Overview

Whatfix is an enterprise digital adoption platform for organizations that need to guide employees or customers through software. It is best suited to teams supporting several application environments and looking to pair in-product help with adoption analytics. Its broad guidance and deployment options are compelling, though custom pricing and deployment-specific feature limits make a fit check essential.

Key features

In-app guidance

Whatfix offers Self Help, task lists, Smart Tips, Beacons, Pop-Ups, Launchers, and step-by-step Flows, alongside product tours, walkthroughs, and onboarding checklists. That range lets teams choose between point-of-need help and more structured task guidance rather than relying on tours alone. A no-code builder and localization support content creation for different workflows and audiences; organizations with complex needs should still assess how the relevant features fit their deployment and plan.

Analytics

Product Analytics tracks user actions and application adoption, giving teams a way to assess whether software is being used. Its Standard plan is included free with a DAP Web & Desktop plan, but it is not a standalone free offer. That makes the analytics a useful complement for customers already buying the desktop and web platform, not an independent reason to adopt Whatfix.

Application coverage and integrations

Whatfix Mobile supports native, React Native, Xamarin, Cordova, Flutter, and Ionic apps on Android and iOS. The platform also lists desktop and virtual desktop support, including Citrix and Azure Virtual Desktop, alongside web applications. This breadth suits organizations managing mixed software estates; teams focused on a single environment may not need that range.

The integrations directory includes Salesforce, ServiceNow, Confluence, Workday, Microsoft Azure, Amplitude, and Power BI. Security controls listed on the pricing page include SSO, IP whitelisting, audit logs, and data residency selection. These controls and integrations matter to enterprise rollouts, but availability should be checked against the chosen plan and deployment.

Deployment and support

Customers can choose cloud or self-hosted deployment. Self-hosting can suit organizations with deployment constraints, but some Standard and Premium features may not be available in that environment. Standard customer support is available 24 hours a day, Monday through Friday; plans also list a named Customer Success Manager and content author training.

Pricing

Whatfix is paid, with pricing on request. Subscription cost combines a flat product and plan fee with user-license fees based on employee user counts or customer-facing monthly active users, so the appropriate quote depends on both the product configuration and audience size. The free plan and free trial do not mean the core platform is free.

Product Analytics Standard: 0.00 USD per free. This plan is exclusively available with any DAP Web & Desktop plan, making it an included analytics option rather than a standalone entry tier.
DAP Web & Desktop Standard: custom pricing for employee- or customer-facing apps. Integrations are limited to 2, so teams needing more connections should assess Premium or Enterprise before choosing Standard.
DAP Web & Desktop Premium: custom pricing for employee- or customer-facing apps, with cloud or self-hosted deployment. Self-hosting is a meaningful option, but some Standard and Premium features may be unavailable in self-hosted setups.
DAP Web & Desktop Enterprise: custom pricing for multi-app employee- or customer-facing plans, suited to organizations rolling out guidance across multiple applications.
DAP Mobile Standard: custom pricing for employee- or customer-facing apps, for teams whose primary requirement is mobile app support.

Because pricing includes user licenses and the plans differ in application scope, integration limits, and deployment options, buyers should request a quote based on their user counts and verify feature availability for their intended setup.

Platforms

Whatfix spans Android, iOS, web, desktop, browser extension, API, Windows, macOS, and self-hosted environments. Its mobile support covers multiple development frameworks, while desktop and virtual desktop support extends its reach beyond browser-based software. That coverage is useful for organizations with varied systems, but may be more platform breadth than a narrowly focused rollout needs.

Who it's for

Whatfix is a strong fit for enterprises adopting employee- or customer-facing software across multiple applications, particularly when in-product guidance, adoption measurement, and cloud or self-hosted deployment options are all relevant. It is less compelling for small teams seeking a transparent, low-cost starting point: its paid plans require a quote, and the free analytics plan is tied to a DAP Web & Desktop subscription.

Pros and cons

Pros: A broad set of guidance formats, from self-service help to step-by-step flows, supports different user needs without limiting teams to product tours.
Pros: Mobile, desktop, web, and virtual desktop coverage can support organizations managing a mixed application estate.
Pros: Product Analytics Standard is included free with a DAP Web & Desktop plan, connecting usage measurement to in-product adoption work.
Cons: Custom pricing and user-based license fees make budget comparisons dependent on a tailored quote.
Cons: Standard limits integrations to 2, which may constrain teams that need to connect a larger software stack.
Cons: Some Standard and Premium features may be unavailable with self-hosted deployment, so self-hosting does not guarantee feature parity.

Alternatives

Stonly is worth considering for teams that prefer a freemium option with a free plan and guide-view, published-guide, language, step, and team-member caps on its Basic plan.

Candu may suit buyers seeking a freemium alternative: its free plan offers overlays, 3 live experiences, and unlimited user licenses, while its Starter plan is 199.00 USD per month billed annually.

Appcues is another paid option for teams looking for in-product adoption software, with plans framed around monthly active users and published experiences.

Nexthink Adopt may be relevant to buyers comparing paid adoption platforms with Android, iOS, web, extension, macOS, and Windows support.

Userpilot may suit teams comparing published seat and MAU limits, though it has no free plan; its Starter plan is 299.00 USD per month for up to 2,000 MAU and 3 seats.

Cornerstone Learning is a paid alternative with quote-based pricing that varies by organizational needs and size.

WalkMe is another paid digital adoption platform with a broad platform range that includes self-hosted, desktop, mobile, and web environments.

Toonimo is a paid alternative with an Enterprise plan requiring custom pricing.

Verdict

Choose Whatfix if your organization needs in-product guidance across employee or customer software and values analytics, broad platform support, and cloud or self-hosted choices. Its strongest case is the combination of varied guidance tools with coverage across web, mobile, desktop, and virtual environments. Look elsewhere if you need clear upfront pricing or a standalone free analytics tier; Whatfix's core plans are quote-based, and self-hosted deployments may not include every feature.
