Overview

Canva says teams can create as many boards as they need, with unlimited space on each. That gives long-running projects room to grow without a board-count or canvas-size cap; account storage still depends on the plan. Real-time cursors and guest participation without a Canva account make it easier to bring clients, students, or other occasional collaborators into a session.

The range of uses includes workshops, brainstorming, strategic planning, project planning, mind mapping, diagramming, collaborative assignments, and online teaching. Presentation mode and voting tools support facilitated sessions, while the ability to turn a board into a Presentation or Doc—and expand a Presentation slide into a board—helps teams carry ideas into another format.

Key features

Timers, comments, sticky notes with reactions, customizable shapes, and automatic connectors cover both free-form discussion and structured diagramming. Templates and Canva’s content library provide visual starting points. This breadth suits groups mixing planning with presentation work; teams focused solely on technical diagrams may prefer a dedicated diagramming product.

Canva lists Slack, Asana, Microsoft Teams, Salesforce, and Google Workspace among its connected tools. Its security page describes TLS/SSL protection in transit and AES256 encryption at rest, and lists ISO 27001, AICPA SOC 2, AICPA SOC 3, PCI DSS, and Data Privacy Framework certifications. Designs are private by default, but accessing a private design requires an account unless it is shared. That account requirement matters for organizations inviting guests to work with private material.

Pricing

Canva uses a freemium model and offers a free plan and free trial. Canva Free has no listed price and is billed annually for one person. It includes 1,000+ design types, 1.6M+ templates, 4.7M+ photos, videos, graphics, and audio, and 5GB of cloud storage. It is the natural starting point for individuals or teams assessing the whiteboard workflow, though the storage allowance is modest beside the paid tiers.

Canva Pro costs 144.00 USD per year, billed per year for one person. It includes 3.6M+ templates, 141M+ premium photos, videos, graphics, and audio, 5 Brand Kits, and 100GB of cloud storage. It fits an individual who also needs Canva’s larger asset library, brand tools, and storage; the price is harder to justify for whiteboarding alone.

Canva Business costs 250.00 USD per year, billed per year per person. It adds collaboration and team admin tools, 100 Brand Kits and approvals, and 500GB of cloud storage. Teams that need those controls and shared brand workflows are the clearest audience. Canva Enterprise is an organization plan with custom pricing through Canva’s sales team.

Platforms

Canva Whiteboards is available on Android, iOS, macOS, web, and Windows. The Help Center provides product and account guidance.

Who it's for

Choose Canva Whiteboards for workshops, classes, or planning sessions where a flexible canvas, guest participation, and a route into Canva Presentations or Docs are useful. It is less compelling for someone seeking a paid whiteboard plan alone: Pro and Business bundle broader Canva assets, storage, branding, and team features, and private designs can add account friction for guests.

Pros and cons

Pros: Unlimited boards and canvas space give projects room to expand.
Pros: Real-time guest collaboration supports sessions with people outside the Canva account base.
Pros: Timers, reactions, connectors, templates, voting, and format conversion support both facilitation and follow-through.
Cons: Private designs require account login unless shared, which can complicate guest access.
Cons: Paid plans are priced per person per year and include broader Canva capabilities, so they may be excessive for teams wanting only a whiteboard.
Cons: The free plan’s 5GB storage is far below Pro’s 100GB and Business’s 500GB.

Alternatives

For tighter board and object caps, Boardmix offers a free tier with one team workspace, three editable boards, 100 objects per board, and 1GB of storage. Groupboard may suit a small group willing to work within five users per whiteboard, with ads and limited support on its free plan.

Choose Miro if three editable free boards and 250+ integrations are a better fit; its free tier also includes 7,000+ templates. Padlet Sandbox has a free plan capped at three padlets, 20MB uploads, and one user, with a Classroom plan at 160.00 EUR per year for two teachers.

Ziteboard offers a free Starter plan with three owned boards, unlimited shared boards and real-time collaborators, and limited data traffic. Collaboard caps its free plan at three whiteboards and five participants per board, while including core whiteboard features and 200+ templates.

Creately gives free users unlimited canvases and collaborators, with a 45-item cap per canvas. myViewBoard is another freemium alternative, with a free Standard plan for essential whiteboarding tools and a Pro plan at 6.99 USD per month.

Verdict

Canva Whiteboards is a strong choice for teams that need flexible shared boards and want to carry ideas into presentations or documents, especially when guests need to join sessions. Look elsewhere if your priority is a dedicated whiteboarding plan or private-board access without requiring guests to sign in; Canva’s paid tiers are most worthwhile when their wider design, storage, and team features matter too.
