Overview

Mailbutler Smart Assistant adds AI writing and sorting tools to Apple Mail, Gmail and Outlook. It suits people who want help preparing replies and finding action items without handing over control of sending. Its strongest case is the mix of drafting, summaries and task finding; the catch is that continued access starts with the Smart plan.

Drafts can start from keywords, while replies can incorporate details you provide. You can tune generated text’s format, length, style, tone and language, and Smart Improve suggests spelling and grammar changes to a draft. The assistant can also summarize selected emails and identify to-dos for Mailbutler Tasks. It does not send messages automatically, so review and sending remain with you.

Mailbutler says Smart Assistant uses OpenAI GPT-4o. Its GDPR information says email subjects and bodies are processed by Microsoft Azure OpenAI Service in the EU, with personal data redacted before submission to the underlying model. Mailbutler also says it is ISO/IEC 27001 certified, GDPR compliant and encrypts backend data.

Key features

Compose and reply: Keyword-based drafts and replies shaped by supplied details can reduce blank-page work, though you still need to check that the result says what you intend.
Writing controls: Adjusting length, tone, style, format and language gives the assistant useful range across different messages; those controls do not remove the need to review the output.
Summaries and tasks: Summaries and to-do detection can help surface the next action in selected emails. Tasks can be added to Mailbutler Tasks, making this more than a drafting tool for people who use that workflow.
Smart Improve: Spelling and grammar suggestions help polish a written draft without requiring the assistant to generate it from scratch.
Mailbutler connections: Mail Merge can draw on Apple, Google or Outlook Contacts, HubSpot or Salesforce, and CSV data. CRM tracking sync is listed for HubSpot and Salesforce, but is a Business-plan feature.

Pricing

Mailbutler offers a 14-day trial, and Smart Assistant is included during it. Afterward, it requires a Smart or Business subscription. The free Starter plan is not a continuing route to the AI assistant.

Plan	Price	What it includes and who it suits
Starter	Free	Free forever with Starter features, but sent emails carry a visible Mailbutler watermark. It is for trying the basic service, not using Smart Assistant.
Professional, yearly billing	7.00 USD per month, billed per user per month with yearly billing	Email tracking, templates and mail merge, inbox collaboration and signature marketing. A fit if those tools matter more than AI assistance.
Professional, monthly billing	9.00 USD per month, billed per user per month	The same core Professional feature set with monthly billing; it costs more per month than yearly billing and still excludes Smart Assistant.
Smart, yearly billing	11.00 USD per month, billed per user per month with yearly billing	Smart Assistant, Smart Follow-ups, email tracking, mail merge and inbox collaboration. This is the entry plan for ongoing AI use.
Smart, monthly billing	14.00 USD per month, billed per user per month	Includes Smart Assistant and the Smart plan’s other listed tools, with monthly billing at a higher monthly price than the yearly option.
Business, yearly billing	24.00 USD per month, billed per user per month with yearly billing	Smart Assistant, Smart Follow-ups, CRM tracking sync, custom subdomain and IP blacklisting. Best suited to teams that need those business-oriented additions.
Business, monthly billing	32.00 USD per month, billed per user per month	The Business feature set with monthly billing, at a higher monthly price than the yearly option.

Mailbutler’s general pricing note says paid plans start at $4/user/mo (annual), but Smart Assistant itself requires Smart or Business. Professional is cheaper but gives up the AI features. Choose yearly billing only if the commitment suits you; the monthly options cost more per month. The published plan prices are per user, so costs scale with seats.

Platforms

The assistant works with Apple Mail, Gmail and Microsoft Outlook. Apple Mail support is listed for macOS Tahoe, Sequoia, Sonoma and Ventura; Gmail support is listed on macOS, Windows and Linux. Mobile apps support iOS 15 or later and Android 7 or later. The broader platform list also includes web and extensions, but the email-client and operating-system compatibility limits are the practical checks to make before subscribing.

Mailbutler says its customer support team answers queries 24/7 and provides a Support Center.

Who it's for

Smart Assistant is a sensible fit for people who spend time composing or sorting email in one of its supported clients and want summaries or task suggestions alongside writing help. It is less compelling if you only need tracking, templates or mail merge: Professional costs less, while Starter carries a visible watermark and cannot provide ongoing Smart Assistant access. People seeking automatic sending should look elsewhere, since this tool leaves sending to the user.

Pros and cons

Pro: Drafting, replies, adjustable writing, summaries and task finding cover several email chores in one assistant.
Pro: Smart Improve can refine a draft without requiring AI to write the whole message.
Pro: Mailbutler describes EU processing through Azure OpenAI, redaction of personal data before model submission, and backend encryption.
Con: Ongoing Smart Assistant access starts at the Smart plan; the cheaper Professional tier does not include it.
Con: There is no automatic sending, so the tool does not fully automate reply handling.
Con: Client and OS support has boundaries, including the specified macOS versions for Apple Mail and minimum mobile OS versions.
Con: Starter adds a visible Mailbutler watermark to sent emails, which limits its appeal for regular professional correspondence.

Yesware is a tracking-oriented option with a free plan that includes basic open and attachment tracking and 10 campaign recipients per month.

Verdict

Choose Mailbutler Smart Assistant if you want writing help, summaries and task detection in Apple Mail, Gmail or Outlook, and you are comfortable reviewing and sending messages yourself. The Smart plan is the clear starting point for continuing AI use; look elsewhere if you need automatic sending, a free ongoing assistant, or a lower-cost plan for AI.
