting and elections

AI Smart Accounting accepts natural-language questions to generate financial reports and budget alerts, and can record expenses, payments and journal entries through chat. Assessment billing, financial statements, bank reconciliation and budget tracking add core accounting functions. This breadth can consolidate routine financial work, but it does not erase the platform fee on transactions.

Election tools cover quorum tracking, proxy voting, ranked-choice voting, anonymous results and an election archive. That is a stronger fit for associations with formal voting procedures than for boards that only need occasional informal polls.

Resident and manager workflows

Residents can pay dues, view documents, file maintenance requests, vote and book amenities through a portal installable as a mobile PWA. Property managers can oversee multiple HOAs through cross-community reporting, reusable dues templates, bulk resident imports and a portfolio activity feed.

AI Smart Import maps CSV columns from Buildium, AppFolio, PayHOA or spreadsheets, with preview and rollback. That can make a platform change less disruptive for communities using those sources. Stripe payments and QuickBooks Online sync are built in; Slack, Google Calendar, Zapier, DocuSign, Plaid and Twilio are marked as coming soon, so teams relying on them should not plan around those connections yet.

Security features include AES encryption, two-factor authentication, IP allowlisting, session management, secure file storage, automatic backups and access controls. The company says its formal compliance program is still being built as the platform matures, a meaningful consideration for organizations with established compliance requirements.

Pricing

HOA Simplify offers a free plan, paid plans and a 14-day trial. The Community, Association and Standard plans are priced at 79.00 USD per month, 119.00 USD per month and 179.00 USD per month respectively; each also shows a higher Launch Pricing amount of $99/mo, $149/mo and $229/mo. The pricing gives readers two figures to weigh, so confirm the applicable amount and terms before committing.

Basics: Custom pricing; up to 25 units.
Community: 79.00 USD per month, billed $99/mo Launch Pricing. It supports up to 50 units and includes basic accounting and billing, resident portal, document storage, standard reports and email support. This is the entry paid tier for smaller associations that can work with basic accounting and standard reporting.
Association: 119.00 USD per month, billed $149/mo Launch Pricing. Up to 125 units, advanced accounting and billing, vendor management, board meeting tools, custom reports, mobile app access and priority email support make it a more capable choice for growing communities.
Standard: 179.00 USD per month, billed $229/mo Launch Pricing. It raises capacity to 200 units and includes advanced accounting, vendor management, board meeting tools, custom reports, mobile app access and priority email support. Its stated features overlap substantially with Association, so the higher unit allowance is the main stated distinction.
Premium: 379.00 USD per month, billed $449/mo Launch Pricing. Unlimited units, full feature access, advanced analytics, API access, custom integrations, priority email support and priority feature requests target larger or more demanding operations.
Enterprise: Custom pricing and custom capacity, with a custom support plan.

Platform fees are 0.75% per transaction with a $5 minimum for PMC-managed HOAs and 1.25% per transaction for standalone HOAs, in addition to Stripe fees. These charges can matter to communities processing frequent or high-value payments. Community, Association and Standard caps are 50, 125 and 200 units; Premium removes the stated unit ceiling.

Platforms

HOA Simplify is available on the web, Android and iOS. Its resident portal can also be installed as a PWA on mobile devices.

Who it's for

It is best suited to HOA boards and managers seeking a shared system for finance, resident requests and elections, with portfolio reporting for managers serving multiple communities. A smaller association may find Community sufficient if basic accounting and a 50-unit cap fit. Organizations that need mature formal compliance, an integration marked coming soon, or a higher unit allowance than their plan permits should look elsewhere or verify fit before choosing.

Pros and cons

Pro: Accounting, resident services and governance share one workspace, reducing the need to separate those workflows across tools.
Pro: CSV import preview and rollback, plus support for several named HOA platforms, can help managers plan a migration.
Pro: Portfolio reporting and bulk tools serve managers handling multiple communities.
Con: Most paid tiers impose explicit unit caps, requiring a plan change as an association grows.
Con: Platform transaction fees apply on top of Stripe fees, with a $5 minimum on PMC-managed HOA transactions.
Con: The formal compliance program is still developing, which may be a poor fit for organizations that require mature compliance assurances.
Con: Several integrations are still marked coming soon, limiting their usefulness for teams that depend on them today.

Alternatives

Neighborhood.online is worth considering for organizations seeking a free web-based option. Village also offers a free web plan, described as including every feature with no seat limits and no credit card.

SMPLR HOA is another paid option with Android, iOS and web access; its Community plan is 25.00 USD per month at the 25-home minimum when billed annually, or $32/month billed monthly. HOA-I may suit buyers comparing paid mobile and web products, with a Small HOA plan at 110.00 USD per month.

Perfect HOA offers Android, iOS and web access, including a 0-25 units plan at 49.00 USD per month billed yearly. TownSq is another mobile and web alternative; its Pro plan is 90.00 USD per month for up to 300 units and one community, with a 30-day trial for a one-year term that auto-renews annually.

RunHOA may appeal to associations seeking fixed annual pricing: its plan is 399.00 USD per year for unlimited units and users, with a 30-day trial. BaseHOA is a web-based alternative with a Premium yearly plan at 29.00 USD per year, billed per month, and unlimited units.

Verdict

HOA Simplify is a strong candidate for boards and property managers that want accounting, resident workflows and structured elections together, with portfolio tools for multi-community operations. Its breadth is the main reason to choose it; unit limits, added transaction charges and a developing compliance program are the main reasons to compare alternatives first.
