Overview

GuardTrac is a guard-operations platform for security teams that need to coordinate shifts, patrols, and client reporting. It suits organizations wanting those workflows alongside live location visibility; the five-user, one-location Free plan is a useful starting point, but a narrow one.

GPS tracking and geofencing show guard locations and patrol routes in real time, while QR checkpoints help verify patrol completion. Scheduling, timekeeping, incident reporting, and dispatch communication extend the system beyond patrol logs. The trade-off is that precise location collection runs in the foreground and background during active shifts, so teams should consider that policy before deployment.

Key features

Tracking and patrol verification

Real-time GPS and geofencing give supervisors visibility into guard activity and routes. QR checkpoint scans provide a concrete way to confirm patrol completion. This combination fits teams that need both location oversight and checkpoint records, rather than only a digital logbook.

Shift operations and mobile workflows

Scheduling tools automate shift assignments and help resolve conflicts, while guards can clock in and out, file incident reports, scan checkpoints, and communicate with dispatch through the mobile app. That makes the app relevant to field operations as well as supervisors managing schedules. The mobile app is available on iOS and Android.

Reporting, AI, and privacy

GuardTrac includes reporting and billing, client reporting, and a client dashboard on Free. TracBot answers plain-English questions using a customer's guards, sites, shifts, and reports; this may help teams query operational information without building a report first. The web interface uses Mapbox for maps and geospatial visualization.

GuardTrac says it does not sell or share personal information as defined by CCPA/CPRA. Its stated protections include encryption in transit and at rest, access controls, security assessments, staff training, and secure hosting. Location collection pauses when a shift ends, but active-shift background collection is still a material consideration for employers and guards.

Pricing

GuardTrac uses a freemium model and offers a 30-day free trial with no credit card required to start. The Free plan is free and supports up to 5 users and 1 client location. It includes basic reporting, live guard tracking, a client dashboard, and shift management. It is a practical way for a small operation to assess the core workflow, but the user and location caps make it unsuitable for a growing or multi-site team.

Pro costs 5.00 USD per contact. It adds unlimited client locations, TracBot AI, in-app messaging, HR & Payroll, custom report templates, priority support, and early access to new features. The larger location allowance and added operational tools make it the more natural fit for teams that have outgrown Free; the price basis is stated as per contact.

Enterprise has custom pricing and includes everything in Pro, unlimited guards and client locations, a dedicated account representative, and priority feature requests. It is aimed at operations needing an unlimited guard allowance and a dedicated relationship, rather than a published self-serve price.

Platforms

GuardTrac is available on web, Android, and iOS. Managers can use the web interface, while guards have mobile apps for field tasks.

Who it's for

GuardTrac is a strong fit for security providers that want scheduling, patrol verification, location tracking, and client-facing reporting in one system. Small teams can start on Free if one location and five users are enough. Multi-location operators should weigh Pro, while organizations needing unlimited guards and dedicated account support should consider Enterprise. It is less suitable for teams unwilling to collect precise location during active shifts.

Pros and cons

Pros: Live GPS and geofencing pair with QR checkpoint verification, covering both route visibility and patrol completion.
Pros: Scheduling, timekeeping, incident reporting, and dispatch communication connect field work with shift management.
Pros: The Free plan includes tracking, shift management, basic reporting, and a client dashboard, with a 30-day trial also offered.
Cons: Free is capped at 5 users and 1 client location, which quickly constrains multi-site operations.
Cons: Precise location is collected in the foreground and background during active shifts, a meaningful privacy and workforce-policy consideration.
Cons: Enterprise pricing is custom, so organizations needing its unlimited guard allowance must seek a tailored price.

Alternatives

For a broader comparison, browse Security Guard Software. Choose Security Guard App if a single user needs a free tool centered on check-in/out, site posts, reports, and multimedia attachments. guardtour.app is a better match when checkpoint verification is the priority: its free tier supports five checkpoints, one site, QR and NFC verification, and 30-day history.

GuardConnect is another freemium option for teams seeking a free plan that supports 1 to 10 officers. GuardsPro is a paid alternative with a free trial. CheckpointGuard is worth considering for a QR/NFC checkpoint-focused workflow with a free trial and annual-billed monthly-equivalent pricing. Guardix is a paid option with a free trial and a Starter plan at 8.99 USD per month. Novagems offers custom-quote pricing, a 14-day trial, and month-to-month terms. QR-Patrol is a paid alternative with a Base plan from 3.20 USD per month per guard and annual billing available.

Verdict

Choose GuardTrac if your security operation wants patrol verification, live location visibility, scheduling, and reporting together, with a free entry point for a small single-location team. Look elsewhere if the Free caps are too restrictive or active-shift location collection does not fit your privacy expectations.
