Overview

Rentman brings business information, task management, team collaboration, and rental workflows together. Teams can plan equipment, schedule crew, prepare quotes, and manage projects; crew members can use the mobile app to respond to job invitations and access job information. That joined-up scope is a stronger fit for production operations than a tool focused only on inventory or booking.

Rentman is available on Android, iOS, and the web, with an API. The maker says its customer databases and connections are encrypted and describes redundant hosting across two data centers, automatic switching, and an uptime above 99.995% over the past four years. Daily recovery within the last half year and additional nightly backups at a local third site provide a stated recovery approach. Support is included, with the team aiming to answer most questions within an hour and all questions within a day.

Key features

Equipment planning and tracking

Teams can check availability, book equipment, arrange subrentals, and view costs. QR and barcode scanning supports equipment location tracking, while tracking features include check-in and checkout, warehouse operations, and serialised inventory. These tools address the practical problem of knowing what can be booked and where it is; multiple storage locations and more advanced inventory features add separate charges.

Crew scheduling

Drag-and-drop schedules and shifts matched to availability, training, and cost give planners useful criteria for filling jobs. Crew members can accept or decline invitations, record availability and hours worked, and access notes and files in the mobile app. The app extends project information to crew, though the scheduling capabilities require paid power users.

Quotes and project workflows

Rentman can create estimates, proposals, and branded quotes, collect digital signatures for quotes and contracts, and support online payments and invoicing through its quoting module. Online booking and return tracking are also supported. The range connects planning with commercial and return workflows, but teams should account for quoting as an add-on rather than assume it comes with the Platform fee.

Pricing

Rentman offers a 30-day trial and a free plan, and its pricing note starts at €39/mo. Basic users are free, but power users plan equipment, schedule crew, create financial documents, and are needed to create or edit projects and schedule equipment or crew. The practical cost therefore depends on both the Platform subscription and the power users and modules a team needs.

Rentman Platform: 39.00 EUR per month, billed monthly; yearly payment saves 8%. It includes CRM and communication, task management, team collaboration, dashboards and calendars, file sharing, mobile app, and API. This is the collaboration and workflow base, not a substitute for all paid operational modules.
Inventory Standard: 14.00 EUR per month per Power User for equipment availability, project scheduling, and standard inventory features. Inventory Pro: 19.00 EUR per month per Power User for the same core areas with Pro inventory features.
Crew Essential: 14.00 EUR per month per Power User; Crew Standard: 19.00 EUR per month per Power User; Crew Pro: 24.00 EUR per month per Power User. Each covers crew scheduling, availability, and worked-hours tracking.
Crew Enterprise: custom pricing, with an integrated freelancer marketplace, work-permit and hour tracking, and travel, catering, and accommodation features. It is aimed at operations needing those broader crew arrangements.
Quoting & Invoicing: 9.00 EUR per month per Power User for estimates and proposals, quotes, e-signature approvals, online payments, invoicing, and reports.
History Logs: 12.00 EUR per month per Power User for change logs covering warehouse, equipment, projects, contacts, and crew members.
Equipment Tracking: 9.00 EUR per month per Power User for check-in and checkout, QR and barcode scanning, warehouse operations, and serialised inventory.
Additional Warehouse: 5.00 EUR per month, billed monthly, for multiple storage locations, equipment allocation across warehouses, and warehouse availability and stock management.

The lower-priced modules let teams pay for specific functions, but separate per-power-user fees can add up when several roles need to plan projects. Basic users being free helps with broader collaboration; it does not remove the power-user requirement for core project and scheduling work.

Platforms

Rentman supports Android, iOS, web, and API access. Its mobile app is particularly relevant for crew members who need invitations, availability and hours reporting, notes, and files while away from the planning desk.

Who it's for

Rentman is best suited to event rental and AV professionals coordinating equipment and crews across projects. A smaller operation can benefit if it needs connected rental and production workflows; a team needing only a narrow inventory function may find the modular setup more than it needs. Large production companies can consider the Enterprise crew features where freelancer marketplace and travel or accommodation coordination matter.

Pros and cons

Pro: Equipment planning, crew scheduling, quoting, and mobile crew access sit in one platform, which can reduce workflow separation for event-production teams.
Pro: QR and barcode scanning, check-in and checkout, and multi-warehouse options address equipment-location and stock coordination directly.
Pro: Basic users are free, and support is included without extra fees.
Con: The Platform subscription does not cover all operational capabilities; inventory, crew, quoting, and tracking modules carry separate charges.
Con: Power users are required for project creation and editing and for equipment or crew scheduling, so the free basic-user allowance does not make core planning free.

Alternatives

Teams comparing rental and production tools can also browse Event Rental Software, Equipment Scheduling Software, and Inventory Management Software.

HiveSuite is a paid alternative with a free trial and a Solo plan at 34.99 GBP per month, billed monthly, including VAT, for one admin and two crew with all features; consider it if that stated small-team package fits better.
Rentificial has a free-forever plan at no cost for 10 assets and one user, with no free trial; it may suit a very small operation prioritizing a free starting tier.
Current RMS is a paid option with a free trial and a First User plan at 79.00 USD per month; it is worth comparing if its per-user pricing structure suits your team.
LayCor offers a free trial and a Starter plan at 49.00 USD per month with unlimited users and unlimited bookings and jobs; consider it when those stated limits are a priority.
Goodshuffle Pro is web-based, paid, and offers a Lite plan at 39.00 USD per month with unlimited projects, quotes, contracts, and inventory items for one account owner; it is an option for teams whose needs fit that package.
RentKit offers paid plans including a Time Only option at 4.00 USD per month per user for time tracking only; it may fit a narrower time-tracking requirement.
TapGoods offers a Launch plan at 19.00 USD per month with one minimum full user, up to 30 items, and unlimited orders; consider it if that item cap and order allowance suit the operation.
Alert Rental Software is another paid rental software option.

Verdict

Choose Rentman if your event-rental or AV operation needs equipment, crew, and commercial workflows connected, with mobile access for crew. Its strongest case is that breadth; its main drawback is the layered pricing, especially when multiple power users need several modules. Teams needing only one narrow function, or seeking a simple all-in entry price, should compare alternatives before committing.
