Overview

Xpand Portal gives businesses a way to share ERP-based information and workflows with customers, vendors, partners, and contractors. It is most compelling for B2B organizations already using Microsoft Dynamics 365 Business Central; companies that want a vendor-hosted portal or a low-commitment subscription should look elsewhere.

Its strongest case is the connector’s real-time synchronization of Business Central records across multiple companies. The trade-offs are on-premise hosting, configuration after installation, extra licenses for ready-made modules, and a required Business Central full-user license.

Key features

The Xpand Portal Connector synchronizes standard or custom Business Central tables and fields, keeping portal orders, invoices, and documents updated in real time. Multi-company support makes it useful to organizations managing more than one Business Central company, while API connections can bring in ERP, CRM, SharePoint, and other data sources. The clearest described integration is with Business Central, so buyers centered on other systems should assess whether API connectivity meets their needs.

A CMS and administration layer, reusable page templates, responsive interface, dashboards, reporting, alerts, configurable rules, calculations, actions, deployment tools, and stand-alone data storage give teams components for shaping the portal and its workflows. Receivables Management, Customer Order Management, and Customer Care Management offer ready-to-use starting points, but each requires an additional license, adding cost beyond the subscription.

Security controls include multi-factor authentication, role-based access, HTTPS, OAuth 2.0, SMTP authentication, audit logs, and user activity tracking. Built-in GDPR compliance and account-linked visibility help address privacy needs by limiting each user to their own account’s data.

Xpand Portal is currently an on-premise solution, usually hosted on the customer’s server. A vanilla implementation may go live in 5–7 days, but configuration is still needed after installation. The first month’s warranty covers bugs found during user acceptance testing; ongoing support is paid.

Pricing

The 30-day trial is free and allows users to test two full modules. It has a 10-user cap, making it a useful evaluation route but not a lasting free tier. The paid plans have a minimum commitment of one year; quarterly prepayment earns a 3% discount and yearly prepayment a 5% discount.

Starter: 399.00 EUR per month, up to 100 users and 5 administrative users. It suits smaller deployments, but the 100-user ceiling leaves little room for growth beyond that scale.
Growth: 599.00 EUR per month, up to 500 users and 5 administrative users. It raises the client-user allowance substantially while keeping the same administrative-user cap.
Scale: 799.00 EUR per month, up to 1,000 users and 5 administrative users. It fits broader external access without increasing the number of administrative users.
Advanced: 999.00 EUR per month, up to 2,000 users and 5 administrative users. It is the largest fixed-price tier for organizations that can operate within that user limit.
Enterprise: custom pricing on request, for more than 2,000 users, with 5 administrative users and a one-year minimum commitment.

These subscriptions do not remove the separate license requirements: the ready-to-use modules require additional licenses, and synchronization requires one Microsoft Dynamics 365 Business Central full-user license. Buyers should account for those alongside the plan price.

Platforms

Xpand Portal supports web and API access and is self-hosted. The on-premise model gives customers a deployment on their own server, but does not suit organizations that require a hosted SaaS portal.

Who it's for

The portal is aimed at B2B companies sharing ERP processes with external users, including businesses in logistics, freight forwarding, wholesale distribution, manufacturing, warehousing, telecommunications, and IT. It is a stronger fit when those users need current Business Central information and workflows than when the priority is a general-purpose client workspace. Its one-month UAT bug warranty and paid ongoing support also make it important to plan for support costs after launch.

Pros and cons

Pros: Real-time synchronization of orders, invoices, and documents makes the portal useful for external users working with current Business Central records.
Pros: Multi-company synchronization and API connectivity to other data sources can serve businesses with broader ERP and business-system needs.
Pros: Account-linked data visibility, role-based access, MFA, audit logs, and activity tracking support controlled external access.
Cons: On-premise hosting excludes buyers looking for a vendor-hosted service.
Cons: Post-installation configuration and separate licenses for the ready-made modules add implementation effort and cost.
Cons: The one-year minimum subscription and separate Business Central license are significant commitments, while every listed paid tier is capped at five administrative users.

Alternatives

For a broader shortlist, see Customer Portal Software.

Consider FuseBase if a free plan and broader platform support matter more than Xpand Portal’s Business Central focus; its Free Forever plan includes one client portal and one workspace.

Kitchen.co is worth considering for teams that want a free forever option with unlimited clients and projects, though its free plan is limited to two internal users and 2 GB of storage.

Plutio offers a Core plan at 19.00 USD per month for up to nine active clients, making it an option for smaller client rosters rather than large ERP-connected external-user deployments.

Assembly offers a free plan for up to five active contacts, one internal user, and three apps, which may suit a small portal requirement.

MyDocSafe is an alternative for organizations comparing paid portal options with document and signature allowances, including 200 guest users and unlimited signatures on its Business Pro plan.

Dock is another alternative to compare for a portal or deal-desk need.

SuperOkay is another alternative to compare for a client portal.

Tarkle Portal is another alternative to compare for a portal.

Verdict

Choose Xpand Portal if your B2B organization runs Business Central and needs external users to work with synchronized ERP information and workflows. Its integration depth and configurable portal are the main reasons to choose it; look elsewhere if you need SaaS hosting, a free ongoing plan, or a shorter commitment without extra module and Business Central license costs.
