Overview

Proposal Expert is a web service for building and signing proposals, with AI writing help and client engagement tracking alongside CRM connections. It is a strong fit for independent proposal writers and sales teams that want those steps in one service. The free plan makes it possible to start without paying, but its monthly caps and the per-user pricing of higher tiers deserve close attention.

Key features

The editor combines AI drafting with Fred, an assistant that suggests stronger wording, flags weak points and supports multilingual proposals. Pricing tables and a reusable content library help users structure proposals and reuse material. AI credits are pooled across a workspace and roll over for one month, capped at one monthly allocation; this cushions occasional uneven use but limits sustained reliance on AI.

Engagement tracking reports when a client opens a proposal, which sections they read and how long they spend reading. Those signals can help a salesperson time a follow-up, though they cannot explain a client's decision by themselves. Electronic signatures use email verification and record an audit trail, adding a documented signing step to the proposal workflow.

CRM access depends on the plan: Professional connects to HubSpot and Pipedrive, while Salesforce is reserved for Business. Proposal Expert says customer data is encrypted in transit with TLS 1.2+ and at rest with AES-256, stored on EU servers, and not sold or used to train foundation models. Support is available in Dutch and English, with weekday replies within one business day; there is no phone line during the beta.

Pricing

The Free plan costs 0.00 EUR per free and includes 3 proposals/month, 25 AI credits, 5 templates, 3 e-signatures/month, basic analytics and 250 MB of storage. It is a sensible way to try the workflow or handle occasional proposals, but three monthly signatures and proposals make it a poor fit for regular client work.

Starter costs 24.00 EUR per month and includes 15 proposals/month, 100 AI credits, 15 templates and an editor, unlimited e-signatures, a custom logo, email support (24h) and 1 GB of storage. It removes the signature cap and adds branding, but the proposal quota still constrains busier users.

Professional costs 59.00 EUR per month, billed per active user. It offers unlimited proposals, 250 AI credits/user, unlimited templates and signatures, two brand kits, team collaboration, HubSpot and Pipedrive integrations, and 10 GB of storage. This is the natural choice for teams that need collaboration or either CRM connection, though per-user billing can make it costly as a team grows.

Business costs 109.00 EUR per month, billed per active user, and includes 500 AI credits/user, unlimited users, white-labeling, Salesforce integration, API access and data export, SSO/SAML, and 50 GB of storage. It targets organizations needing those integrations and administrative features; the per-active-user charge remains a key cost consideration. Enterprise has custom pricing, unlimited AI credits and unlimited storage.

The service also offers a 14-day trial. The monthly AI credit rollover is limited to one month and capped at one times the monthly allocation, so unused credits do not accumulate indefinitely.

Platforms

Proposal Expert runs on the web, making it suitable for browser-based proposal work rather than readers seeking a listed desktop or mobile app.

Who it's for

Freelancers and self-employed professionals can start on Free or move to Starter when they need more monthly proposals, unlimited signatures and custom branding. Sales teams that collaborate or use HubSpot or Pipedrive have a clearer reason to choose Professional. Business is aimed at organizations that need Salesforce, SSO/SAML, API access or data export. Readers who need only a few proposals may find Free adequate; teams with frequent AI use should weigh the credit allocation before committing.

Pros and cons

Pros: Proposal drafting, engagement tracking and email-verified signatures with an audit trail share one workflow, reducing the need to split those tasks across services.
Pros: CRM options scale by plan, with HubSpot and Pipedrive on Professional and Salesforce on Business.
Pros: EU hosting, encryption at rest and in transit, and the stated limits on selling or training with customer data offer clear privacy and security commitments.
Cons: Free limits proposals to 3/month and signatures to 3/month, which is restrictive for recurring client work.
Cons: Professional and Business are billed per active user, so the price rises with team size.
Cons: No phone support is available during the beta, which may not suit users who need a live support channel.

Alternatives

For a broader comparison, see AI Proposal Generators and Proposal Software.

FirstSlate is worth considering for a free forever plan with 5 active projects, 3 clients, proposals and contracts, invoices and crew call sheets, and no credit card requirement. AdvisorPitch is another option to compare. Handoff may suit users seeking its Flex plan, priced at 119.00 USD per month billed annually, with 50 AI usage credits per month, one custom pricing catalog and two included users. Proposify is an alternative with a Basic plan at 29.00 USD per month billed monthly, including 10 sends/month, a $0.50 per-send overage and unlimited documents. BriefSmith offers a Founding Member plan at 29.00 USD per month for the first 50 agencies, with the rate locked while subscribed and whole-team inclusion. Effie is a free web option with no credit card required. Propo has a free plan with 3 AI proposals per month, an AI proposal generator, basic templates, shareable links and email support. The Decent Proposal offers local-first proposal drafting with a manual workflow on its free plan.

Verdict

Proposal Expert is a good choice for freelancers and sales teams who want drafting, client engagement signals and signatures together, especially when a Professional- or Business-tier CRM connection is useful. Its limited free quotas, per-active-user pricing on team plans and capped AI credits are the main reasons to look elsewhere if proposal volume is high, costs must stay predictable as a team grows, or AI use is intensive.
