Overview

Appspace Workplace is a workplace communications platform for organizations that need to reach employees across apps, collaboration tools, intranet pages, and screens. It suits teams coordinating desk-based and on-site staff, especially those that also want signage and workplace services in the same environment. Its breadth is a strength, but the free tier is a small pilot rather than a workforce-wide solution.

Appspace grew from digital signage into an offering that also spans visitor management, space reservation, an Employee App, and an intranet. The intranet combines project files, announcements, and company conversation; the Employee App carries company messages to employees and can connect them with space reservation and visitor management. Buyers focused solely on internal messaging may find this broader scope unnecessary.

Key features

Publishing and audience control

Teams can publish through the Employee App, Slack, Webex, Microsoft Teams, email, digital signage, and the company intranet. Audience targeting and content approvals give communications teams ways to direct and govern messages, while customizable templates help keep content aligned with brand guidelines across channels. That combination is useful when communications need to reach different employee groups and workplace surfaces; organizations using only one channel may not need the extra publishing breadth.

Intranet, app, and signage

The intranet provides a home for files, announcements, and company chatter. The mobile Employee App extends access beyond a desk and can act as an entry point to space reservation and visitor management. Signage supports conference rooms, meeting areas, public spaces, and connected display walls, making Appspace relevant to workplaces where physical screens matter as much as digital channels.

Integrations and security

Named connections include Slack, Microsoft Teams, Webex, Office 365, Atlassian, WordPress, SharePoint, Outlook, Okta, and Google Search. Appspace can also bring in dynamic information from RSS and XML sources and retrieve content from intranets, wikis, and collaboration products through APIs. For organizations with established systems, these connections can reduce the need to treat workplace communications as a separate destination.

Appspace states that customer data is encrypted with TLS 1.2 or higher in transit and AES256 at rest. Its trust credentials include SOC 3 Type II, ISO 27001, ISO 27017, and Cloud Security Alliance credentials. Platform database and content backups occur at least every four hours and are retained for at least three months. Base support covers managed cloud infrastructure, current releases, online documentation, and video tutorials; higher tiers add chat or phone support and stated response times.

Pricing

Appspace uses a freemium model. The Free plan costs 0.00 USD per free and includes 2 Premium Users, 1 Appspace Device ID, 5GB storage per month, 5GB bandwidth per month, and 2 Admins. Those caps make it suitable for evaluating a small setup, but a single device and two premium users will not cover a typical organization.

Express and Enterprise have custom pricing, with month-to-month or annual terms. Express includes 25 Premium Users, 25 Appspace Device IDs, 25GB storage per month, and 25GB bandwidth per month. It is the more constrained paid option for a smaller deployment, while Enterprise raises capacity to 50 Premium Users, 50+ device IDs, 50GB+ storage per month, and 50GB+ bandwidth per month for organizations with greater reach. Both paid plans allow monthly or annual terms, but the available capacity and term choices are not accompanied by a public price.

A separate Growing Business bundle offers a 30-day free trial for up to 500 intranet users and 25 signage screens, with no credit card required. This is a larger stated trial scope than the Free account, but it is time-limited and should not be confused with the ongoing free plan.

Platforms

Appspace supports Android, iOS, web, and Windows, as well as an API. Its mobile app and broad channel mix make it a fit for organizations whose employees do not all work at a computer, while the API supports connections to other workplace content sources.

Who it's for

Appspace is a strong fit for communications and workplace teams that need to coordinate employee messages across collaboration tools, intranet content, mobile access, and physical signage. Its additional links to space reservation and visitor management make it more compelling for organizations managing shared offices and on-site operations. A small business looking for a low-cost, broadly deployed communications service should weigh the Free tier's tight user and device limits and the custom pricing of larger plans.

Pros and cons

Pros: Messages can span employee apps, major collaboration tools, email, intranet, and signage, which helps organizations reach staff across digital and physical workplaces.
Pros: Audience targeting, approvals, and customizable templates support controlled, brand-consistent publishing across channels.
Pros: The free account and no-card 30-day bundle provide two distinct ways to evaluate the product, with the trial bundle reaching up to 500 intranet users and 25 signage screens.
Cons: The ongoing free plan is capped at two Premium Users and one device, limiting its usefulness beyond a very small pilot.
Cons: Express and Enterprise have custom pricing, so teams cannot compare their costs from the plan figures alone.
Cons: Organizations that only need employee messaging may be paying for or managing a broader workplace toolkit than they require.

Alternatives

HubEngage is worth considering when a free entry point for up to 200 users is more important: its Starter plan is 0.00 USD per free and includes communications, social, recognitions, surveys, and instant messaging. Netpresenter is another option for buyers willing to compare a paid platform with a 14-day free trial. Blink may suit teams seeking a paid employee app with internal communications, real-time collaboration, and a knowledge hub; its Core plan is 4.50 USD per month, billed per user per month.

Cerkl Broadcast offers a free Foundations plan with 5,000 email sends per month, three communicator seats, and one instance, so it is a narrower alternative when email volume and seat costs are the immediate concern. DeskAlerts is another option to compare for workplace alerts. Talkfreely gives buyers a 60-day free trial with no user or feature limit stated, which may help teams wanting a trial without a free ongoing plan. OurPeople is an alternative to assess for text-based employee communications. For signage-focused buying, Poppulo Digital Signage offers pricing tailored to network size, support, services, and hardware.

Verdict

Choose Appspace Workplace if your organization needs a coordinated publishing setup that connects employee communications with intranet content, mobile access, and digital signage, especially alongside space reservation or visitor management. Its channel coverage and controls are the main reasons to choose it; the small free allowance and custom-priced growth plans are the main reasons to look elsewhere if price transparency or broad free access matters more.
