Overview

Fiix is a computerized maintenance management system for teams coordinating equipment care, technicians, and recurring service. It suits organizations that need maintenance records and work orders in one system, particularly when technicians need offline mobile access. Its broad workflow coverage is compelling, but per-user paid plans and the lack of native multifactor authentication may rule it out for some teams.

Asset details, availability, costs, schedules, and history sit together, with QR-code access. That gives maintenance staff a practical way to connect equipment records to day-to-day work rather than managing them separately.

Founded in 2008 and headquartered in Toronto, Fiix supports web, Android, iOS, and API access. Fiix says it protects processed data with 256-bit TLS over HTTPS, undergoes independent SOC 2 Type 2 audits, and makes daily backups across geographically diverse locations on a rolling 30-day basis. Data export is available, and the company reports average uptime of 99.5%.

Key features

Work orders: Staff can submit, update, and complete work orders while prioritizing planned and unplanned jobs. This brings reactive repairs into the same process as scheduled maintenance.
Preventive maintenance: Schedules can be triggered by dates, meter readings, events, or alarms, with automated task lists and notifications. The range of triggers can suit equipment with different maintenance cycles, though teams should choose a plan that covers their required workflows.
Offline mobile work: Technicians can access work orders and instructions, then update completed tasks without a connection. This is useful for sites with unreliable connectivity. The app requires Android 11 or later or iOS/iPadOS 17 or later; rooted or modified devices are unsupported.
Reporting and integration: Customizable dashboards and scheduled reports cover work orders, inventory, and KPIs. An app exchange, two-way smart connectors, developer tools, and an open API give organizations options for connecting maintenance operations with other systems.
Security and access: Enterprise supports SAML 2.0 and OpenID Connect single sign-on. Fiix does not natively support MFA, although it can be used indirectly through supported SSO identity providers; organizations requiring native MFA should weigh that limitation carefully.

Pricing

Fiix uses a freemium model. The Free plan costs 0.00 USD per free, requires no credit card, and has limited users. It includes 25 active PMs, unlimited service requests and work orders, downtime tracking, asset management, a mobile app, inventory, parts and supplies, and a calendar. It can cover a small operation’s core maintenance workflow, but the user restriction and PM cap may become constraints as a team grows.

Basic costs 45.00 USD per month per user. It removes the PM cap with unlimited PMs and adds reports, resource-based scheduling, user certification tracking, pass/fail inspections, success-team access, and email and phone support. It is the more suitable step up for teams needing richer scheduling and support, but the per-user charge matters when adding technicians and other users.

Professional costs 75.00 USD per month per user. It adds multi-site management, Fiix Foresight, purchasing and RFQs, nested PMs, multi-asset work orders, inventory cycle counts, advanced notifications, and custom analytics and reports. Multi-site operators and teams with more complex purchasing or reporting needs have a clearer reason to pay the higher rate; smaller single-site teams may not need those additions.

Enterprise has custom pricing and adds failure codes, a customizable interface, customized workflows, Integration Hub, custom API integrations, e-signatures, an audit trail, and single sign-on. It is aimed at organizations needing tailored workflows or enterprise access controls. Fiix MAX, with an AI maintenance assistant, has custom pricing and must be combined with Professional or Enterprise; it is unavailable to Lite License users. The Lite License, also custom-priced, provides limited CMMS access and must be combined with Basic, Professional, or Enterprise. Those add-ons therefore do not replace a core plan.

Platforms

Fiix is available on web, Android, and iOS, with API access. The native mobile app supports Android 11 or later and iOS/iPadOS 17 or later, and offline task access is a practical advantage for field teams. Rooted or modified mobile devices are unsupported.

Who it's for

Fiix is a strong fit for maintenance teams that need asset records, scheduled and reactive work, inventory, and mobile technician workflows under one roof. The Free plan offers a way to start with core tools, while Basic and Professional add capabilities for teams that need more scheduling, reporting, or multi-site coordination. Organizations with strict MFA requirements should verify that SSO-based MFA meets their policy; those needing native MFA may want another system.

Pros and cons

Pros

Useful free foundation: Free includes asset management, inventory, mobile access, and unlimited work orders, with no credit card required.
Flexible maintenance triggers: Date-, meter-, event-, and alarm-based schedules can accommodate varied preventive-maintenance routines.
Offline field access: Technicians can consult instructions and update work while disconnected, subject to supported device requirements.
Growth options: Higher plans add multi-site operations, customized analytics, integration tools, and SSO.

Cons

Free plan has a constrained audience: Limited users and 25 active PMs may make it unsuitable for larger teams or extensive scheduled maintenance.
Per-user pricing can scale with headcount: Basic and Professional charge per user, per month.
No native MFA: MFA depends on supported SSO identity providers, which may not satisfy every organization's access policy.
Mobile device requirements matter: Older operating systems and rooted or modified devices are unsupported.

Alternatives

MaintainX is worth considering for teams comparing free CMMS options: it has a free plan and a Basic tier at 0.00 USD per free with unlimited work orders, procedures, and requester users, though the plan also caps work orders with attached procedures at two.

Planon is another paid platform to consider when evaluating maintenance software, and it offers a free trial.

AkitaBox may suit building owners and operators comparing paid options; its pricing is based on square footage and selected modules, with volume discounts for larger portfolios and unlimited users.

ADOX AI CAFM is an alternative for organizations considering a paid CAFM platform, with a custom-priced Professional plan for a single site, up to 50,000 sqm, five admin users, and 1,000 assets.

UpKeep is another paid option; its Essential plan costs 24.00 USD per month per user and includes unlimited work orders and locations.

EMS Academic Scheduling is an alternative to consider for academic scheduling needs.

Spacewell is another paid platform to compare when assessing facilities and asset software.

Facilio is a paid alternative with a Standard plan covering work orders, service requests, preventive maintenance, mobile field access, reports, dashboards, and core asset and workflow configuration.

For broader comparisons, see Facilities Management Software, Work Order Management Software, Church Facility Management Software, and CMMS Software.

Verdict

Choose Fiix if your maintenance operation needs connected asset records, flexible preventive schedules, work orders, and offline technician access, with room to move from a free starting point into multi-site or tailored workflows. Look elsewhere if native MFA is mandatory, or if user caps and per-user plan costs do not fit your team.
