Overview

PandaDoc combines document production with the steps that follow: internal review, delivery, signatures, activity tracking and payment collection. That joined-up approach is useful when documents are part of a sales or operations process, not just files that need a signature.

Templates, rich media and a drag-and-drop editor support document creation. Teams can edit together, comment and route documents for approval before sending; afterward, notifications, reminders and reporting show when recipients open, view or complete them. Product catalogs and Configure-Price-Quote tools extend the workflow to quotes and payments.

Key features

Document creation and review: Templates and a visual editor support proposals, quotes and contracts, while shared editing, comments and approval workflows help teams resolve changes before delivery.
Signatures and tracking: Legally binding e-signatures and signature certificates are paired with activity notifications and reporting. This gives teams visibility beyond whether a document was merely sent.
Payments and integrations: Payments can be collected within document workflows. Integrations include Salesforce, HubSpot, Pipedrive, Stripe, Slack, Canva and Dropbox, among others.
Developer access: An API, document embedding and developer documentation make PandaDoc an option for teams connecting document workflows to their own systems.
Security: PandaDoc states that it is E-SIGN, UETA and HIPAA compliant and SOC 2 certified. Security features include two-factor authentication, SSO and GDPR compliance.

Pricing

PandaDoc has a free plan, paid plans billed annually, and a 14-day trial. The trial allows up to 50 documents; business-email trial users can send to up to 5 recipients per document.

Free — 0.00 USD per free: Allows 60 documents per year, up to 2 recipients per document, 5 templates, unlimited storage and unlimited users. Downloads are PDF only, not DOCX. This is a useful starting point for teams with modest sending needs, but the annual cap and recipient limit can constrain regular or multi-party workflows.
Starter — 19.00 USD per month, billed annually: Includes unlimited documents sent, unlimited e-signatures and up to 5 templates. It removes the free plan’s sending cap but keeps a small template allowance.
Business — 49.00 USD per month, billed annually: Includes unlimited documents sent and e-signatures, up to 5 templates and up to 3 rooms. It is the tier for teams that need rooms alongside the core sending workflow.
Enterprise — custom pricing: Adds CPQ, workflow automation, smart content, single sign-on, team workspaces and API access. This tier fits organizations needing those capabilities rather than a basic document-and-signature setup.

Paid plans include system roles and user management, with custom roles also available. The free plan’s unlimited seats are unusually accommodating, but its document and recipient caps and PDF-only downloads make it a limited substitute for a paid workflow.

Platforms

PandaDoc is available on web, iOS, Android and API. Its mobile app supports viewing, tracking, creating, signing and uploading documents, although users with pandadoc.eu accounts cannot use the app. Supported desktop browsers include current Safari on Mac, Chrome and Firefox on Windows and Mac, and Edge on Windows 10.

Who it's for

PandaDoc is best suited to sales and operations teams that routinely prepare proposals, quotes or contracts and want drafting, internal approval, signing, tracking and payment in a connected process. Its integrations and API also suit teams linking document workflows with CRM or other business systems. A simple signature need, a high-volume free workflow, or an EU account requiring mobile access points elsewhere.

Pros and cons

Pro: Creation, collaboration, signatures, tracking and payment collection share a workflow, reducing the need to split those steps across separate tools.
Pro: Free accounts have unlimited users and storage, making the plan accessible to a team so long as its 60-document yearly allowance and two-recipient cap are sufficient.
Pro: API access, document embedding and CRM integrations support connected workflows beyond standalone document sending.
Con: Free downloads are PDF-only, and the plan limits sends to 60 documents per year and two recipients per document.
Con: The paid Starter and Business plans both allow only up to 5 templates, despite their unlimited sending and e-signatures.
Con: The mobile app is unavailable to users with pandadoc.eu accounts.

Verdict
