Overview

BoardKite is a browser-based workspace for nonprofit board governance, with meeting preparation, records and follow-up handled together. It is strongest for small organizations that want trustees and volunteers to work from one shared process. The free tier offers a way to start, but the member allowance and organization-wide storage cap are important constraints.

Key features

Agendas, board packs, minutes, votes, decisions and action tracking sit within one meeting workflow, with unresolved actions carried into the next cycle. That continuity is more useful than a collection of isolated meeting notes for boards that need to keep commitments visible. OKRs and committee management broaden its scope beyond meetings.

BoardKite AI can propose agendas, summarize board packs and draft minutes from transcript context, as well as carry unresolved actions forward. Organizations can configure the AI provider, and transcription is opt-in for each meeting. Manual VTT, SRT or plain-text transcript uploads provide an alternative to meeting transcription. These controls give organizations choices about how AI and transcripts are used, though boards should decide their own policies before enabling them.

Google Calendar is optional and scoped to the organization; it supports events and Google Meet links scheduled in BoardKite, without accessing Gmail or Drive. Named integrations include Google Meet, Zoom, Webex, Microsoft Teams, Anthropic, Ollama, OpenAI, Azure OpenAI, vLLM and Recall.ai. Slack and email alerts are confined to Pro and Enterprise.

Sensitive fields are encrypted at rest with a per-organization key, and traffic is encrypted in transit using TLS. BoardKite can provide a SOC 2 report, DPA, penetration-test summaries and a subprocessor list within one business day after a security request. That is useful support for a nonprofit’s due diligence, but it is not a substitute for reviewing the materials against its own requirements.

The browser-based service works on iPad, sends secure links by email and requires no director installation. Storage is shared at the organization level, uploads are capped at 250 MB per file, and uploads stop when the quota is reached. Those limits matter for organizations with extensive board archives or large files.

Pricing

BoardKite uses a freemium model, with paid plans billed monthly. The pricing page also offers beta access; free testing access currently maps to the BETA subscription mode in the app.

Free: Free for 3 users. It is a sensible starting point for a very small board, but the three-user allowance makes it unsuitable for a larger group.
Core: 39.00 EUR per month, billed per month, for up to 10 members. It includes basic search, meetings, AI agenda planning, minutes, decisions, action tracking and OKRs. This is the practical entry point for a small board that needs the full meeting workflow; it lacks the larger member allowance and global search of Pro.
Pro: 99.00 EUR per month, billed per month, for 25 members. Global search, Slack and email alert integrations, and an audit log make it a better fit for larger boards or organizations needing broader oversight.
Enterprise: 299.00 EUR per month, billed per month, with unlimited members, advanced permissions, signature workflows, API access, SSO and priority support. It suits organizations that need those administrative and integration controls; the data room is identified as a future feature, not a current inclusion.

The Free plan is described as free for 3 users, while the separate Free tier is free and described as basics for 3 users. Check which free access applies before settling on it. Since storage is measured per organization and new uploads stop at quota, confirm the storage allowance that applies to a chosen plan.

Platforms

BoardKite runs on the web and works well on iPad. Directors can follow secure email links without installing an app, which keeps access straightforward for volunteers who do not want another device-specific tool.

Who it's for

BoardKite is aimed at nonprofits coordinating trustees, volunteers and sensitive governance records. Small boards can start with the free tier or Core; organizations with more than 10 members need Pro or Enterprise, and those requiring unlimited membership or SSO will need Enterprise. Groups with substantial archives should weigh the organization-level storage cap before migrating records.

Pros and cons

Pro: Meeting preparation, records, decisions and follow-up share one workflow, helping boards carry actions between cycles.
Pro: Opt-in transcription, configurable AI providers and manual transcript uploads give organizations meaningful choices over AI use.
Pro: Encryption in transit and at rest, plus prompt access to security documentation, supports nonprofit governance review.
Con: The free allowance covers only 3 users, and Core tops out at 10 members, so growing boards must move to a higher-priced plan.
Con: Uploads stop when the organization’s storage quota is reached, which can interrupt record-keeping until space is available.
Con: Slack and email alerts, global search and audit logs require Pro, while SSO and advanced permissions require Enterprise.

Verdict

Choose BoardKite if your nonprofit wants a connected board-meeting workflow, configurable AI and browser access for directors without app installation. Its main advantage is keeping preparation, decisions and follow-up together; its main caveat is that member and storage limits can make the apparent low-cost start a poor fit for larger or document-heavy organizations.
