Overview

Appspace Signage is workplace software for getting announcements and branded visuals onto displays across offices, campuses, and remote sites. It suits communications teams and IT staff coordinating screens across locations. Its strongest case is centralized publishing and device management; the free plan is best treated as a small-scale starting point, not a rollout budget.

Key features

Customizable templates cover news, dashboards, and live data, while AI can turn a written brief into an on-brand signage card. That gives teams more than one route to preparing screen content, though the core value is in how content is delivered and managed. Scheduling by time and location supports targeted messages such as welcome notices, safety tips, and after-hours alerts.

One console can publish to signage, intranet, chat apps, and mobile, a useful advantage when the same announcement needs to reach employees away from displays. Named integrations and content sources include Outlook, Google Workspace, Salesforce, Power BI, Zoom, YouTube, Vbrick, MediaStar, and Haivision.

The dashboard shows display connection status and can push software updates remotely, which is valuable when screens are spread across sites. Appspace says offline playback keeps content running if the network drops. Video walls support configurable layouts across multiple screens and are managed alongside standard signage in the same console.

Security controls include SOC 2 Type II, ISO 27001, GDPR, SSO/SAML, and role-based access. Customer data is encrypted with TLS 1.2 or higher in transit and AES256 at rest, and backups occur at least every four hours. Base support includes Appspace-managed cloud infrastructure, the latest software releases, online documentation, and video tutorials.

Pricing

Appspace uses a freemium model. Its Free plan is free and includes one compatible device, two Premium Users, up to two Admins, 5GB of storage, and 5GB/month bandwidth. Employee news and SSO support are included, making it a useful way for a small team to try signage and related employee communications without a subscription.

The limits matter quickly in a real deployment: one device is a narrow test, and the two-user cap leaves little room for a broader content or administration team. Free users cannot buy additional device IDs, storage, or bandwidth, so there is no paid capacity top-up within the free plan. Organizations that need more than one screen or the included resource allowances should not treat it as a scalable tier.

Platforms

Appspace lists Android, iOS, Linux, macOS, web, and Windows among its platforms. Its kiosk-supported device list also names BrightSign, Cisco Webex Board, Chrome OS, LG WebOS, Linux Ubuntu, MediaVue, Samsung SSP 6 (Tizen 4), and Windows 10/UWP. This is a broad mix for organizations with varied display hardware, but buyers should match their specific devices to the supported list before planning a rollout.

Who it's for

Appspace Signage is a good fit for organizations that need to coordinate workplace screens across multiple sites, schedule messages by location, and keep display status visible from one dashboard. Its ability to publish beyond signage and its video-wall support strengthen the case for teams managing several employee channels or complex display layouts. It is less suitable for teams needing to scale device count or storage on a free plan, since its caps cannot be expanded there.

Pros and cons

Pros: Central publishing reaches signage, intranet, chat apps, and mobile, helping teams distribute the same communications across channels.
Pros: Remote connection monitoring, software updates, and offline playback address practical needs of displays deployed across sites.
Pros: Configurable video-wall layouts share a console with standard signage, avoiding a separate management workflow for those screens.
Cons: The Free plan supports only one compatible device, two Premium Users, and 5GB/month bandwidth, limiting its usefulness beyond a small pilot.
Cons: Free users cannot add device IDs, storage, or bandwidth, so growing a deployment requires moving beyond that plan.

Alternatives

For readers comparing employee communication and intranet products, Employee Intranet Software is a useful starting point. HumHub is a freemium alternative with a self-hosted Community Edition under an AGPLv3 open-source license and access to a Module Marketplace; choose it if self-hosting and community support suit the project better than a signage-focused service. MangoApps is a paid option with a free trial and a Communications & Intranet plan at 9.00 USD per month, billed from 200 employees; it is worth considering when an intranet-first product and that employee-based pricing model fit the organization.

Axero, Blink, Jalios Intranet, eXo Platform, KenCube Social Intranet, and MyHub Intranet are additional alternatives to compare.

Verdict

Choose Appspace Signage if your organization needs centrally managed workplace displays, scheduled content, and the option to publish communications through other employee channels. Remote device management, offline playback, and shared video-wall control make it a strong fit for distributed screen estates. Look elsewhere if the one-device free tier is not enough and you need a clear paid expansion path from a small starting plan.
