Overview

CartFlow gathers market and festival applications, bookings, staff, packing lists, logistics and event records. Its profitability reports break results down by event, product and venue, with year-over-year comparisons. That makes it useful for operators deciding which events and products are worth repeating, rather than merely keeping a record of sales.

CartFlow connects to the POS an operator already uses, so businesses looking to replace checkout software should look elsewhere. It works in a browser on phones, tablets and laptops, and can be installed on a phone home screen without an app store. Sales, stock adjustments and event notes can be recorded without signal and synced after reconnecting, an important safeguard at venues with unreliable coverage.

Key features

Event operations and inventory

Applications, bookings, staff coordination, packing logistics and event records live alongside inventory. Live stock counts, low-stock alerts and per-event stock usage help operators prepare for each service and spot replenishment needs. The benefit is a connected view of event work and stock; the trade-off is that CartFlow still depends on a separate POS for transactions.

Integrations and data protection

CartFlow lists connections to Square, SumUp, Zettle, Shopify POS, Lightspeed Retail, Clover, Toast, Loyverse, Xero, Zapier, HNRY via Zapier and Stripe. Xero and the AI assistant require Business, while CSV import and export require Pro. OAuth connections to POS systems may require account credentials to be configured in the app, so integration setup can involve extra steps.

CartFlow describes row-level database security, separate data isolation for each workspace, private file storage with signed URLs, server-side authorization and HTTPS/TLS transport. It says it does not sell personal information or use business data to train third-party AI models. These are useful stated safeguards, but CartFlow also says its security description is not an independent audit or certification.

Pricing

CartFlow uses a freemium model. Its plan details give prices in NZD: Free is free, Pro is 39.00 NZD per month (billed NZ$39/mo), and Business is 79.00 NZD per month (billed NZ$79/mo). The general pricing note says paid plans start at $29/mo, so check the applicable price before committing.

Free: 3 events per month, 20 sales records per month, 10 products, 3 recipes, 15 stock items, 1 saved venue, 3 tasks per event and no custom event fields. It is a reasonable starting point for a small operation, but monthly event and sales caps will constrain busy traders.
Pro: Unlimited events, sales, products, recipes and stock, plus 5 custom event fields. At NZ$39 per month, it removes the main activity caps but does not include unlimited custom fields, team seats with roles, or Business priority support.
Business: Unlimited events, sales, products, recipes, stock and custom event fields, plus team seats with roles, priority support and dedicated onboarding. At NZ$79 per month, it fits operators who need role-based team access or the additional support; smaller businesses may not need the step up from Pro.

CartFlow identifies online ordering, multiple locations, inventory tracking and staff permissions among its capabilities. The plan details establish team seats with roles only for Business, so operators who need that team structure should factor it into their choice.

Platforms

CartFlow supports Android, iOS and the web. Its browser-based access works across phones, tablets and laptops, and home-screen installation avoids an app-store download. Offline entry for sales, stock adjustments and event notes provides continuity when a device loses signal, with syncing once it reconnects.

Who it's for

CartFlow is best suited to mobile food businesses that attend recurring markets, festivals or other events and want to connect planning, stock use and profitability reporting. It is less suitable for a new operator who needs a POS included, or for a business whose event volume quickly exceeds the Free plan's three-event monthly cap.

Pros and cons

Pro: Event records and profitability reports by event, product and venue help operators judge what is paying off.
Pro: Live stock counts, low-stock alerts and per-event usage support more deliberate event preparation.
Pro: Offline notes, stock adjustments and sales reduce dependence on venue connectivity.
Con: CartFlow is not a POS, so checkout requires an existing sales system and a suitable integration.
Con: Free limits of 3 events and 20 sales records per month may be restrictive for regular traders.
Con: CSV import/export is Pro-only, and Xero plus the AI assistant require Business, putting some integrations behind paid tiers.
Con: The security practices are described by CartFlow itself and are not an independent certification.

Alternatives

If you are still comparing category options, browse Food Truck POS Software or Event Catering Software.

Biyo POS is worth considering if you want a POS rather than CartFlow's back-office layer; it has a free plan with processing fees for US businesses and a $47.00 USD per month Standard plan.
Loyverse is a POS option with a free plan and an optional Unlimited sales history plan at $5.00 USD per month per store, billed $50/year; choose it if sales history is the priority rather than event operations.
HunoMenu is another freemium alternative for readers comparing food-service software.
eHopper is another freemium alternative for readers comparing POS platforms.
FuegoPOS has a free Starter plan with processing fees and includes cloud menu management, an employee module, split payments and offline mode; consider it if those POS capabilities matter more than CartFlow's event reporting.
SpotOn Restaurant is a paid POS option with a two-year minimum term and processing minimums; its stated package includes POS software and hardware, ordering, payments, table layouts, menu management and reporting.
Zeller offers a POS with no monthly subscription or software licence fee, but requires a Zeller Terminal and transaction fees apply; consider it if that payment setup suits your operation.
ParcelPOS is another freemium option for readers comparing food-service platforms.

Verdict

Choose CartFlow if you run a mobile food business with an existing POS and need one place to coordinate events, stock and event-level profitability. Its strongest reason to buy is the link between event operations and reporting, with offline capture as a practical bonus. Look elsewhere if you need checkout software, or if your team needs roles and expanded limits without moving to Business.
