Overview

A timeline makes availability visible, and two-click reservations keep routine bookings direct. Filters for capacity, amenities, and location help people find an appropriate space rather than simply an open slot. That makes Roomzilla more useful for a mixed workplace inventory than a tool focused on one kind of booking, though its per-resource pricing means the size and makeup of that inventory matter when choosing a plan.

Key features

Reservations and space management

Roomzilla covers meeting rooms, desks, and other assets. QR-code quick reservations, interactive maps, approval queues, guest reservations, reports, and booking limits give administrators options for managing different booking needs. That range can serve offices, venues, classrooms, and home offices; a team looking only for basic desk reservations may not benefit from the broader controls.

Check-in and calendar syncing

Check-in rules can trigger automatic cancellation when someone misses the configured window, making unused space available again. This is a practical advantage for shared workplaces where no-shows keep rooms or desks out of circulation. Roomzilla also describes syncing room resources, users, and calendar events with Google Calendar and Microsoft Outlook, which suits organizations already using either calendar.

Mobile access and room displays

Users can search, book, change, and cancel reservations in a phone or tablet browser. Roomzilla also says its room display works with Android tablets and iPads. Android and iOS apps are listed as platforms, alongside web access; the browser-based mobile workflow is useful for people away from a desk, while the display support offers a way to show room information on a shared device.

Pricing

The Free plan costs 0.00 USD per free and covers up to three resources. It includes email support, making it a sensible way for a small team to start, but the cap is restrictive for organizations managing several rooms, desks, or other assets.

Standard is billed per resource and Business per desk or equipment. Both offer unlimited resources: each yearly plan is 10.00 USD per year, with the monthly rate paid yearly, while each monthly plan is 12.00 USD per month. The different billing bases make the choice depend on what the organization manages; discounts are available for accounts with more than 30 resources. A 14-day free trial requires no card.

The yearly plans are the lower monthly-rate options but require yearly payment; monthly billing costs more. The free plan avoids a subscription but limits the inventory to three resources. Check which plan’s per-item basis matches the spaces being booked before comparing totals.

Platforms

Roomzilla is available on web, Android, and iOS. Mobile reservations work through a phone or tablet browser, and room displays work with Android tablets and iPads.

Who it's for

Roomzilla is a good fit for organizations that coordinate several types of shared space and want check-in rules, calendar syncing, and administrative booking controls in one system. The free tier can suit a small setup within three resources; larger inventories can use unlimited-resource paid plans. Organizations that require formal customer-facing security documentation should look elsewhere: Roomzilla’s FAQ says it does not yet have formal security documentation for customers. Its privacy policy says it collects account and reservation information, including names, email addresses, and reservation location, time, and stated purpose.

Pros and cons

Pros: Automatic cancellation after a missed check-in window can return unused space to circulation.
Pros: Room, desk, and other-asset reservations, plus maps, approvals, guest bookings, and reports, support varied workplace needs.
Pros: A no-card 14-day trial and a free plan provide ways to start without an upfront paid commitment.
Cons: The free plan stops at three resources, limiting its usefulness for larger workplaces.
Cons: Paid pricing is tied to resources or desks and equipment, so the relevant inventory affects the cost.
Cons: Roomzilla does not yet provide formal security documentation for customers, which may be a blocker for organizations that require it.

Alternatives

For desk booking, desk.ly is worth considering if a free allowance of up to 15 users is a better fit than Roomzilla’s three-resource cap; its free plan lasts as long as needed, and a Corporate plan is also offered at 165.00 EUR per month.

Officely offers a free plan for up to five users with all features, so it may suit a small team that wants a user-based free allowance rather than Roomzilla’s resource-based one.

Flexopus has no free plan, but its 30-day demo includes Starter and Business functions without a credit card; consider it if a longer evaluation window matters more than an ongoing free tier.

Seatsurfing offers a free plan for up to 10 users with managed cloud hosting in Germany, plus Teams, Exchange, and Confluence integrations; it may suit teams whose priorities match those terms.

classroombookings offers a free self-hosted option, which may suit an organization that wants to run room-booking software on its own server.

Skedda is a paid option with a Starter plan that includes 15 spaces and unlimited users and bookings, a possible fit for teams that prefer that stated space-and-user structure.

MRBS is a free, self-hosted web application; consider it if self-hosting is the priority.

Open Meeting is a free, MIT-licensed, self-hosted option for organizations seeking open-source software.

Verdict

Roomzilla is a strong choice for workplaces that need to coordinate rooms, desks, and other assets, especially where check-in rules can return no-show bookings to circulation. Its calendar syncing and range of booking controls add useful breadth. Choose another system if three resources are not enough for a free start, if per-resource or per-desk pricing is a poor match for your inventory, or if formal customer security documentation is essential.
