Overview

Proof Restoration OS is a cloud-based field-service platform for restoration and other trade contractors. It is best suited to teams coordinating jobs, field evidence and insurance paperwork in one system. Its broad operational toolkit is attractive, but paid plans start at $997 per month and carry a 12-month initial term.

Alongside restoration, Proof AI, Inc. targets roofing, plumbing, HVAC, electrical and other trade businesses. The platform combines customer and job management with scheduling, fleet tracking, payroll and analytics; see Restoration Management Software for more options.

Key features

Proof Vision: Thermal imaging, ultrasonic sonar, moisture mapping and computer vision help identify damage and produce scopes. The monthly allowance ranges from 150 analyses on Launchpad to 10,000 on Engine Pro, making the higher tiers more suitable for teams processing substantial field volume.
Proof Dispatch: The around-the-clock call service qualifies leads, creates jobs and ranks crews using distance, certifications and workload. Monthly call and SMS allowances can constrain busy operations, and paid-plan overages are billed at graduated rates.
Proof Pulse: This network connects companies with vetted subcontractors and matches assignments by trade, proximity and availability. It is included as a $0 monthly plan with two seats, but no call minutes or SMS; the allowance of 50 vision analyses, 50K AI tokens and 1 GB storage makes it a limited starting tier, not a full-capacity operating plan.
Insurance paperwork: Engine includes one-click generation of all seven IICRC document types and exports for TPA or carrier portals. That can reduce paperwork friction for restoration teams, while Launchpad pricing lists Xactimate ESX import and export.
Security and evidence: Proof says it uses TLS 1.3 in transit, AES-256 at rest, tenant isolation with database row-level security, role-based access and audit logging. Tenant data sent for AI processing is not used to train AI models, though it may be processed by OpenAI. The cryptographic evidence seal currently covers mobile-app photo uploads in release preparation; web uploads are being migrated, and moisture readings and e-signatures are not covered.

Pricing

Proof Pulse costs 0.00 USD per month (billed $0 /mo) and provides two seats, zero call minutes and SMS, 50K AI tokens, 50 vision analyses and 1 GB storage. It is useful for a small team exploring the network and core product, but the zero communications allowance sharply limits its use for dispatch-heavy operations.

Proof Launchpad costs 997.00 USD per month (billed $997 /mo). It includes five seats, 750 call minutes, 500 SMS, 250K AI tokens, 150 vision analyses, 5 GB storage and 100 documents. This is the lowest paid tier and suits a small operation whose volume fits those quotas; teams needing more document capacity or insurance workflows may prefer Engine.

Proof Engine costs 2497.00 USD per month (billed $2,497 /mo). Its 15 seats, 2,000 call minutes, 2,000 SMS, 500K AI tokens, 1,000 vision analyses, 25 GB storage and 1,000 documents offer substantially more room, with all seven IICRC document types and TPA or carrier portal exports. It is the clearest fit for growing restoration businesses that depend on insurance documentation.

Proof Engine Pro costs 4997.00 USD per month (billed $4,997 /mo). It raises capacity to 25 seats, 10,000 call minutes and SMS, 5M AI tokens, 10,000 vision analyses and 500 GB storage, and adds EU/multi-region data residency, custom branding and API access. Those additions are aimed at larger or more technically integrated operations, not teams that can stay within Engine’s limits.

Paid plans have monthly call, SMS and AI quotas, with overages charged at graduated rates. Proof states a 12-month initial term and 30-day cancellation notice. Its 14-day satisfaction guarantee is subject to a 50% administrative fee on setup work already performed, so it is not a no-cost way to reverse implementation.

Platforms

Proof supports Android, iOS, web and API access. API access is an Engine Pro feature; the mobile and web options give field and office teams different ways to work, though evidence-seal coverage is currently limited as described above.

Who it's for

Proof is a strong match for restoration contractors that want field documentation, estimating, dispatch, insurance paperwork and job operations under one roof, particularly those whose usage justifies Engine or Engine Pro. Other trade-service companies can also benefit from the scheduling and operational suite. Small firms with light needs may find the $997 monthly paid entry point, seat caps and annual commitment difficult to justify; businesses with heavy communications or vision workloads should model quotas and overages before choosing a tier.

Pros and cons

Pros

Broad operational coverage: CRM, job management, scheduling, fleet tracking, payroll and analytics reduce the need to split those core functions across separate tools.
Restoration-specific workflows: Engine’s seven IICRC document types and portal exports, together with Vision and Xactimate ESX support on Launchpad pricing, address work that general field-service systems may not cover.
Capacity scales by plan: Engine Pro’s higher quotas, data residency options and API access support larger, more integrated operations.

Cons

High paid entry price: Launchpad at 997.00 USD per month is a substantial starting commitment for small contractors.
Quotas add uncertainty: Call, SMS and AI overages are graduated, so high-volume teams need to account for usage beyond plan allowances.
Long commitment: The 12-month initial term and 30-day cancellation notice are less flexible than month-to-month service.
Evidence seal coverage is incomplete: It does not yet cover web uploads, moisture readings or e-signatures, limiting its reach across field records.

Alternatives

Riivet is worth considering for a lower-cost per-seat option: its Core plan is expected at $99.00 USD per month per seat at release, subject to change, and includes CRM, scheduling, contents and LiDAR/360 sc… . It has a free trial, but no free plan.
RestorationPro may suit teams seeking user-priced claims management: Field is $65.00 USD per user per month for up to 50 active claims, while Office is $95.00 USD per user per month with unlimited claims. It offers a free trial and no free plan.
Smarfle is a lower-cost option for smaller client-management needs: Solo costs $19.00 USD per month and is month-to-month for one user, up to 100 clients and 1 GB storage, with a booking link, calendar and client management. It offers a free trial, not a free plan.
RestorationWorkflow is a more flexible choice for organizations prioritizing a flat, cancel-any-time subscription: its Organization plan is $69.00 USD per month for unlimited jobs and users, with email and chat support and a one-month business… . It has a free trial and no free plan.
Lever360 is another option for teams needing a broader range of desktop and mobile platforms.
Albi is another paid option for restoration businesses.
PSA is another paid option; request a demo for pricing details.
Franexis is another paid option, with Enterprise pricing from $119.00 USD per month per active location plus a platform fee.

Verdict

Choose Proof Restoration OS if your restoration operation needs integrated field work, dispatch and insurance workflows and can make productive use of its higher-tier capacity. Its most persuasive case is the combination of damage-scoping tools and restoration paperwork with day-to-day operations. Look elsewhere if you need a low-cost, flexible subscription, or if the paid-plan quotas and 12-month term outweigh that breadth.
