Overview

PaintQuote Pro combines estimating and business-management tools for residential and commercial painting contractors. It is best for contractors who want to prepare quotes in the field and keep customer and performance tracking alongside job tools. The one-time allowance of two free quotes is useful for a brief start, but continued quoting requires per-quote purchases or a subscription.

Founded in 2018 by painting contractor Michael Chen, the product aims beyond quote creation: it also supports scheduling, crew management, material cost tracking, proposal signatures, and invoicing and payments. That breadth is appealing for a painting business consolidating day-to-day work, though the pricing choices deserve close comparison before committing.

Key features

Estimating from the field

An AI assistant can generate quotes from project requirements, and a calculator covers all surfaces. Quantity calculations use surface area, coverage rates, and coat count, with paint-brand and product pricing data to inform estimates. Contractors can create quotes on site and send them by email or text. This is a practical fit for businesses that scope work at customer locations; proposal signatures are supported, though their collection workflow is not described.

Customer and operations tracking

Customer management is paired with analytics for quote conversion, win/loss rates, and profitability, giving owners a way to track both pipeline outcomes and business performance. Scheduling, crew management, material cost tracking, and invoicing and payments round out the toolkit. These capabilities make PaintQuote Pro more substantial than a standalone estimator, but teams should weigh that range against the per-month subscription cost if their main need is only occasional quoting.

Branding, integrations, and security

Paid features include custom branding, branded PDF export, and a color visualizer. Stripe and email through Resend are available integrations; QuickBooks and Square also appear among featured integrations. Several other integrations are planned or coming soon, so businesses dependent on those should not assume they can use them today.

The API uses REST endpoints, OAuth 2.0, and webhooks, with a limit of 1,000 requests per hour per API key. API requests use TLS 1.3 encryption, while the integrations page describes OAuth 2.0 and encrypted connections. Support includes weekday live chat from 9 AM–6 PM EST, email support with a 24–48 hour response, and video tutorials. That schedule and response window are relevant for contractors who need help outside weekday business hours.

Pricing

PaintQuote Pro has a free starting allowance, per-quote purchases, and recurring plans. The free option provides two professional quotes, no credit card requirement, and basic customer management. Those two quotes are a one-time allowance, not a recurring monthly quota or free-forever plan; there is no expiring 14-day trial.

Free — free: two professional quotes to start and basic customer management. Best for evaluating a small number of jobs, but not for ongoing quoting.
1 Quote — 4.99 USD per once: one quote, billed pay as you go with no monthly commitment. This suits an occasional job, though repeated purchases add up.
20 Quotes — 79.99 USD per once: 20 quotes at $4 each, billed pay as you go with no monthly commitment. It lowers the per-quote price versus buying one at a time, but the purchase is still finite.
Starter — 239.99 USD per year: billed $239.99/year ($20/mo billed yearly), with five quotes per month, analytics, customer management, mobile and offline access, and email support. This fits a contractor with predictable, modest monthly volume; the five-quote cap and annual billing make it less suitable for busier or irregular quoting.
Unlimited — 69.99 USD per month: billed $69.99/month, with unlimited quotes, custom branding, branded PDF export, color visualizer, mobile and offline access, and priority support. It is the clearest fit for higher-volume businesses that will use the branding and support benefits, but costs more than Starter and is a recurring monthly charge.

Starter’s annual price is substantially lower than paying monthly for Unlimited, but it restricts volume to five quotes a month and does not include the listed branding features or priority support. The pay-as-you-go options avoid a subscription, making them more sensible for sporadic work than for a steady flow of projects.

Platforms

PaintQuote Pro runs on Android, iOS, and the web. Mobile and offline access are included with Starter and Unlimited, which helps contractors working away from an office, while the free and per-quote plan descriptions do not include those access benefits.

Who it's for

Choose PaintQuote Pro if painting estimates are central to your business and you want customer records, performance analytics, and operational tools in the same product. Starter suits a smaller, predictable workload capped at five quotes monthly; Unlimited is more appropriate when quote volume is higher or branded documents, the visualizer, and priority support matter. Contractors who issue only occasional estimates can avoid recurring charges with pay-as-you-go purchases. It is a weaker fit for businesses that need a larger free ongoing quota, or whose key integration is among those still planned.

Pros and cons

Pro: Estimating combines AI quote generation, surface-based quantity calculations, and paint pricing data, supporting a more informed quote than a basic manual template.
Pro: Customer management, performance analytics, scheduling, crew management, material tracking, and invoicing and payments extend its usefulness beyond estimating.
Pro: Pay-as-you-go quotes let occasional users avoid a monthly commitment.
Con: The two free quotes are a one-time allowance, so there is no ongoing free tier for a contractor who wants to keep using it.
Con: Starter is limited to five quotes per month and billed annually, while Unlimited requires a recurring $69.99 monthly payment.
Con: Integrations beyond Stripe, Resend, QuickBooks, and Square are planned or coming soon, which may constrain businesses relying on a wider connected workflow.

Alternatives

PaintClarity is worth considering for teams that prioritize a free plan with unlimited jobs and quotes and unlimited painters and admin users, as well as Android, iOS, web, and self-hosted platforms.

Surfacely may fit better when broad desktop coverage matters: it supports macOS and Windows in addition to Android, iOS, and web, and its free plan starts with two team seats, five buildings, and two devices per user.

Painter's Log is another freemium option for teams that want a free monthly plan, with two users, five jobs, 20 documents, 25 receipts, and 2 GB storage.

PaintLogic offers a no-time-limit free trial with three projects and full Pro features, making it a better candidate for evaluating a fuller paid feature set before subscribing; it runs on the web.

PaintWiser may be preferable for a solo operator who wants a free-forever allowance of 20 quotes per month, scheduling, invoicing, and mobile and web access.

InsightPaint is a paid option with a free trial and a Starter plan at 49.00 USD per month, including three team members, 25 active jobs, and 50 estimates per month.

Estimate Rocket may suit businesses seeking a paid product with a free trial and a Launch plan at 139.00 USD per month for three full users, with extra full and field users priced separately.

OPS is an alternative for teams working on iOS and web that want a 30-day trial with up to 10 users and full feature access.

Verdict

PaintQuote Pro is a strong choice for painting contractors who want field-ready estimating connected to customer tracking, analytics, and operational tools. Its main advantage is the breadth around quoting; its main drawback is that the free allowance ends after two quotes and ongoing plans impose either a volume cap or a recurring charge. Choose it when that integrated workflow justifies the spend, and look elsewhere if sustained free quoting or a different integration set is the priority.
