Overview

Acta records Zoom, Google Meet and Microsoft Teams meetings either through a bot or, when a visible notetaker is undesirable, through its desktop app and Chrome extension. That combination covers conventional hosted meetings and situations where participants prefer recording to happen locally on a computer. The result is more adaptable than a bot-only service, although bot-free capture depends on using those desktop tools.

Its value goes beyond producing a transcript. Acta turns discussions into summaries and action items, then makes selected transcripts searchable through Ask Acta, which answers questions across multiple meetings. Teams can also apply templates that shape conversations into sales reports, interview scorecards, product requirements, tickets or clinical notes. Those outputs are particularly useful when meeting information must become a defined business artifact rather than a recap that someone still has to rewrite.

Key features

Capture and meeting intelligence

The bot works with Google Meet, Zoom and Microsoft Teams, while calendar connections help bring meetings into the workflow. Transcripts, summaries and action points provide the core record; Ask Acta adds a way to retrieve context from chosen meetings without manually reopening each recording.

Templates and integrations

Role-specific templates support distinct processes across sales, recruiting, product and clinical work. Acta lists integrations with Google Calendar, Microsoft Outlook, Gmail, Jira, Asana, ClickUp and Monday.com, in addition to the meeting platforms. This breadth is useful for teams that need notes to move into planning, task or customer workflows.

Privacy and administration

Acta says recordings and notes remain in the user's account and are shared only when the user shares them. It also says meeting data is encrypted in transit and at rest. Enterprise adds on-premise deployment, private storage, custom retention, SSO, APIs and white-label solutions, giving security-conscious organizations more control than the standard plans.

Pricing

Acta has no permanent free plan, but offers a 15-day trial. The trial costs 0.00 USD and includes unlimited recordings and transcriptions, 600 minutes of storage, and limited AI summarization and action points. The 600-minute allowance and restricted AI output make it suitable for evaluating the workflow, not for sustained high-volume use.

The Free listing is also Free with 600 minutes of storage and limited AI summaries and action points. It is a capped entry point rather than a full-featured operating tier. The Pro plan uses custom pricing, billed per seat per month, with monthly or annual billing. It includes unlimited transcription, AI summaries, storage and integrations, making it the practical tier for teams whose meeting volume would quickly exceed the free allowance. Because the seat price is not published, budget comparison requires a quote.

Enterprise also uses custom pricing and adds on-premise deployment, white-label solutions, APIs, SSO, private storage and custom data retention. It fits organizations with deployment, identity or governance requirements rather than small teams seeking the lowest cost. Users can change or cancel a plan from the dashboard at any time; Enterprise includes a dedicated account manager.

Platforms

Acta is available on Android, iOS, macOS and Windows, with web access, a Chrome extension, an API and a self-hosted option. The broad platform coverage supports mixed-device teams, while the API and self-hosting options are most relevant to organizations integrating or controlling their own deployment.

Who it's for

Acta is a strong fit for teams that hold frequent video meetings and need consistent downstream documents, especially sales, product, engineering, recruiting, finance and customer support groups. It is less suitable for an individual who only wants occasional transcription, since paid pricing is custom and the free allowance is limited. Organizations that prohibit meeting bots can use the desktop app or extension, but those wanting a purely mobile, bot-free workflow should look elsewhere.

Pros and cons

Pros

Two recording modes: bot capture for supported meeting services and computer-based recording when a notetaker should not join.
Actionable outputs: role-specific templates produce formats such as tickets, requirements and interview scorecards instead of only generic summaries.
Cross-meeting retrieval: Ask Acta can answer questions across selected transcripts.
Enterprise governance: on-premise deployment, SSO, private storage, APIs and custom retention support stricter environments.
Broad workflow connectivity: calendar, email, project-management and meeting integrations reduce switching between systems.

Cons

Custom paid pricing: Pro and Enterprise costs are not published, so buyers cannot assess spend without contacting Acta.
Limited entry allowance: the 600-minute storage cap and restricted AI summaries and action points limit the free and trial tiers.
No permanent free plan: continued use requires a paid subscription after the 15-day trial.
Bot-free capture is device-bound: recording without a notetaker requires the desktop app or Chrome extension.

Alternatives

Choose Circleback if a freemium service with online and in-person meeting notes, action items and limited automations is more important than Acta's role templates and enterprise deployment. Fellow suits teams starting with a free tier that provides five AI notes per user for life. Grain is a better fit when a free notetaker seat and defined meeting-length limits are acceptable. OLVA is an alternative for users seeking a paid meeting assistant with a free trial. MeetGeek fits buyers wanting a free-forever allowance of three transcription hours per month. Notta offers a free tier with one seat and 120 transcription minutes per month. VOMO is worth considering for a low-cost paid option with free signup minutes and mobile, desktop and web apps. Mem Agent is another freemium alternative.

Verdict

Acta is a compelling choice for teams that need meeting capture to become searchable, role-specific work and that value bot-free recording options plus enterprise controls. Its main reason to look elsewhere is commercial uncertainty: the free allowance is limited, and both paid tiers require custom pricing. Choose Acta when those outputs, integrations and governance features matter more than a transparent low-cost plan.
