Overview

MoneyMinder has served small organizations since 2003 and is based in Winter Park, Florida. Its scope extends beyond accounting: users can manage contacts and membership records, collect payments through an online store, and handle reimbursements as well as financial activity. That breadth can reduce the need to split routine treasurer work across separate tools, though the free edition is not a substitute for subscription bookkeeping.

Key features

Books, budgets and funds

The paid plan combines bank registers, transaction entry, account reconciliation, check printing and financial reports. Custom budget categories, actual-versus-budget comparisons, goals and scenario forecasts help groups connect planning with recorded finances. Fund accounting, restricted-fund tracking and grant tracking support organizations that must distinguish money by purpose; the free edition offers budgets and forecasts but not transactions or advanced features.

Groups, reimbursements and payments

Records can cover members, donors, volunteers, homeowners and contractors, including dues and membership status. Reimbursement workflows support custom forms, receipt requirements, multiple approval steps and notifications, with approved expenses recorded in the bank register. These capabilities are useful where a volunteer treasurer also manages group administration, although they make less difference to organizations that only need a ledger.

MoneyMinder connects to more than 12,000 banks and supports PayPal, Square, Stripe and Venmo; other transactions can be imported from OFX, QFX or QBO files. Its store, powered by Cheddar Up, provides payment collection pages and accepts cards and eChecks, with Apple Pay and Google Pay among additional methods. The maker says financial account connections are read-only and secure, data is backed up nightly, and store payments use encrypted, PCI-compliant processing.

Tax and controls

IRS 990-N e-filing is supported, while 990-EZ and 8868 filing are paid add-ons. An audit trail helps maintain a record of activity, and paid-plan role-based permissions let organizations distinguish user access. Support is offered through a help center, email, phone and live chat during business hours.

Pricing

MoneyMinder Free Edition: 0.00 USD per free. It includes budgeting, a custom chart of accounts, goals and forecasts, contact tracking, and Excel export. This is a sensible starting point for planning or basic contact records, but transactions and advanced features require a subscription, so it will not serve as a full bookkeeping system.

MoneyMinder: custom pricing. The paid plan adds bookkeeping and bank registers, budgeting and reconciliation, reports, fund tracking, role-based permissions, and iOS and Android apps. It is the relevant tier for organizations that need to manage live financial records, but the annual fee and its cost should be weighed against the group's needs before committing.

A 30-day trial covers product features, except tax e-filing is limited to paid accounts and statements cannot be sent to users during the trial. Subscriptions are billed annually and can be canceled at any time, but the annual fee is nonrefundable. That makes the trial useful for evaluating workflows, while the nonrefundable renewal terms call for care before purchase.

Platforms

MoneyMinder is available on the web, Android and iOS. Mobile apps are included with the paid plan, making the subscription more suitable for treasurers who need access beyond a desktop browser.

Who it's for

MoneyMinder is best suited to nonprofits, volunteer treasurers and small groups that combine bookkeeping with budgeting, restricted-fund oversight and membership or donor records. It is also a fit for organizations that need reimbursement approvals and several supported payment channels. Groups seeking only free transaction accounting should look elsewhere: the free edition is focused on budgeting and contacts, not ongoing bookkeeping.

Pros and cons

Broad small-group coverage: accounting, budgets, fund tracking, contact records and reimbursements are brought together for organizations with overlapping treasurer and administrative duties.
Flexible transaction intake: bank connections, major payment services and OFX, QFX or QBO imports give treasurers multiple ways to bring activity into their records.
Useful free planning tier: budgets, forecasts, goals and Excel export provide a no-cost option for organizations not yet ready to manage transactions in the software.
Free edition stops short of bookkeeping: transactions and advanced features require a subscription, limiting its usefulness for groups needing a complete accounting workflow at no cost.
Annual payment commitment: the subscription can be canceled, but the annual fee is nonrefundable, and the trial does not include tax e-filing or sending statements to users.
Some tax filings cost extra: 990-EZ and 8868 e-filing are paid add-ons, so organizations needing those filings should account for additional expense.

Alternatives

For nonprofit accounting alternatives, compare Nonprofit Accounting Software; for dedicated fund accounting options, see Fund Accounting Software. Organizations managing homeowner associations can also review HOA Accounting Software.

Grain Ledger is worth considering for web-based fund accounting where a free Starter tier capped at $20k in monthly expenses, one bank connection and three users is sufficient; it includes unlimited funds and one active budget.

NP Ledger may suit a new or smaller nonprofit that wants a paid web option with two users and 990-N/990-EZ filing in its Starter plan, priced at 289.00 USD per year. FastFund Accounting is another paid web choice, with a Standard plan at 50.00 USD per month that includes cash-based and fund accounting, budgeting and project tracking.

Aplos is a paid alternative for organizations wanting a web platform with a Lite plan at 79.00 USD per month, two users, fund-based statements and bank reconciliation. Denali Fund is an alternative for readers considering self-hosted or Windows options, with plan prices not stated.

LineLedger may appeal to groups seeking a free, web or self-hosted accounting option with unlimited companies, users, transactions, invoices and bills. T3 Books offers paid web plans starting at 35.00 USD per month for one user and unlimited audit-only users; it may fit groups prioritizing that access arrangement. Churchsoft Assist 2026 is another option to compare.

Verdict

MoneyMinder is a strong fit for small nonprofits and volunteer-run groups that need budgeting, bookkeeping, fund oversight and member records in one service. Its chief advantage is the combination of financial workflows with group administration; its chief limitation is that the free edition cannot handle transactions, while the paid subscription is annual and nonrefundable. Choose it when those combined workflows justify a paid plan, and look elsewhere if free bookkeeping or a clearly priced subscription is essential.
