The best transcription software in 2026 depends on what you need to capture: Otter.ai, Fireflies and Fathom focus on meetings; TurboScribe and Notta suit long audio files; Rev offers human-checked transcripts; Descript is built around podcast and video editing; and Whisper keeps processing on your own computer. There is no single winner for every job. Compare the capture method, billing unit and recording limits before you choose—especially if you rely on a free plan.

Why do free transcription plans disappoint?
Check three separate limits before you upload or record: the monthly minutes pool, the maximum length of each recording, and the number of file imports. A large monthly allowance does not help if a single lecture exceeds the per-recording cap, and a generous meeting plan may not include much file transcription.

Notta Free includes 120 minutes per month. Fireflies Free offers unlimited transcription, but storage is limited to 400 minutes per team.
- Per-recording cap: Otter Basic stops a conversation at 30 minutes; Notta Free stops each recording at 3 minutes. Those caps make both free tiers poor choices for full-length meetings or interviews.
- Import allowance: Otter Basic allows just 3 lifetime file imports. A plan can be useful for recurring meetings and still be unsuitable for transcribing an archive.
These limits come from November 2026 comparisons of the vendors’ plans. For a short personal recording, the free transcription already built into some phones may be enough; for a regular workflow, compare the paid plan’s cap with the length and volume of your actual audio.

Which transcription software is best for each job?
The picks below are ranked by how well their stated features and pricing fit common transcription jobs, not by a single accuracy score. The same tool can be a strong fit for one audio source and an awkward or expensive one for another.
1. Otter.ai: Best for live meeting notes and lectures
Otter transcribes Zoom, Microsoft Teams and Google Meet meetings live, identifies speakers by name, and produces summaries with action items. It is a familiar option for English-first meeting notes, lectures and searchable conversation records. Its supported languages are English, Spanish, French, German, Japanese and Chinese.
Platforms and capture: It joins supported online meetings from the calendar and appears in the participant list. That makes the recording bot visible to other attendees, but it does not cover in-person room audio unless a microphone captures it.
Plans: Basic is free with 300 minutes per month, a 30-minute conversation cap and 3 lifetime file imports. Pro costs $16.99 per user/month on monthly billing or $8.33 per user/month billed annually; it includes 1,200 recording minutes, a 90-minute meeting cap and 10 file imports per month. Business is $30 per user/month on monthly billing and raises the conversation cap to 4 hours. Students and teachers with a .edu address receive 20% off Pro, as reported by Digital Tatva in 2026.
Limitations: Otter’s free import allowance is too small for a file archive, and Pro still ends a meeting at 90 minutes. Its six-language selection is narrower than tools aimed at multilingual transcription. Phone-store ratings are not an accuracy benchmark: 360 Reader reported 4.8 stars from 88,000 App Store ratings and 4.8 from 47,400 Google Play reviews in 2026.
2. Fireflies.ai: Best for searchable team calls and CRM handoff
Fireflies is designed to collect meetings and uploaded audio in one searchable account. Its meeting assistant can join Zoom, Meet and Teams, and its integrations connect call notes to other team workflows. iTechGuides described 100+ integrations and listed SOC 2, GDPR and HIPAA support in its 2026 comparison. Language counts vary by source: Albato lists 100+, while iTechGuides names 115.
Plans: Free includes unlimited transcription but only 400 minutes of storage per team and limited AI credits. Pro costs $18 per seat/month monthly or $10 per seat/month billed annually, and includes 8,000 storage minutes per seat, downloads and unlimited integrations. Business costs $29 per seat/month monthly or $19 per seat/month billed annually; it adds conversation intelligence and Multi-language Mode.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Limitations: Free transcription does not mean unlimited retained history: older calls can exceed the 400-minute team storage allowance. Paid storage and pricing are seat-based, so the cost scales with the team. For people who prefer not to add a bot to a call, The Data Scientist described Fireflies’ Take Notes mode as bot-free and said it does not save audio or video.
3. Notta: Best for interviews, lectures and translation
Notta combines meeting capture with file transcription and supports bot or bot-free capture, YouTube links, bilingual transcription and custom vocabulary on paid plans. Its 58 listed languages make it a useful fit when an interview or lecture may need translation, though its language count is lower than several multilingual alternatives.
Plans: Free provides 120 minutes monthly, 50 uploads and 10 AI summaries, but each recording is capped at 3 minutes. Pro costs $8.17/month billed annually ($97.99/year) for 1,800 minutes, a 5-hour recording cap and 100 uploads. Business costs $16.67 per seat/month billed annually ($199.99/year) and includes unlimited minutes. Minutes do not roll over. SaaSPic reported a 7-day Business trial and a 50% education discount in October 2026. Translation beyond a few free uses is paid separately: annual-billing prices listed by SaaSPic are $6/month for monolingual translation and $9/month for bilingual translation.
Limitations: The three-minute free recording cap makes the free plan a trial of the workflow, not a practical way to transcribe full meetings. Notta also sells the Notta Memo hardware recorder. SaaSPic reported that Notta lists SOC 2, ISO 27001, GDPR and HIPAA credentials; organizations should still assess whether a service’s specific data handling meets their own requirements.

- Marks on Various Surfaces: 3 colors solid construction pencil can marks on various surfaces, such as metal, plastic, wood, paper etc. Ideals for woodworkers, contractors, craftsmen, builders, merchants and masons
4. Rev: Best when a transcript will be quoted or filed
Rev offers both automated transcription and human transcription. Its human service is the clearest fit here for interviews, legal material or investigative audio where a transcript needs human review before someone quotes or files it. Rev advertises 99%+ accuracy for the human service; that is the vendor’s claim, not an AI accuracy score or a guarantee that every recording will be error-free.
Plans: The free option includes 45 AI minutes per month and English only. AI transcription on pay-per-use pricing starts at $0.25 per minute. Human transcription costs $1.99 per minute. Essentials costs $29.99 per seat/month or $25.49/month billed annually, with 5,000 AI minutes and English and Spanish. Pro costs $59.99/month or $47.99/month billed annually, with 10,000 minutes and 37+ languages. Legal-formatted transcripts are priced per page.
Limitations: Human review costs far more than automated transcription for recurring long recordings. Digital Tatva’s October 2026 example puts 20 hours a month at $2,388 at the listed human rate. Rev is difficult to justify if rough personal notes are all you need.
5. TurboScribe: Best for bulk transcription of long files
TurboScribe focuses on file uploads rather than live meetings. It supports 98+ transcription languages and translation or subtitles in 134+ languages, with DOCX, PDF, TXT, SRT and VTT exports. Each file can be up to 10 hours or 5 GB, and users can process 50 files at a time.
Platforms and plans: TurboScribe is web-only. Its free plan permits 3 files a day, each up to 30 minutes. Unlimited costs $20/month or $10/month billed annually ($120/year).
Limitations: There is no live meeting bot, and an Unlimited account is for one person. It is a strong fit for a personal podcast archive or lecture backlog, but not a team meeting system. Albato’s 2026 two-hour-file comparison found no extra charge for that file on Unlimited, while the same file used 120 of Notta Pro’s 1,800 monthly minutes.
6. Descript: Best for editing podcasts and YouTube videos by transcript
Descript treats the transcript as an editing surface: it is aimed at creators who want transcription as part of making or revising a podcast or video, not just a text file. It supports 25 languages. Business adds translation and dubbing.
Platforms and plans: Descript requires macOS 14 or Windows 11. Its free allowance is listed as 60 media minutes per month by 360 Reader and 1 media hour by Digital Tatva. Hobbyist costs $24/month or $16/month billed annually for 10 media hours. Creator costs $35/month or $24/month billed annually for 30 hours. Business costs $65/month or $50/month billed annually for 40 hours plus translation and dubbing.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Limitations: Its media-hour allowances are a different billing unit from a flat unlimited file plan. If you need a transcript but do not need to edit the episode, TurboScribe’s annual Unlimited price is lower than Descript’s entry paid plan.
7. Fathom: Best free alternative for meeting notes
Fathom, part of Superhuman, offers free meeting recording, transcripts and instant AI call summaries without a stated recording limit. It is a practical alternative when the main frustration with a free meeting tool is a short per-meeting cap.
Plans and capture: Free is described as free forever. Premium costs $20/month or $16/month billed annually. Fathom is meeting-focused.

8. Happy Scribe: Best for multilingual transcripts and subtitles
Happy Scribe has the broadest listed language coverage in Albato’s 2026 comparison: 150+ languages and dialects. It can suit creators or teams handling varied languages and subtitle work. Albato’s two-hour-file example shows how upload-minute billing matters: a single two-hour recording consumes all 120 upload minutes in the Basic free allowance.
Plans: Free includes 10 upload minutes, plus unlimited notetaker recordings up to 45 minutes. Basic costs $17/month or $8.50/month billed annually. Human proofreading starts at $2 per minute, and extra AI minutes cost $0.20 each.
Limitations: A small included upload allowance can be spent on one long recording. Human proofreading is a separate per-minute charge, so it is worth distinguishing it from automated transcription when budgeting.
9. Granola: Best for meeting notes without a visible bot
Granola captures audio from the device rather than adding an extra meeting participant. That can suit users who do not want another name in a call’s participant list. Free Basic keeps 30 days of history; Business costs $14 per user/month.
Free tools Windows power users keep installed
One-click scans. No signup required.
Limitations: The bot-free approach does not automatically notify guests that a meeting is being recorded. It is not a substitute for consent or an announcement; recording rules vary by jurisdiction. A limited history window also makes Free Basic a poor fit if notes must remain searchable for longer than 30 days.
10. HypeScribe: Best when the file, not its duration, drives the cost
HypeScribe charges one token per file regardless of length, which can be attractive for occasional long recordings. It supports 99+ languages. Free allows 3 files per month, each up to 1 hour; Starter costs $6.99/month for 30 files.
Limitations: The free file cap makes it unsuitable for multiple long lectures each month. A meeting bot is available only on Pro and Ultra plans, so the per-file model alone does not make it a meeting assistant.
11. OpenAI Whisper: Best when audio must stay on your own machine
Whisper is an open-source model family that can run locally, so the audio need not be uploaded to a transcription company’s server. Digital Tatva describes it as a privacy pick rather than a ready-made app.
Cost and platforms: The models are free to run, but processing speed depends on your hardware. The cost in this setup is your own computing capacity, not a consumer subscription.
Limitations: Whisper does not provide a polished team editor. Setup and workflow depend on how it is run, so it is better suited to users comfortable with local tools than someone who wants a meeting bot, shared call library and summaries in one service.

12. Plaud Note: Best for recording away from a desk
Plaud Note is a card-style AI recorder, model NB-100, built for in-person meetings and phone calls where a web meeting bot cannot hear the room or the handset. RecorderCompare lists dimensions of 85.6 × 54.1 × 3 mm, weight of 30 g, two microphones, 64 GB of on-device storage, up to 30 hours of recording per charge and 60-day standby. It works with iOS, Android and Web.
Plans and price: The lowest in-stock price recorded by RecorderCompare on October 29, 2026, was $159 at Plaud. The bundled Starter plan includes 300 transcription minutes per month. Pro is $17.99/month or $99.99/year for 1,200 minutes; Unlimited is $29.99/month or $239.99/year, with up to 24 hours a day. RecorderCompare estimates a two-year cost of about $358.98 at 20 hours a month, including the device and two years of annual Pro service. It lists Plaud Note Pro around $189 and NotePin S around $179. These are distinct products, not alternate names for the NB-100.

It states that audio is not kept in the cloud unless Cloud Sync is enabled; US accounts use AWS-West, with additional storage regions in EU Frankfurt, Japan and Singapore. Plaud states TLS 1.2+ in transit and AES-256 at rest, and lists GDPR, ISO 27001, ISO 27701, SOC 2 Type 2, HIPAA and EN 18031. It includes a 12-month warranty. These are vendor statements; buyers handling confidential recordings should assess the service configuration and applicable obligations. The companion app’s reported ratings were 4.9 on the App Store from 24,000 ratings and 4.6 on Google Play from 11,400 reviews, according to 360 Reader in 2026.
13. ElevenLabs Scribe: Best for mixed-language audio and timestamps
ElevenLabs Scribe supports 90+ languages, word-level timestamps, up to 32 speakers and files up to 10 hours. Its real-time transcription target is about 150 milliseconds, as reported by Digital Tatva; that is a stated target, not a cross-service benchmark. Digital Tatva highlights it as a candidate for mixed Indian-language audio and recommends checking a representative clip before committing.
Plans and limits: Scribe is included in ElevenLabs plans starting at $6/month for Starter and is also offered through an API. It suits workflows that benefit from multilingual handling or word timing; the available data does not establish a ready-made meeting-notes workflow comparable to meeting assistants.
How should you choose transcription software?
Start with where the sound comes from, then match the tool’s billing unit to the amount of audio you process. A live meeting assistant, a file converter and a physical recorder solve different capture problems.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- For Zoom, Meet or Teams: Choose a meeting-focused tool such as Otter, Fireflies or Fathom. Decide whether a visible participant bot is acceptable. Otter offers live transcripts and action-item summaries; Fireflies emphasizes searchable calls and integrations; Fathom is the free-first choice for meeting summaries.
- For long recordings or an archive: Compare file size, duration and upload limits before monthly minutes. TurboScribe is flat-rate for one user, while Notta charges against included minutes and HypeScribe charges by file. On a two-hour file, Albato’s November 2026 example shows the difference: 120 minutes from Notta Pro, the entire 120-minute Happy Scribe Basic upload allowance, $20 on Sonix pay-as-you-go, one HypeScribe token, or no additional cost on TurboScribe Unlimited.
- For a transcript you will quote: Consider Rev’s human service and budget by audio minute, not by seat. At $1.99 a minute, 20 hours per month totals $2,388 in Digital Tatva’s October 2026 example. Automated transcription costs less, but still requires proofreading.
- For podcasts and video editing: Descript is designed to edit through a transcript and bundles transcription with production features. If you only need to turn finished audio into text, a file-focused service may be less expensive.
- For multilingual work: Compare the languages actually needed, and whether translation is included or an add-on. Happy Scribe lists 150+ languages and dialects, Fireflies 100+ or 115 named languages depending on the source, TurboScribe 98+, Notta 58, and Otter six.
- For private local processing: Whisper can run on your machine. That avoids sending audio to a transcription service, but trades away a polished managed editor and depends on your hardware and setup.
- For in-person or phone audio: A meeting bot cannot capture a room or phone call unless its microphone can hear it. A dedicated recorder such as Plaud Note or a phone’s built-in recorder can capture the source directly.
- For sporadic use: Try the transcription feature already included in your phone before subscribing. Move to a paid tool when you need longer files, speaker labels, imports, team sharing, summaries or a searchable library.
Compare the billing unit, not just the headline price
Consumer plans use different units: minutes per user, storage minutes per team, media hours, files, a flat unlimited subscription, human dollars per audio minute or API dollars per minute/hour. A cheap monthly price can become poor value if a single recording exceeds the cap; a higher seat price may be worthwhile if the team actually uses integrations and shared search.
For developers who can build an API workflow rather than use a consumer app, Digital Tatva’s October 8, 2026, 20-hour example lists $3.00 for AssemblyAI Universal-2 at $0.15 per hour, about $5.16 for Deepgram Nova-3 at $0.0043 per minute, and $5.40 for OpenAI GPT-Transcribe at $0.0045 per minute. These are API costs, not turnkey app subscriptions, and exclude the work of building and maintaining an application. AssemblyAI Universal-3.5 Pro is listed at $0.21 per hour for 18 languages; Universal-2 at $0.15 per hour for 99 languages; Deepgram Nova-3 multilingual at $0.0052 per minute.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How accurate is AI transcription in real meetings?
Expect errors when people talk over one another, microphones are distant, room noise is high, accents differ from the training conditions, or the audio contains names and specialist terms. Vendor accuracy percentages usually refer to clean studio recordings, not a noisy call; Joy Sha of 360 Reader explicitly cautioned that real meeting conditions perform worse.
The most useful 2026 field comparison in the sources summarized here is Mursa’s May 2026 report: Murali scored three 60-second segments from transcripts against his own manual transcripts, drawn from 142 real meetings over 60 days. It is a named author’s field comparison, not a third-party lab benchmark, and it does not establish a universal winner.

Rev’s 99%+ figure is a vendor claim for its human transcription product and should not be compared directly with these AI field figures. Whatever tool you choose, proofread names, numbers and technical terms. A good microphone, less background noise, one person speaking at a time and custom vocabulary can matter more than switching brands.
Should you use your phone’s built-in transcription instead?
For a short personal recording, the built-in option may already meet the need. iPhone Voice Memos transcribes recordings and makes the text searchable. Recent Galaxy Voice Recorder can transcribe and summarize on-device; the 360 Reader author cited an S26 Ultra. Google Recorder gives Pixel owners live transcription. For composing text rather than capturing a conversation, dictation in Notes may be enough.
Paid apps are more useful when you need longer recordings, speaker labels, large-scale imports, team sharing, searchable meeting libraries or automated summaries. If a free phone feature handles the task, a monthly subscription adds little; if you need a work archive or recurring meeting workflow, compare the paid tool’s storage and export limits.

What should you check before recording a meeting?
Make recording visible and get consent before the conversation begins. Consent rules differ by jurisdiction, and some require every party to agree. Meeting bots can make recording frictionless, so announce it at the start of every call and follow your organization’s policy.
Also decide whether the recording needs to leave the device. Most consumer transcription apps upload audio to a server; check where files are stored, how long they remain, and whether they may be used to train models. Bot-free capture is not automatically more private, and it can omit the automatic notice that a visible meeting participant provides. For sensitive material, local Whisper processing is a different option, while managed tools may offer compliance features: Fireflies lists SOC 2, GDPR and HIPAA, Notta lists SOC 2, ISO 27001, GDPR and HIPAA, and Sonix lists SOC 2 and HIPAA. A vendor’s listed credentials do not by themselves determine whether its service is suitable for a particular recording.
How were these picks selected?
The ranking groups tools by the actual job they serve—live meetings, long files, human-reviewed transcripts, creator editing, local processing and in-person recording—rather than treating every product as interchangeable. The comparison weighs capture method, billing unit, language support, free-plan limits and relevant workflow features. Prices are US list prices before tax from the November 2026 comparisons cited in the relevant entries; the field figures are attributed to Mursa and are not presented as a standardized lab test.
Frequently Asked Questions
Can I transcribe audio to text for free without signing up for a subscription?
Yes. Start with iPhone Voice Memos, Google Recorder on Pixel, or recent Galaxy Voice Recorder for personal recordings. For files, free tiers from services such as TurboScribe or Rev have specific allowances; check whether the recording length and import count fit before uploading.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsIs a meeting transcription bot legally allowed to record everyone?
Recording requirements depend on where the participants are located, and some jurisdictions require consent from every party. Tell participants before recording and follow workplace rules; a bot joining automatically does not replace consent.
What is the cheapest way to transcribe 20 hours of audio a month?
For a developer-managed API workflow, Digital Tatva’s October 2026 example lists AssemblyAI Universal-2 at $3.00 for 20 hours, Deepgram Nova-3 at about $5.16 and OpenAI GPT-Transcribe at $5.40. Those are API usage prices, not turnkey software subscriptions, and do not include application development or maintenance.
Can transcription software identify who is speaking?
Several meeting tools identify speakers, but attribution can become unreliable when speakers overlap or the recording has many voices. Mursa’s May 2026 Otter comparison reported lower attribution with six or more speakers and overlap than with four or fewer speakers.
