Overview

KudosCRM is a customer relationship management platform for teams coordinating sales pipelines, email and marketing automation. It is best suited to organizations that want a free way to start and a tiered path to larger contact and workflow limits. Its breadth is appealing, but the jump between tiers matters: key capacity and integration features sit behind paid plans.

Key features

A visual sales pipeline provides a structured view of opportunities, while email sync and marketing automation support communication and follow-up. AI features are part of the product, though the defined Kudos AI allocation appears on Professional rather than the lower tiers. The Free plan’s tasks, activities and single email inbox can cover basic coordination, but one pipeline and 1,000 contacts leave little room for multiple sales processes or a growing database.

Basic adds meetings, forms and invoicing, along with 10 automations. That expands the platform beyond simple pipeline tracking, although teams still face limits of 25 users, 25,000 contacts and three pipelines. Professional is a more substantial operational step: it allows unlimited users and pipelines, supports 250,000 contacts and 50 automations, and adds Kudos AI allocation, webhooks, API access and lead scoring. Those additions make it the clearest fit for teams that need more workflow capacity or external integrations.

Enterprise is aimed at larger organizations rather than teams simply seeking more contacts: it requires 50 or more seats and adds SSO, SAML, SCIM, unlimited audit log and export, a dedicated customer success manager and a 99.9% uptime SLA. The published tier structure makes the intended scale clear, but the required seat floor makes it a poor fit for smaller teams.

Pricing

KudosCRM has a free plan and a 14-day trial. Paid prices below are monthly rates billed annually; compare the annual commitment and per-user cost against expected team size before moving up.

Plan	Price	Includes and limits	Best fit
Free	Free	Free forever; up to 3 users, 1,000 contacts, 1 pipeline, tasks, activities and 1 email inbox	A small team validating a basic CRM workflow
Basic	9.00 USD per month, billed annually	Up to 25 users, 25,000 contacts, 3 pipelines, 10 automations, meetings, forms and invoicing	Teams needing practical workflow tools without advanced integrations
Professional	24.00 USD per month, billed annually	Unlimited users and pipelines, 250,000 contacts, 50 automations, Kudos AI allocation, webhooks, API and lead scoring	Growing or larger teams needing room and automation depth
Enterprise	49.00 USD per month, billed annually	50+ seats, SSO, SAML and SCIM, unlimited audit log and export, dedicated customer success manager, 99.9% uptime SLA	Organizations with at least 50 seats and identity or governance requirements

Free avoids subscription cost but restricts seats, contacts and pipeline count. Basic’s $9.00 USD monthly rate is the lowest paid entry, yet teams that need unlimited pipelines, API access or lead scoring must move to Professional at $24.00 USD per month. Enterprise’s 50-seat minimum is a material constraint even before considering whether its controls and service justify the higher price.

Platforms

KudosCRM is available on web, iOS and Android, giving teams browser access alongside mobile apps. That suits organizations whose staff need access across desktop and mobile environments.

Who it's for

KudosCRM is a sensible option for small teams that can work within one pipeline and 1,000 contacts, and for growing teams that want a clear upgrade path to more automation and integrations. Basic fits organizations that need meetings, forms and invoicing while staying within three pipelines. Professional suits teams that need higher capacity, lead scoring or API and webhook access. Enterprise is only a natural match for organizations able to support 50 or more seats and needing its identity and audit controls.

Look elsewhere if your team needs substantial capacity at the entry tier, or if an Enterprise seat floor is impractical. The plan structure is straightforward, but the most flexible workflow and governance capabilities are reserved for higher-cost tiers.

Pros and cons

Pros: A permanent free plan supports up to three users, making it possible for a small team to start without a subscription.
Pros: Professional combines unlimited users and pipelines with 50 automations, API and webhook access, and lead scoring, which gives scaling teams meaningful headroom.
Pros: Web, iOS and Android availability supports access across desktop and mobile.
Cons: Free is capped at one pipeline and 1,000 contacts, so it can become restrictive as sales processes or databases expand.
Cons: Basic still caps teams at three pipelines and 10 automations; advanced integration and lead-scoring tools require a higher tier.
Cons: Enterprise requires 50+ seats, excluding many smaller organizations from its SSO, provisioning and audit features.

Alternatives

For a complimentary option with mortgage-oriented lead capture, co-marketing connections and single-property websites, consider Total Expert; its free plan includes CRM access and an open house lead capture app. If a dedicated mortgage CRM with AI sourcing and compliance is the priority, Mortgage Magic offers a paid Prometheus plan at 85.00 GBP per month. Teams comparing a mortgage CRM with a free starting tier can also consider Viato, whose Support plan is 49.00 USD per month per LO and adds ticket access and priority responses.

MloFlo is a paid mortgage-focused alternative with SMS-only and SMS/MMS plans; Effi is another paid option with a free trial. For custom pricing, consider Aidium. Jungo is a paid CRM with an annually billed Lite plan, while BNTouch Mortgage CRM offers a paid plan with a 12-month prepay option that earns a 13th month free.

Verdict

KudosCRM is a strong fit for teams that want a no-cost starting tier and a defined route to more pipelines, automation and integration capacity. Professional is the most compelling tier for teams whose workflows need room to grow, while Free and Basic are useful only if their caps match the team’s actual scale. Choose another CRM if you need advanced capabilities without a substantial tier upgrade or cannot accommodate Enterprise’s 50-seat minimum.
