Overview

Spoteca brings scheduling, billing, attendance, student records and communications into one system. Schools running recurring individual lessons alongside group classes and events can manage those activities together rather than relying on separate workflows. For a school that needs only a calendar or a basic student list, that wider scope may be more than it needs.

Key features

The shared calendar handles recurring lessons, teacher availability, rooms and scheduling conflicts, with attendance tracking alongside the timetable. This should help administrators coordinate people and spaces, not just allocate lesson times. Group classes add shared attendance, per-session billing and calendar integration; events and recitals can include venues, participant lists, announcements, repeat scheduling and event history.

Billing covers custom pricing plans, automatic invoices, payment tracking, discount codes, financial reports and teacher pay tracking. That gives schools a fuller view of what they collect and owe, but Spoteca accepts cash, Whish and OMT and does not process credit or debit cards online. Schools that depend on online card checkout will need another payment route.

Curriculum tools let schools document lesson notes and milestones, follow student progress and download progress reports. Separate Super-Admin, Admin, Teacher, Student and Guardian views provide role-specific access and messaging, making the system relevant to families as well as staff. Reports cover enrollment trends, new students, dropouts, teacher performance and financial results; automatic student flags and PDF or CSV exports can help administrators identify cases for attention and share records beyond the platform.

Schools can bulk-import teachers, students, guardians, schedules, availability, rooms, calendar data, notes and messages from Excel, which may ease a move from existing records. Customers retain ownership of entered data and can export a full copy at any time before cancellation. Authorized Spoteca staff may access accounts for support or security issues, with each support session recorded by date, time, staff member and account accessed. Spoteca aims for 24/7 availability but does not guarantee uninterrupted or error-free service.

Pricing

The Free plan is free, billed forever, and includes all features for up to 10 billable enrollments with no credit card required. It is a substantial way for a very small school to start, but the 10-enrollment ceiling makes it a limited long-term option as enrollment grows.

Growth costs 1.00 USD per month, billed monthly per billable enrollment per branch, with a cap of $100/month per branch. It allows unlimited enrollments, does not bill paused or ended enrollments, and includes a 30-day trial. The per-enrollment charge makes costs rise with active billable enrollment until the branch cap; schools should account for branch-level billing when budgeting.

Scale costs 100.00 USD per month, billed monthly at a flat price, for 101+ active enrollments. Its flat rate offers a more predictable bill at that threshold, while Growth may cost less for a smaller enrollment count. Spoteca is freemium, with paid plans from $1/mo; a 30-day trial is available.

Platforms

Spoteca is available on the web. Schools looking for a listed mobile app for staff or families should consider whether browser access meets their needs.

Who it's for

Spoteca is best suited to music schools coordinating teachers, recurring lessons, group classes, family access and student development in one operation. Its attendance, billing and reporting tools also make it a plausible fit for administrators who need visibility beyond the calendar. It is less suitable for schools that require online card processing or want only a lightweight scheduling tool.

Pros and cons

Pros: Scheduling, attendance, billing, curriculum and events sit within one platform, reducing the need to manage those school workflows separately.
Pros: The Free plan includes all features and lasts indefinitely, giving schools with up to 10 billable enrollments room to use the broader system without a subscription.
Pros: Excel bulk import and full data export before cancellation support moving records in and retaining them later.
Cons: Online credit and debit card payments are not supported, limiting payment collection to cash, Whish and OMT.
Cons: Growth charges per billable enrollment per branch, so costs can increase as enrollment expands, even though each branch is capped at $100/month.
Cons: Availability is not guaranteed to be uninterrupted or error-free, a consideration for schools that depend on continuous access.

Alternatives

For a school comparing adjacent types of software, browse Martial Arts School Software or Tutoring Center Software.

Clubworx is worth considering for a club that needs Android and iOS apps, online booking and a self check-in kiosk; its free plan covers up to 20 active members. Kozaru may suit a tutoring operation seeking web-based student management, with a free plan for up to 20 active students after a 30-day trial. DojoStack is an option for a new or small martial arts school: its free Launch plan is for schools under 75 students and includes attendance, belt and rank tracking, a parent portal and basic reporting.

Kombat Evolve is a paid alternative for martial arts schools that want Android, iOS, macOS, web and Windows access, with a Starter plan at 59.00 EUR per month for up to 100 active members. OLM may fit a gym that prefers platform access at $0/month and accepts transaction fees, including 2% per membership invoice ($2 minimum). Gym Admin offers a free Starter plan for up to 50 active students with billing and attendance, and has Android, iOS, macOS and web support. Gymdesk is a paid option for gyms that want Android, iOS and web access; its plan for up to 50 members is 75.00 USD per month. Sport School Manager may suit a school looking for unlimited students, priority support and dedicated onboarding, with a 90-day free trial on its School Plan.

Verdict

Choose Spoteca if you run a music school that needs lesson scheduling, attendance, billing and student progress under one roof, especially if the indefinitely free 10-enrollment plan is enough to start. Look elsewhere if online card payments are essential or if you need guaranteed uninterrupted service; for a larger school, compare the per-enrollment Growth charge with the $100 monthly Scale price before committing.
