Overview

PowerPoint pairs slide design with real-time collaboration: people can share a deck, edit together, comment, and use @mentions. Its templates, illustration tools, and Designer recommendations help users shape text and graphics; drawing can also be converted into text or shapes. That breadth suits teams building polished presentations, though users still need to judge whether suggested layouts and content serve the message.

Presentation features go beyond slide creation. Cameo adds prerecorded video, Speaker Coach gives feedback on pace and vocabulary during practice, and Accessibility Assistant recommends changes to formatting, color, and word choice. Copilot can rewrite, reorganize, and add slides. These tools can assist preparation, but they do not replace review of the final deck.

Key features

Design and editing: Thousands of customizable templates, Microsoft Designer recommendations, and illustration tools give users a broad starting point. Handwriting and drawings can be converted into text or shapes.
Collaboration: Sharing, co-editing in real time, comments, and @mentions support teams working on one presentation. The free web tier includes sharing and collaboration, but only basic tools.
Practice and accessibility: Speaker Coach offers feedback on delivery, while Accessibility Assistant suggests improvements to format, color, and word choice. These are useful prompts for presenters who want to refine delivery and access.
Copilot and Microsoft 365: Copilot can make edits directly to presentations. Microsoft 365 bundles PowerPoint with apps such as Word, Excel, Outlook, OneNote, OneDrive, and Teams, which makes a subscription more compelling for people who need that wider suite.

Pricing

PowerPoint uses a freemium model. The free web plan includes sharing, real-time collaboration, basic tools, dictation, and 5 GB of storage; its basic templates, fonts, icons, stickers, spelling, grammar, dictation, and voice commands make it a reasonable starting point, not a substitute for the full desktop suite. The Microsoft PowerPoint plan is custom pricing and includes 1 person and 5 GB of cloud storage.

Microsoft 365 consumer plans offer a one-month free trial. Subscriptions automatically renew at the regular price and selected term unless cancelled in the Microsoft account, so trial users should track the renewal date.

Microsoft 365 Personal — 9.99 USD per month: For 1 person, on 5 devices, with 1 TB storage. It suits an individual who also wants the broader Microsoft 365 package; the free option gives up that storage and bundled-app scope.
Microsoft 365 Family — 12.99 USD per month: For 1 to 6 people, with 5 devices per person and up to 6 TB storage (1 TB per person). It is the practical consumer choice for households sharing the suite, rather than a single user.
Microsoft 365 Premium — 19.99 USD per month: Includes everything in Family and up to 6 TB storage. It fits buyers who want that expanded package; the supplied plan details do not identify a separate PowerPoint-specific addition.
Microsoft 365 Business Basic — 7.00 USD per year, billed user/month and paid yearly: Supports up to 300 users and includes web and mobile Office apps, 1 TB cloud storage per user, and Teams. It suits organizations that can work without desktop Office apps; business plans show a free-trial option.
Microsoft 365 Business Standard with Copilot — 23.50 USD per year, billed user/month and paid yearly: Supports up to 300 users, desktop, web, and mobile Office apps, 1 TB per user, and Copilot. Choose it when desktop apps and Copilot matter across a team.
Microsoft 365 Business Premium with Copilot — 32.00 USD per year, billed user/month and paid yearly: Supports up to 300 users, desktop, web, and mobile Office apps, 1 TB per user, advanced device management, and threat protection. Its added controls make it more suited to businesses with device and security administration needs.

Business annual subscriptions auto-renew. Business Basic provides core identity and access management for up to 300 users; Microsoft 365 plans include ongoing technical support.

Platforms

PowerPoint is available on the web and as desktop and mobile apps for Windows, macOS, Android, and iOS. Installed Office apps work offline once fully installed, but after 31 days without internet they enter reduced-functionality mode and cannot create or edit documents. That makes the desktop option less suitable for people who expect extended offline work without reconnecting.

Users retain ownership of documents and can store them online or locally. Microsoft 365 Personal includes Microsoft Defender security and OneDrive ransomware protection.

Who it's for

PowerPoint is a strong choice for people who need presentation design, collaboration, and rehearsal features in one product, particularly Microsoft 365 users and organizations deploying Office apps across a team. The free web tier fits basic slide work and collaboration. People who need full desktop apps, significant cloud storage, or Copilot should compare the paid plans against their actual user and device needs. Those who require reliable editing beyond 31 days offline should consider the connectivity restriction before subscribing.

Pros and cons

Pro: Thousands of templates, Designer suggestions, and illustration tools give deck creators several ways to establish a visual direction.
Pro: Real-time collaboration, comments, and @mentions make shared slide work practical without giving up presentation-specific tools.
Pro: Cameo, Speaker Coach, Accessibility Assistant, and Copilot extend the product into video presenting, rehearsal, accessibility guidance, and assisted editing.
Con: The free web tier is limited to basic tools and 5 GB storage, so users needing the full desktop suite or more storage must pay.
Con: Installed apps lose editing and creation functionality after 31 days without internet, a material constraint for prolonged offline use.
Con: Consumer subscriptions renew automatically unless cancelled, and business plans also auto-renew annually; renewal terms deserve attention when using a trial.

Alternatives

For users whose priority is creating presentations, compare options in Presentation software. For broader design needs, Graphic Design Software may be a better category to explore. If the main requirement is storing and sharing files rather than building decks, consider File Sharing Software or Cloud Storage Services. Readers looking for form creation should consider Form Builder Software; for AI app creation, see AI App Builders.

Google Drive is worth considering if storage is the priority: its free plan provides 15 GB with a Google Account. For a form-focused workflow, Typeform offers a free plan capped at 10 responses per month, while Paperform allows 30 submissions per month on its free plan. Jotform offers a free Starter plan with 5 forms and 100 monthly submissions; forms.app allows 5 forms and unlimited responses on its free plan. Zoho Forms provides 3 forms and 500 submissions per month free, and Formlets offers a free Personal plan for publishing one form with unlimited responses. SurveyJS offers plans with unlimited forms and submissions, which may suit users seeking a form or survey tool rather than slide software.

Verdict

Choose PowerPoint if you need capable slide design and collaboration across web, desktop, and mobile, especially alongside Microsoft 365 apps. Its presentation-specific rehearsal, accessibility, and video tools add useful depth. Look elsewhere if you need full editing through extended offline stretches, or if a basic free web plan cannot meet your storage and feature needs.
