Overview

MailMaestro combines composition, inbox triage and follow-up assistance inside supported email workflows. It writes messages from a blank page, improves existing text and helps turn long conversations into actionable replies. Gmail users need Google Chrome, while Outlook users can use the web app, legacy Outlook or new Outlook.

Key features

Drafting covers new messages, rewrites, polishing and typo correction. Rapid Replies presents contextual response choices and produces a professional answer from the selected direction. Thread summaries include attachments, then provide the context needed to draft a response. This is particularly useful when a reply depends on a long exchange or a document, although MailMaestro does not send messages automatically; the user still approves and sends each email.

Professional responses can be created in 18 languages. Magic templates handle recurring messages, and keyword shortcuts insert predefined information such as a phone number or LinkedIn profile. Inbox triage and follow-up actions extend the product beyond a writing tool. Paid plans add auto labels, email reminders and other workflow controls.

For meeting invitations, the assistant checks availability in a Microsoft Outlook or Gmail calendar and supports one-click responses. A thread summary can be shared to a Microsoft Teams channel or direct message, making the product more useful in organizations already centered on Microsoft or Google services.

Maestro Labs states that the service is SOC 2 Type II certified, GDPR and HIPAA compliant (with a BAA on request), Microsoft attested, Google verified and Tier 2 CASA verified. It says customer data is not used to train AI models, is encrypted in transit and at rest, and is protected by role-based access, MFA and least-privilege controls. Enterprise customers can request zero-day retention and PII obfuscation.

Pricing

A free plan costs $0.00 per seat/month and limits Compose, Reply and Improve to three uses per week. It includes Magic templates and AI knowledge, so it works for occasional evaluation or very light correspondence, not a busy inbox.

The Professional/Team plan is $15.00 per seat/month and adds auto labels, email and attachment summaries, reminders, smart meeting scheduling, selected-text improvement and shared team templates. The pricing note also advertises paid access from $12/user/month when billed annually; confirm the applicable annual rate before committing. This tier fits individuals and small teams that need the complete day-to-day email workflow.

MaestroDuo costs $27.00 per seat/month and combines MailMaestro Professional with TeamsMaestro Professional, giving one subscription and two AI assistants. It is aimed at users who need both email and Teams assistance rather than a second standalone tool.

Enterprise uses custom pricing and adds company-wide templates and tones, shared company knowledge, custom retention, custom integrations, SSO and the stated security coverage. A 14-day trial is offered. Paid seats are billed per seat/month, so larger teams should model the recurring cost rather than treating the individual price as a flat license.

Platforms

MailMaestro is delivered as an extension and web-based product. The Gmail edition is a Chrome extension and works only in Google Chrome. Outlook support spans the Outlook web app, legacy Outlook and new Outlook.

Who it's for

Choose it if your work involves frequent email drafting, long threads, attachments, meeting invitations and repeatable team responses. It is also a strong fit for multilingual professionals and organizations that need documented security controls or Teams sharing. It is a poor fit for Gmail users who cannot use Chrome, infrequent senders who exceed the free allowance, or anyone expecting automatic sending.

Pros and cons

Pros

Thread and attachment summaries can ground replies in the entire conversation.
Calendar checks and one-click meeting responses reduce scheduling back-and-forth.
Templates, shortcuts and shared team content support repeatable communication.
Broad compliance claims and optional enterprise retention controls address regulated deployments.

Cons

The free plan allows only three Compose, Reply or Improve actions per week.
Gmail access is restricted to Chrome.
Automatic sending is unavailable, so every generated message still needs review and dispatch.
Enterprise pricing is custom, and the published monthly Professional figure differs from the advertised annual starting price.

Verdict

MailMaestro is best for professionals and teams who want one assistant for writing, thread context, scheduling and reusable email workflows across Outlook or Chrome-based Gmail. Its main reason to choose it is the unusually broad combination of summaries, replies, calendar actions and team sharing. Look elsewhere if Chrome-only Gmail support, the three-action weekly free cap or the per-seat paid cost does not fit your workflow.
