Overview

Listings, applications, leases, payments, maintenance, renewals, and reporting use shared property records. That gives teams a common operating picture across the tenancy lifecycle, rather than a contact database focused mainly on prospects. The trade-off is a system whose cost and scope make most sense when several of its workflows are in regular use.

Ayillo also offers migration by file upload, with a preview of mapped data before an account is created, and lets users export their data back out. That provides a way to inspect a migration before committing to a workspace.

Key features

Leasing and payments

Applications, screening, lease generation, e-signatures, and renewals cover the path from applicant to continuing resident. Rent collection adds autopay, recurring charges, late fees, ledgers, and payouts. Keeping these activities against the same property records can help managers follow a lease into its payment history; teams seeking only lead tracking may not need the wider operational system.

Maintenance and portfolio tools

Work-order routing, service-level agreements, spending approvals, and vendor invoices give maintenance a defined process alongside leasing and payments. Portfolio reporting extends that shared view to owners and investors in the Growth plan, while Ayillo AI answers portfolio questions using live property data. The assistant may help users query current operations, but its role is specifically portfolio questions.

Integrations and communications

Ayillo describes ecosystem integrations for multi-entity operators and gate-access integrations for self-storage facilities. Lead capture, a leasing pipeline, applicant messaging, contact history, and SMS messaging support prospect and applicant communication. These features broaden its fit across property workflows, while the described integration use cases point most clearly to multi-entity and self-storage operations.

Pricing

Ayillo is paid software with no free plan. Core workspace starts at 49.00 USD per month, billed $49/mo, and includes the first 5 units. It covers property, unit, and resident records; document and photo storage; a resident portal and maintenance-request intake; and team accounts with role permissions. Additional units start at $0.90/unit. This is the entry point for smaller operations that need the shared workspace and resident intake, but not the larger bundles' leasing, rent collection, or vendor-dispatch tools.

The larger bundles are priced at 100 units and include Core workspace + 5 units:

Operate plan: 431.00 USD per month, billed $431/mo at 100 units, with 10% off module subtotal. Adds leasing and e-signature, rent collection and ledger, and maintenance and vendor dispatch. It suits operators who need the main tenancy workflows in one package.
Growth plan: 541.00 USD per month, billed $541/mo at 100 units, with 15% off module subtotal. Adds listings and syndication, portfolio insights and owner reporting, property websites, and an owner and investor portal to Operate. It is the broader fit for managers who report to owners or investors.
Complete plan: 565.00 USD per month, billed $565/mo at 100 units, with 20% off module subtotal. Includes the Operate features plus listings and syndication, portfolio insights and owner reporting, employees, payroll and HR, and commissions and agent CRM. It is aimed at teams that also need staff administration or brokerage workflows.

There are no setup fees, per-seat charges, or lease-signing fees. Additional units and optional modules are billed separately, so the bundle price is not necessarily the full cost for a larger portfolio or a team adding capabilities beyond its package. Payment-processing charges vary by method, currency, and country; the applicable amount is shown before submission.

New professional workspaces get a 30-day trial, with a payment card required and a temporary authorization of approximately $1. That gives prospective customers a month to evaluate a workspace, but requires a card at signup.

Platforms

Ayillo is available on Android, iOS, and the web, covering mobile access as well as browser-based use.

Who it's for

Ayillo says it serves property managers, owners and investors, commercial managers, brokerages, HOAs, and community managers. Its connected leasing, payment, maintenance, and reporting functions are most compelling for organizations coordinating several of those responsibilities. A smaller operator needing only basic records may be better served by Core workspace; a team seeking a narrow CRM should weigh whether the operational breadth justifies the higher bundle costs.

Pros and cons

Pro: Shared records connect listings, applications, leases, payments, maintenance, renewals, and reporting, reducing fragmentation across property workflows.
Pro: The 30-day trial and migration preview let teams assess a workspace and mapped data before making a longer-term commitment.
Pro: No per-seat or lease-signing fees can make team access and signing costs easier to plan.
Con: There is no free plan, and the 100-unit bundles start at $431/mo, which may be too much for teams needing only contact or leasing-pipeline tools.
Con: Unit additions, optional modules, and payment processing can add costs beyond the headline bundle price.

RealEstateCRM España is another paid option with a free trial.

Verdict

Ayillo is a strong fit for property operators who want leasing, rent collection, maintenance, and portfolio reporting connected in one workspace. Choose it when that connected operating scope can replace separate workflows; look elsewhere if you need only a lightweight CRM or the 100-unit bundle and add-on costs do not match your operation.
