Overview

Expensify brings expense management, reimbursements, bill pay, invoicing, travel booking and chat together for individuals and businesses. It is most compelling for small and midsize companies that want receipt and spend workflows without committing to a single card provider. The trade-off is clear: it manages spending, but is not an accounting ledger or tax filing service.

Key features

SmartScan extracts receipt details, codes expenses, matches card transactions when available and flags prohibited purchases at the line-item level. That can cut down on manual entry while directing reviewers to specific items that need attention. Expense reports, mileage tracking, per diem support, categories and tags, custom distance and tax rates, and chat on each expense round out the reimbursement workflow.

Expensify can import card feeds from more than 10,000 banks, so using its own card is optional. Expensify Travel adds booking and policy controls for flights, hotels, cars and rail. Integrations cover accounting, ERP, HR, payroll, travel, banking and consumer apps, including QuickBooks, NetSuite, Xero, Sage Intacct, Workday and Gusto. A free self-service API is useful for teams connecting systems beyond those integrations.

Expensify says it is PCI-DSS Level 1, SOC 1 Type II and SOC 2 Type II compliant, with external grey-box testing. It uses HTTPS and TLS for web connections and encrypts data in transit between browsers and its servers, as well as within its server network. Support starts with Concierge AI, which answers many inquiries from help documentation and routes others to human responders and Success Coaches.

Pricing

The free Submit plan covers all members and includes receipt scanning, mileage tracking, expense reports, categories and tags, custom distance and tax rates, personal-card imports, chat on each expense, and AI and human support. It is a substantial starting point for individuals or teams that need core reporting and reimbursements, but the paid tiers are where the listed workspace billing and spend-control options begin.

Collect costs $5 per unique member, per month, and bills every unique member added to a workspace. It is available only to customers whose first workspace was created on or after April 1, 2025, so it is not a universal upgrade path. Control has three billing choices: the annual plan with Expensify Card is $9 per member, per month, but requires the card to account for at least 50% of monthly settled spend to retain the discounted rate; the annual plan without the card is $18 per member, per month, with a 12-month commitment and billing for the subscription size plus active members above it at the pay-per-use rate; and pay per use is $36 per active member, per month, billed for active members for that month. The $9 option is attractive only for organizations able to meet its card-spend condition, while the $18 plan trades a lower rate than pay-per-use for an annual commitment and a seat-size billing rule.

Expensify also advertises a 30-day trial. The free Submit plan provides a no-cost baseline; the paid pricing terms make member counts and, for some Control options, card usage or annual commitment central to the final cost.

Platforms

Expensify is available on Android, iOS, macOS, Windows and the web. Mobile apps suit employees submitting expenses on the move, while the web and desktop availability support broader workplace use.

Who it's for

Expensify serves individuals and companies of every size, though small and midsize businesses account for most of its revenue. It is a good fit for teams that want receipt capture, reimbursements, card-feed flexibility and optional travel booking in one system. Organizations seeking a ledger, tax filing service, bank or credit issuer will need separate products for those jobs.

Pros and cons

Pro: SmartScan combines receipt extraction, coding, transaction matching when available and line-item flags, reducing routine handling while helping reviewers focus.
Pro: Imports from more than 10,000 banks mean businesses can keep existing card relationships rather than adopt the Expensify Card.
Pro: Travel booking, policy controls, integrations and a free API extend the product beyond basic expense reports.
Con: Collect's $5 rate is restricted to workspaces first created on or after April 1, 2025, excluding older workspaces from that plan.
Con: Control's lowest listed rate depends on using the Expensify Card for at least half of monthly settled spend; the no-card annual plan commits customers for 12 months.
Con: Expensify does not replace accounting or tax software, so it cannot serve as the complete financial back office.

Alternatives

Zoho Expense is another freemium expense product with Android, iOS, API and web platforms; consider it when those platform options better fit your environment.

Ramp AP offers a free plan for smaller teams looking to simplify finances, making it an alternative when accounts payable is the central need.

Brex has a free Essentials plan at $0 user/month, capped at two entities (one global entity) and one local card program; it is worth considering when those limits match your organization.

BILL Accounts Payable is a paid option with an Essentials plan at $49.00 USD per month; choose it for an accounts-payable and accounts-receivable subscription rather than Expensify's broader expense workflow.

Moss offers a free plan for up to three users, with unlimited cards, up to 20 invoices monthly, customizable approval and verification steps, and a debit-only wallet. It may suit a small team whose needs fit those caps.

Odoo Expenses has a free One App plan with unlimited users; it is a reasonable alternative when a free, single-app setup is the priority.

Emburse Spend starts at $8.00 USD per month per user on Basic, which includes up to 50 ACH reimbursements; choose it when that stated reimbursement allowance fits.

Minute7 costs $8.00 USD per month, billed monthly, and combines time and expense tracking, mileage calculation, receipt attachments and QuickBooks synchronization.

For a broader shortlist, see Expense Reimbursement Software, Mileage Tracking Software or Restaurant Expense Management Software.

Verdict

Expensify is a strong choice for individuals and especially small or midsize businesses that want receipt capture, reimbursement workflows, flexible card imports and travel booking together. Its clearest advantage is that breadth without requiring the Expensify Card; its clearest reason to look elsewhere is that it stops short of accounting and tax work, while some paid rates depend on restrictive eligibility, card-spend or commitment terms.
