Overview

GatesFlow QMS is cloud software for manufacturers managing quality work across products, processes and suppliers. It suits teams that need connected manufacturing workflows rather than a narrow document or audit tool. Its broad QMS scope and enduring free account make it an accessible starting point, while paid plans add capacity and modules.

Key features

Risk, submissions and corrective action

Design and process FMEA tools combine severity, occurrence and detection ratings with automated RPN calculations and action tracking. That keeps risk assessments connected to follow-up work. PPAP tracking covers all 18 elements and supports multi-level submissions, useful for suppliers handling layered approvals. CAPA tools track non-conformances, root-cause analysis, corrective and preventive actions, and 8D reports, giving teams a way to document issues through resolution.

Audits, suppliers and traceability

Internal, supplier and customer audits are supported alongside supplier scorecards, incoming inspection and supplier PPAP approvals. FMEAs, control plans and inspections can be linked to bills of materials, drawings and specifications, which helps teams connect product records with quality activity. Approval workflows, document control, audit management, nonconformance tracking and compliance records round out the core functions.

Compliance, integrations and operations

The system is designed to support requirements associated with IATF 16949, ISO 9001, AS9100, ISO 13485, FDA 21 CFR Part 11, APQP and PPAP. That breadth is relevant to manufacturers working under multiple customer or regulatory frameworks, but using the software does not itself establish compliance.

Listed integrations include Microsoft 365, Google Workspace, QuickBooks, Plaid, Stripe, Plex MES, UPS, Twilio, SolidWorks, Shopify, Anthropic, OpenAI, Gemini and Copilot, as well as a REST API. Enterprise connectivity includes two-way ERP sync with Plex, SAP, Oracle and NetSuite, legacy PLM integration, SAML, OAuth and Active Directory. This can suit organizations with established business systems, though the range may be unnecessary for a small team with simpler workflows.

GatesFlow states that it encrypts data in transit with TLS 1.3 and at rest with AES-256, and offers role-based access control and MFA on all accounts. It also states a 99.9% uptime SLA, daily backups retained for 30 days and point-in-time recovery. Existing customers can reach technical support 24/7 by email at support@gatesflow.com.

Pricing

The free plan costs 0.00 USD per free and is described as offering generous usage limits for individuals or small teams. GatesFlow says no credit card is required and there is no trial clock, making it a low-friction way to begin. The free plan's specific storage and program caps are not clear, so teams planning sustained or broader use should confirm that the included limits fit their workload.

Paid plans start at 20.00 USD per month and add more storage, more programs and additional platform modules. This is the more suitable route for growing teams that outgrow the free allowance or need expanded functionality. The entry price does not establish what a particular team will pay for its required modules or capacity.

Platforms

GatesFlow QMS is available as a cloud service through the web, with API access. A free trial is also offered, alongside the free account.

Who it's for

Manufacturers coordinating FMEA, PPAP, inspections, supplier quality, audits and corrective action in one system are the clearest fit. Teams that need product-to-quality traceability or ERP and PLM connectivity have particular reason to consider it. A small organization needing only document control, or a buyer looking for defined seat and storage allowances before signing up, may prefer a more narrowly scoped option.

Pros and cons

Pros: Broad manufacturing coverage connects FMEA, PPAP, CAPA, audits and supplier quality in one QMS.
Pros: Links between quality records and bills of materials, drawings and specifications support product-level traceability.
Pros: A no-card free account without a trial clock lets individuals and small teams start without committing to a paid plan.
Pros: Enterprise ERP, PLM, identity and API connectivity can accommodate more complex system environments.
Cons: The free plan's precise usage caps and the paid plans' expanded allowances are not defined, making capacity planning less straightforward.
Cons: The broad manufacturing feature set may be more than organizations seeking only a focused document-control or audit product need.

Alternatives

For a narrower document-management comparison, see Document Control Software; for other QMS options, browse Quality Management Software.

DocControl is a paid alternative with a free trial, Android, iOS and web access, and plans starting at 49.00 USD per month for two users, 1 GB of storage and unlimited documents. Pick it when document volume and a small, defined seat allowance matter more than GatesFlow's manufacturing workflows.
QT9 QMS is a paid alternative with a free trial across web, desktop, Linux, API and self-hosted platforms; its annual licensing uses custom pricing based on users and deployment requirements. It may suit buyers seeking those deployment choices and prepared for a custom quote.
QualiVault has a free tier capped at two seats and 50 KB of document storage, plus a 9.99 USD per month Basic plan. It is worth considering when a low-cost, web-based document-focused option is enough and the small free allowance is acceptable.
Ketryx offers a free plan for companies that have raised less than $2 million, with paid Startup and Business plans. It is an alternative for teams that fit that stated free-plan eligibility.
OnPolicy is a paid policy and procedure management option, with a free trial and a plan at 990.00 USD per year. Choose it when policy management, sample procedures and forms are the priority rather than manufacturing quality workflows.
Intelex Inspection Management is a paid inspection option with a free trial and a Safety Essentials plan at 44.00 USD per year, requiring at least 25 users. It may fit organizations specifically seeking inspection and incident-management coverage that can meet that minimum.
Arena QMS offers a 10-day free trial covering BOM, change, document and quality management, including CAPAs, NCMRs and complaints. Consider it when that defined trial scope is a better way to evaluate a QMS before purchase.
TrackWise Digital is a paid alternative with web, API, Android and iOS access, including QuickTrack for smaller organizations and a QMS Suite.

Verdict

GatesFlow QMS is a strong fit for manufacturing teams that need connected risk, submission, audit, supplier and corrective-action processes, especially when traceability and enterprise integrations matter. Its free account provides a practical starting point, but unclear usage caps and the extra cost of expanded modules make it less compelling for buyers who need predictable capacity or only a single-purpose tool.
