Overview

Developed by the Icecream Apps team and offered since 2016, PDF Candy brings editing, conversion and file management together. It supports text editing, annotations and OCR, along with tools to merge, split, compress, sign and protect PDFs. That breadth is useful when document tasks vary; for a single recurring job, a focused tool may be a simpler fit.

PDF Candy’s company page lists 98 tools and 19 languages. AI features can summarize, chat with and translate PDF documents. Google Drive and Dropbox connections allow users to import files and save processed versions back to cloud storage.

Key features

Web toolkit and AI

The combination of editing, OCR, conversion and file management covers more ground than a converter alone. AI document tools add ways to summarize or explore a PDF and translate its contents. The free tier’s hourly and page restrictions, file-size limit and lack of batch processing can interrupt repeat workflows, so regular users should weigh a paid plan against their workload.

Desktop, cloud and security

PDF Candy Desktop offers 35 Windows tools that can run offline, a useful option when internet access is unavailable or local processing is preferred. Web users can move files through Google Drive or Dropbox. PDF Candy says files are deleted from its servers within two hours after processing, transfers use HTTPS with TLS/SSL, and documents are protected with 256-bit AES encryption in transit and at rest. It also says its platform complies with GDPR and uses ISO 27001-certified data centers.

Students and teachers can get one year of online PRO at no cost, with no hourly limits and uploads up to 500 MB. That is a meaningful option for education use, though the offer is online rather than a stated desktop entitlement.

Pricing

PDF Candy is freemium. The Web + Desktop Free plan is free, billed monthly, and imposes page and hourly restrictions, limited file size, no batch processing and a desktop operations limit. It is best for occasional tasks, not a steady stream of documents.

Web Monthly costs 6.00 USD per month and includes web access, no hourly limits, tasks up to 500 MB and high-priority processing. It suits regular online users who need fewer interruptions but do not need the desktop app. Desktop + Web Yearly costs 4.00 USD per year, billed yearly, and adds web and desktop access, the same 500 MB task ceiling, no hourly limits and high-priority processing, plus Video Candy WEB and Image Candy WEB. Its stated annual price is lower than the monthly plan, while offering both platforms.

Desktop + Web Lifetime costs 99.00 USD per month, with payment once, and provides access to PDF Candy Web and Desktop plus permanent access to a specific software version. The one-time payment may suit someone who wants lasting access to that version, but it does not promise ongoing access to future versions. Payments are processed by Paddle. If recurring errors cannot be resolved within a reasonable period, PDF Candy offers a full refund within 30 days.

Platforms

PDF Candy supports web, Windows, macOS, Linux, iOS and Android. The desktop download is specifically for Windows; the other listed platforms provide reach across desktop and mobile users, while offline desktop processing is the Windows app’s distinguishing option.

Who it's for

PDF Candy is best for individuals, students and teams handling varied PDF tasks who value a broad online toolkit, cloud connections or the Windows offline app. The education offer is particularly useful for students and teachers with larger uploads. Organizations that need high-volume batch work or a defined team-seat plan should look elsewhere: the free tier lacks batch processing, and the plans describe access rather than seat counts.

Pros and cons

Pros

Broad toolkit: editing, OCR, annotations, conversion and file management can cover varied document needs without switching tools.
Useful workflow options: Google Drive and Dropbox connections plus a Windows app with 35 offline tools accommodate cloud and local work.
Education access: eligible students and teachers get a year of online PRO with no hourly limits and uploads up to 500 MB.
Published security measures: stated encryption, two-hour deletion and GDPR compliance address common concerns about document handling.

Cons

Free use is constrained: page and hourly restrictions, file-size limits and a desktop operations cap undermine frequent use.
No free batch processing: repeated-file workflows are less convenient on the free tier.
Lifetime access is version-specific: the plan promises a particular software version, not a continuing upgrade path.

Alternatives

For a compression-focused comparison, browse PDF Compression Software; for combining files, see PDF Merger Software. Readers primarily seeking an editor can compare options in PDF editors.

Xodo Compress PDF is a freemium compression option with a free plan and support across mobile, desktop, web and browser extension platforms; choose it when compression is the main need. iText pdfOptimizer is a free option for API or self-hosted environments, with commercial licensing at custom pricing; it is the more relevant direction for those deployment models.

PDF2Go offers most tools on its free tier with limited file processing, so it is worth considering for a web-oriented alternative. PDF24 Compare PDF is free with no limits, registration or time restrictions, and is the better fit when those terms matter for its comparison-focused use.

Smallpdf provides 30 free tools and a seven-day free trial, making it an alternative for readers who want to compare a trial-based option. AvePDF has 50+ tools but limits free use to two operations per six hours and 128 MB files; its stated caps provide a concrete point of comparison for occasional processing.

PDFOptim offers four tools with three operations a day and a 25 MB per-file limit on its free plan, a narrower free allowance than a broad toolkit may suit. Sejda PDF Editor offers web and desktop options, with a Web Week Pass that excludes desktop access.

Verdict

PDF Candy is a strong choice for people who want one broad PDF toolkit, especially students and teachers or users who benefit from cloud connections and offline Windows tools. Its chief advantage is that breadth across editing, AI and file management; its chief drawback is that free-use caps and the version-specific lifetime plan may not suit sustained or future-proof workflows. Choose a paid web plan for frequent online work, and look elsewhere if your priority is unrestricted batch processing or a narrowly defined PDF task.
