Overview

Bid Responder combines vendor proposal work with procurement workflows, making it a fit for organizations that need to answer RFPs and run them. Its broad coverage is the draw; teams should weigh the monthly answer quotas and team caps against their workload.

Key features

For proposal teams, AI drafts answers from company knowledge, past proposals and an approved Q&A library, with confidence scores and source citations. Upload documents or index URLs to build a searchable knowledge base, and use Smart Import for Excel, PDF, Word, URLs or pasted content. Reusable answers can reduce repeated drafting, though the value of the AI depends on the quality of the material the team has organized.

Procurement teams can publish RFPs, invite vendors, manage questions and answers, receive sealed bids, score submissions against weighted criteria and award contracts. That end-to-end issuer workflow is a meaningful distinction for organizations that handle both sides of the process. The NEVI/FHWA checker evaluates submissions against 10 federal EV charging infrastructure requirements; it is specifically useful for that compliance context, not a general-purpose regulatory checker.

Exports to Excel, Word, PDF and CSV make it easier to carry results into other workflows. Compliance tracking and approval workflows are also supported. The REST API and real-time webhooks cover vendor and issuer workflows, with Slack named as a webhook destination. API keys are SHA-256 hashed before storage, shown once when created and revocable from the dashboard.

Pricing

Starter costs 29.00 USD per month and includes 3 team members, 10 projects per month, 250 AI answers per month, a knowledge base and all export formats. It is the entry point for a small team with modest volume, but the project and answer caps can constrain frequent RFP work. Starter uploads are limited to PDF and DOCX.

Professional costs 99.00 USD per month for 10 team members, unlimited projects, 1,000 AI answers per month, a full knowledge base, all export formats and priority support. It suits teams with steady workloads that would outgrow Starter's project allowance; the answer quota remains finite. It also adds XLSX, PPTX, TXT and CSV uploads.

Enterprise has custom pricing, unlimited team members and unlimited everything, with dedicated support and an option for on-premise deployment. It is the tier to consider when team size or usage exceeds Professional's limits, or deployment requirements call for on-premise hosting.

The free plan costs 0.00 USD per free and includes full API access, but does not state a team, project or AI-answer allowance. Bid Responder also offers a 14-day trial. Data is encrypted at rest and in transit, and the product carries SOC 2 certification. After cancellation, data remains accessible read-only for 30 days for export, then is permanently deleted.

Platforms

Bid Responder supports web, API and self-hosted deployments. The combination gives teams both a browser-based route and options for integration or self-hosting; Enterprise customers can also opt for on-premise deployment.

Who it's for

Bid Responder is best suited to organizations with both proposal responders and procurement staff, or to teams that need a more structured workflow for one side of the RFP process. Small teams can start on Starter, while higher-volume groups have room to expand. It is less compelling for a vendor team that needs more than 250 AI answers a month but does not need the issuer workflow or broader team capacity of Professional.

Pros and cons

Pro: Covers proposal drafting and procurement evaluation in one product, useful when the same organization handles both workflows.
Pro: Draft answers can draw on indexed company material and approved Q&A, with confidence scores and citations to help users review them.
Pro: Weighted scoring, sealed bids and the EV-specific checker give procurement teams practical evaluation tools.
Con: Starter's 10-project and 250-answer monthly caps may be restrictive for active response teams.
Con: Starter accepts only PDF and DOCX uploads, so teams working with spreadsheets or presentations need a higher tier.

Alternatives

Presel is worth considering for teams that want to explore a Pro workspace for seven days without a credit card before returning to its free toolkit.

RFPropel may suit vendor teams focused on response drafting and CRM integration: its Pro plan is 19.99 USD per month and includes 10,000 credits, an unlimited answer library and active RFPs, AI drafts and win-rate analytics.

Tender Mole is another paid web option with a free trial.

BidGenie may fit teams that want to begin with a one-time 60-credit trial for up to three RFPs per month and one team member; its trial includes question extraction and community support.

RFP.ai is a web and API option with a browser extension; its Starter plan costs 49.00 EUR per month and includes five users, unlimited projects, 1M tokens and 1K pages per month.

RFPilot is an alternative at 29.00 USD per month for a Starter plan with 25 RFP projects, 500 AI responses, 100 knowledge-base entries and one team member.

BidPlan is another paid web option. Tendor Workspace offers a custom package scoped to tender workflow, team setup and rollout needs.

Verdict

Choose Bid Responder if your organization needs one platform for vendor responses and procurement review, especially if weighted evaluation, reusable knowledge and exports matter to both sides. Look elsewhere if your response volume would quickly exceed Starter's answer cap and Professional's 1,000-answer allowance, or if you need a narrower vendor tool without the cost of broader procurement capabilities.
